CHAPTER 1 BEFORE USING THE SCANNER
1.1 Main Features of SmartLF Ci

1.2 Unpacking SmartLF Ci from its box
SmartLF Ci (24”/40”) ships polythene wrapped in a single-skinned
box. It is advisable to prepare a desk surface or similar area capable
of taking the weight of the scanner. You will need an assistant to help
you lift the scanner safely from its packaging.

1.3 Lifting the Scanner from its carton
Make sure the scanner box is resting on the floor the correct way up (look at the name on the side).
With the help of an assistant remove the lid from the box and expose the top of the scanner by folding back the
polythene. Remove any foam spacers protecting the scanner.
Have an assistant support their end of the scanner whilst removing the packaging at their end of the box. Do the same
at your end of the box. Both of you should now lift the scanner from the box onto the floor or desk. WARNING: DO
NOT TRY TO REMOVE THE SCANNER WHILE STILL INSIDE ITS PLASTIC WRAPPING AS THIS WILL MAKE IT
MORE DANGEROUS TO HANDLE - YOU MAY DROP IT!
Observe correct lifting technique (i.e. bent knees with a straight back). The choice of
position for SmartLF Ci should allow proper air circulation around the device in
accordance with normal office equipment practice.
Take care not to obstruct walkways with the power supply module. The electricity
supply should be taken from a switched output and be located within easy reach of the
scanner operator.
The computer used with SmartLF Ci should be located so as not to strain the interface
cable or present a cable-tripping hazard to the operator or others.
Do not leave scanner components e.g. document support trays, cables and software) in
discarded packaging.

1.4 Removing the shipment tape
The scanner is protected during shipment by two strips of self
adhesive tape which must be removed before proceeding with the
installation.
Remove the shipment tapes by locating the red tab and carefully lifting
the tape up and away from the scanner.
Remove both tapes completely. The tapes
cannot be reused and should be disposed of.
1.5 Attaching the Control Panel Overlay (if necessary)
The scanner is normally delivered
with a Control Panel Overlay in the
language of the intended country of
installation.
Where a Multi-Language Overlay pack has been supplied please select the appropriate overlay for your country.
Follow these numbered steps to affix the overlay to the scanner.

1.6 Locating the contents of the Cables Box
IMPORTANT –DO NOT CONNECT THE SCANNER TO THE POWER SUPPLY OR THE
COMPUTER UNTIL INSTRUCTED TO DO SO
1.7 Opening the lid of the scanner
The SmartLF Ci lid opens towards the back of the scanner and provides maintenance access to the scanner optics
and the large paper transport roller.
Always switch the scanner off before opening the lid for inspection or maintenance
Ensure that the scanner is secured to the floor stand or resting on a table before opening the lid
With two hands release the lid latches simultaneously by depressing the button at each corner of the scanner lid
Using both hands lift the lid upwards and backwards until it rests in the open position
WARNING –Always secure the scanner to the stand before opening the lid!

1.8 Closing the lid of the scanner
With both hands grasp each side of the lid and pull it towards so that the sensors and large white roller can longer
be seen
Now fully close the lid by pressing down with the soft part of both hands at the positions shown. When the lid is
closed properly a click will be heard as each latch button pops back up again. The lid is now closed and the
scanner is ready for operation
WARNING –Always ensure that both sides of the lid have closed properly!
Make sure that nothing has been left inside the scanner lid enclosure BEFORE closing the lid or
permanent damage may be sustained by the optical parts of the scanner.
Ensure no fingers or parts of clothing are inside the scanner when closing the lid.
1.9 Attaching the Paper Exit Deflectors
Take each of the 3 Paper Exit Deflectors and
attach them to the brackets on the underside
front of the scanner. Ensure that they are
clicked fully into position.

CHAPTER 2 PREPARING THE SCANNER AND SOFTWARE
2.1 Connecting the power and interface cable
–Start by locating the external power supply brick that is made
up from two parts –a cable and a transformer. The mains
cable part should already be terminated with a mains
connector plug suitable for your country. If the cable is not
correct contact your supplier. Plug the opposite end of the
mains cable into the brick and then push the small round plug
into the corresponding input socket on the back of the Ci
scanner.
–THIS INSTALLATION ASSUMES A USB2 DATA CONNECTION
–TAKE CARE TO CONNECT THE POWER LEAD TO THE POWER
SOCKET ON THE BACK OF THE SCANNER
–The order of connection sockets on the back of the scanner
from top to bottom is:
1. POWER SWITCH –ON/OFF
2. POWER SUPPLY SOCKET
3. USB2 CONNECTION SOCKET
4. ETHERNET CONNECTION SOCKET
–Now locate the supplied USB2 interface cable (exact design
may vary from that shown). Connect the smaller end to the
scanner. Do not connect the larger end of the USB2 cable to
the computer yet.
–NOTE #1: DO NOT SUBSTITUTE THIS CABLE WITH A LONGER ONE OR
THE PERFORMANCE OF THE SCANNER MAY BE AFFECTED
–NOTE#2: ALWAYS FIRST INSTALL THE SCANNER USING THE USB2
INTERFACE. IF YOU WISH TO USE THE ETHERNET CONNECTION THE
NECESSARY CONFIGURATION STEP ARE DESCRIBED FURTHER ON IN
THIS MANUAL.
–Now switch on the scanner using the rocker switch on the back of
the scanner. The liquid crystal display (LCD) should now light up
and display the word „Initialising‟. After about 30 seconds this will
change to display the name of the scanner (Ci) and the firmware
level. If a document is loaded the display will change to the word
„READY‟.
Start up Windows on the computer that will be used with SmartLF Ci. Wait for Windows to finish loading before
proceeding to the next section.
See section 7.3 for more information on the minimum PC specifications
The Windows .NET Framework environment
The Colortrac SmartLF All-in-One software application has been created using
Microsoft .NET. This means the connected Windows computer should be upgraded
if required by installing .NET Version 2.0 or later. Some newer versions of Windows
come pre-loaded with Microsoft .NET.
SmartLF Ci is designed for use with Microsoft Windows Vista, Windows 7 or Windows XP (Home or Professional)
with the latest Service Pack (SP) upgrade. Colortrac advise that the .NET Framework is also installed by XP users

using the ScanWorks and CopySmart software options. SmartLF All-In-One software is simple to use and can be
run on any computer connected to the SmartLF Ci scanner without a license key.
See section 7.3 for more information on the .NET Framework.
2.2 Connecting the scanner & preparing to load the driver
PLUG THE REMAINING END (FLAT SECTION)
OF THE USB2 CABLE INTO A SPARE USB2
INTERFACE ON THE COMPUTER- THE
DRIVER INSTALLATION WILL START
AUTOMATICALLY.
NOTE: At this point Windows will detect the new hardware and display the
following message (O/S language dependant) in the System Tray area
(normally the lower right-hand side of the screen).
AT THIS POINT WINDOWS SHOULD DETECT SMARTLF Ci AND AUTOMATICALLY BEGIN RUNNING THE
WINDOWS HARDWARE WIZARD. HAVE THE COLORTRAC SMARTLF Ci SOFTWARE INSTALLATION CD
READY.
Windows will now ask for the driver –Insert the CD now!
WAIT for a few moments to allow
Windows to start the Hardware
Wizard. The wizard will take you
through the next steps of the
installation. The wizard will respond
by displaying this screen.
NOTE: If the CD is not detected in the next step you will need
to tell the Wizard to search for the drivers automatically by
clicking the first button or direct the search manually by
clicking the second button.
(Windows locates and transfers the driver from CD)
At this point insert the SmartLF Ci CD containing the
driver. After one or two seconds Windows will detect
the CD and replace the wizard Welcome screen
(STEP2) with the „wizard searching‟ screen shown
here.
IF THE SMARTLF Ci CD STARTS THE CD MENU,
PRESS EXIT AND ALLOW THE HARDWARE WIZARD
TO CONTINUE INSTALLING THE DRIVER

NOTE: In case of difficulty select „I will install the driver myself‟ and use „Have disk‟ to
manually direct Windows to the driver
The Wizard will STOP because the driver is not
recognised by Windows‟ logo testing system.
Ignore this and click „Continue Anyway’
This is completely normal.
Windows transfers the driver to the scanner
computer. Do not start other applications while
this is happening.
The Hardware Wizard will finish by showing this screen. Click the Finish
button to complete the installation of the SmartLF Ci driver.
The driver is now installed. There is no need to reboot the computer.
NOTE: IF A DIFFERENT COMPUTER USB2 PORT IS USED
WINDOWS WILL CREATE A NEW NUMBERED DRIVER ENTRY IN
THE SYSTEM HARDWARE LISTING
The SmartLF Ci USB2 driver is now installed. Whenever the scanner is plugged into the computer, Windows will
identify the USB (Universal Serial Bus) device as SmartLF Ci and automatically load this driver. The scanner can be
plugged and disconnected freely like any regular USB device without needing to re-boot the computer.
2.3 Checking for the SmartLF driver in the operating system
The Windows system will allow the operator to check for
correct installation of the driver. Should the driver ever
be accidentally removed or require updating or in the
unlikely event of the user experiencing problems with
SmartLF Ci, this check can be useful.
Using the Windows Control Panel click on the System
Properties icon. From here click the Hardware tab and
look for the Imaging devices entry.
Right clicking on the SmartLF Scanner entry will bring up
the Properties for the device where the status of the
scanner is displayed. The status should be „This device
is working properly‟
NOTE: When SmartLF is not connected or not powered-up
‘SmartLF Ci Scanner’ will NOT be visible as an Imaging device in
the Hardware listing of the Windows System.

2.4 Installing the SmartLF All-In-One software from the system CD
Insert the software installation CD. It should Auto-Play. If the CD
fails to launch go to the CD drive using Explorer and double-click the
launch file to start the installer manually.
1. Begin by installing the USB2 driver. Connect the scanner to the
computer. After ensuring the Installation CD is loaded in the
computer, power on the scanner.
2. At the SOFTWARE screen click the Ci Utilities button to install
the scanner maintenance program.
3. Click the SmartLF AIO button to install the SmartLF SCAN,
COPY, EMAIL software.
4. Click the Ethernet driver button to install the Ethernet driver
which allows the scanner to be used via a Gigabit network.
Once the installation is complete you will be able to locate the
SmartLF program under Program Files > Colortrac > SmartLF.
Start the program. If the program display is greyed check the
following. Is scanner driver installed? Is scanner switched on? Is
USB2 cable connected? The icons on the software interface will
change to colour when the scanner is properly connected and
powered up.
The Ci Utilities program is essential for carrying out all
routine scanner maintenance and is provided on the
system CD. Follow the on-screen prompts to install
the Ci Utilities application into the Colortrac program
folder.
Ci Utilities is run from
the Start menu.

CHAPTER 3 USING SMARTLF Ci FOR THE FIRST TIME
Documents are loaded LEFT-SIDE justified or CENTER-justified and face-up into the scanner. Look for the yellow
paper symbol.
Colortrac SmartLF Ci is not limited to scanning recognised document sizes, for example A1, A2 and E size. The
maximum scan width for SmartLF is 609.6mm (24”) or 1016mm (40”) but the maximum length is limited only by the
attached computer and scanning software. As soon as the READY status is displayed (after 35 seconds) documents
can be loaded into the scanner.
3.01 Loading a document using the scanner control panel
LOADING A DOCUMENT
Using two hands, place the document on the scanner with the longest edge (if possible) towards the scanner opening.
TAKE CARE TO LOAD BETWEEN THE SINGLE LINES OR DOCUMENT DAMAGE MAY OCCUR. The document is
fed promptly into the scanner opening until resistance is met inside the scanner. The document must find its „load
point‟ BEFORE the automatic loading sequence takes over and begins to stage the document. At document stage the
lid display will change to show the word „LOAD‟ as SmartLF Ci completes the document loading process. After
approximately one second the scanner will have staged (re-positioned the document) ready for scanning to
commence. When the scanner is ready to scan the display will change to show the word „Ready‟. Do not try to start a
scan from the software until „READY‟ is displayed.
ASF (AUTO SIZE FINDER)
ASF detects and displays the width of a loaded document as part of the document loading process. It works in
combination with the scanner software.
Configuring ASF
ASF is factory set to off. Use the control panel on the scanner to select mm or inch measurement units or to turn off
this feature. Turning off ASF does not increase document load time.

Software
Colortrac software uses scanner ASF when the document size setting is set for automatic or auto-size. Fixed or user-
input document sizes in the software will override ASF. The scanner will still display the actual paper size if ASF is
switched on. CopySmart software does not use ASF.
Document position
Documents must be placed side-justified in the scanner. Documents placed in the centre of the scanner must be
scanned using fixed or user-input document sizes only.
Operation and Scanner Maintenance
Check the displayed size to see if it looks correct. If the size is less than or greater than the document width then the
scanner roller and glass may be dirty. Re-normalise the scanner (Chapter 4) after cleaning if the problem persists. If
the size is shown as 0.0 the document has exceeded the scanner optical scan width and a manually input size must be
used.
REMOTE CONTROL
The File / Scan and Copy functions of the SmartLF All-In-One software application can be used in tandem with the
buttons on the scanner lid control panel. Remote control of scanner functions is only possible when the SmartLF-All-
In-One software is running. The panel display will show the word „Scanning‟ during movement of the document
through the scanner.
REMOVING A LOADED DOCUMENT/ CORRECTING A SKEWED DOCUMENT
Pressing the red CANCEL button on the Ci panel whilst the document is loading or during the 1 second interval
after loading has finished, will REWIND the document. The document will rewind for as long as the button is held
down. This is useful when a document skews slightly, loads awkwardly or needs to be rotated to present a better or
longer document edge to the scanner.
ADVANCING (FORWARD FEEDING) THE DOCUMENT
After a document is loaded pressing this button will forward advance the document. SmartLF Ci will move the
document for as long as the button is held down.
EJECTING THE DOCUMENT
If the scanner has been instructed to part-scan a document it can be moved in the same direction out to the front of
the scanner using the FWD button or up-arrow button on the scanner lid keypad.
This button can also be used to EJECT the document from the scanner where the scanner software has been
instructed to retain the document in the scanner after the scan has finished.
REWINDING THE DOCUMENT
If the scanner has been instructed to part-scan a document it can be rewound out onto the platen using the BACK
button or down-arrow button on the scanner lid keypad.

3.02 Stopping and starting the scanner under program control
For remote control of Ci ensure that the Windows driver is configured correctly –Section 3.03
SmartLF Ci During scanning, press CANCEL on the scanner or press the scan button on the
software to stop the scanner or abort a scan. Now the operator can press either
the FWD or BACK arrows to continue moving the document through the scanner or
rewind the document out and back towards the operator. Alternatively the operator
can re-commence scanning using the normal methods of controlling the scanner
via the software and mouse or lid panel buttons.
SmartLF All-In-One software Pressing the COPY or FILE lid panel buttons will start this scanner operation under
remote control using the SmartLF All-In-One software.
Re-pressing the COPY or FILE lid panel buttons will suspend this scanner
operation under remote control using the SmartLF All-In-One software.
Pressing the CANCEL lid panel button stops the current scanner operation.
Pressing the COPY or FILE or EMAIL software icons will start this scanner
operation.
Re-pressing the COPY or FILE or EMAIL software icons will suspend this scanner
operation.
ScanWorks software
Pressing the panel FILE lid panel button will start this scanner operation under
remote control using the ScanWorks software.
Re-pressing the FILE lid panel button will suspend this scanner operation under
remote control using the ScanWorks software.
Pressing the scanner CANCEL lid panel button stops the current scanner
operation.
Pressing the ScanWorks SCAN icon will start this scanner operation (equivalent to
FILE operation of SmartLF All-In-One software).
Re-pressing the ScanWorks „red hand‟ SCAN icon will suspend this scanner
operation. Note on ScanWorks media handling:
ScanWorks set for „Eject on Save or Delete’ will eject the document
ScanWorks set for „Do nothing’ will retain the document in the scanner
CopySmart software
Pressing the panel COPY lid panel button will start this scanner operation under
remote control using the CopySmart software.
Re-pressing the panel COPY lid panel button will suspend this scanner operation
under remote control using the CopySmart software.
Pressing the scanner CANCEL lid panel button stops the current scanner
operation.
Pressing the CopySmart COPY icon will start this scanner operation.
Re-pressing the CopySmart COPY (STOP) icon will suspend this operation.

3.03 The LCD Menu Tree
The scanner LCD display allows operator configuration of the language and the Ethernet connection parameters.
To access the menu system press the MENU button then use the FWD/ BACK buttons to scroll through the options.
Selecting an option then pressing ENTER jumps to the option configure stage. The Ethernet parameters can be
adjusted using the FWD / BACK / PREV and NEXT buttons.
Pressing ENTER saves the adjustment and returns the operator to the Ready display.
Pressing CANCEL aborts any changes and steps up and out of the menu.
Pressing MENU at any time returns the operator to Ready.
The scanner menu can be used to adjust or review:

3.04 Remote control of the scanner using Windows XP
The XP Windows Image Acquisition Device Driver Interface (WIADDI) supports custom scanner interfaces allowing
SmartLF Ci hardware to start key program operations. The SmartLF Ci scanner SCAN and COPY buttons can be
used to start and stop these primary software functions from the scanner control panel instead of, or in conjunction with
the software. They operate with the standard SmartLF, ScanWorks and CopySmart software but only with the
Windows operating system. To set up the panel buttons go to the Windows Control Panel and set the properties for
„Scanners and Cameras‟ as below.
IMPORTANT: TO REMOTELY CONTROL THE SMARTLF ALL-IN-ONE SOFTWARE FROM THE SCANNER THE
RELEVANT BUTTON MUST BE PRESSED FOR AT LEAST 0.5 SECONDS
3.05 Making your first scan with SmartLF All-In-One sw
SmartLF Ci is designed to make scanning-to-file,
scanning-to-copy and scanning-to-email extremely
simple to achieve.
Note that Colortrac recommend the emailing function
be used for black and white TIFG4 technical drawings
or small, low detail color scans only.

(Until a document is scanned and displayed in the preview window, no zoom and crop tools are visible)
3.06 The SmartLF All-In-One ‘SCAN-TO’ functions
FILE - SmartLF Ci scanning to file is started by pressing the diskette icon in the File button. First select the Browse button to
choose the storage location for the new file.
COPY - To have SmartLF Ci scan to the Windows printer press the printer icon in the Copy button. First select the target
Windows printer where the copy will be printed first using the I-button.
EMAIL - To have SmartLF Ci scan to e-mail press the envelope in the Email button. This requires a configured email client to be
set up e.g. Outlook Express.
NOTE: For fragile originals SmartLF Ci can be slowed down using the Quality slider
accessed from the i-box in the top left corner of the SmartLF interface. As soon as the

required function is selected SmartLF Ci begins to scan the document loaded in the
scanner or waits for the document to be loaded. SmartLF Ci will display the animated
icon showing a document being loaded into the scanner.
PRESSING THE RUNNING FUNCTION ARROW ICON STOPS SMARTLF CI
SmartLF Ci can also be controlled from the scanner‟s control panel by pressing the
corresponding panel buttons. These will only operate the SmartLF software if they
have been correctly configured through the Windows Scanners and Cameras icon that
is located in the Windows Control Panel. Refer to Section 3.04.

3.08 Controlling file overwrite
If a file already exists inside the computer directory with the
same name as the name the operator is about to use for a
new scan, SmartLF will warn the operator.
-If you wish to overwrite the same file at this point click
SCAN or push ENTER on your keyboard
-If you wish to alter just part of the filename block the part
you wish to change with your mouse, re-type and then
click SCAN or push ENTER on your keyboard
3.09 Selecting document sizes
SmartLF Ci has AutoSize, Auto Length (Max width), ISO, ANSI and ARCH paper
sizes which can be selected from the Paper size scroll box.
NOTE: The effectiveness of Auto Size can be affected by the type of media loaded
in SmartLF Ci. For example transparent or non-square media may fail to auto size
correctly.
Although SmartLF Ci does not allow custom paper size scanning the product does
permit any document appearing in the preview window to be cropped before being
processed further. This is especially useful for extracting parts of larger drawings
for emailing to colleagues, other offices or saving to disk.

3.11 Cropping the image
Use SmartLF CROP IMAGE to select an area of the image for scanning to
file, to the Windows printer or email.
Pressing the CROP IMAGE icon on the Preview toolbar places a green crop
square onto the currently displayed image. Use the grips at the corners to
resize the crop boundaries. Clicking and holding the mouse button down on
the centre of the square will move it across the image.
