Introduction
We would like to thank you for purchasing our electronic point of sale system, the POS-4000.
Prior to using the system, please carefully read this user manual, so that you will become fa-
miliar with the system’s functionality and performance. This manual should be kept accessible
for future use, as it will assist you with any queries you may have.
Only an authorised agent should install the POS-4000 and its accessories. Unauthorised in-
stallation may invalidate the warranty.
Important points
• Install the equipment in such a place where it won’t be subject to direct sunlight,
unusual temperature changes (under 0°C or above 50°C), or high humidity.
• Prior to use, plug the unit into the mains supply and leave on for at least eight
hours to charge the memory back up battery.
• If moving the system from a cold environment to a warm one or vice versa, do not
turn it on for at least 20 minutes after the move.
• The unit must not be serviced by a person with wet hands. Water could seep into
the keyboard interior and cause system failure.
• Clean all parts using a dry soft cloth. Do not use cleaning agents like petrol or any
other solvents.
• Avoid spilling liquids onto the unit.
• Connect the main unit to the mains power feed using the supplied adapter
(230V±10%). Other electrical devices connected to the same mains circuit can
be a source of malfunction. Use manufacturer recommended counter-interference
devices in environments with strong interference.
• If the system is malfunctioning, call the authorised service technician immediately.
Do not attempt to fix malfunctions yourself. Do not open the ECR!
• If a receipt is being printed, wait until the printer stops printing. Do not attempt
to tear the receipt off during printing as printer damage can arise.
• Use the recommended high quality thermal paper rolls only. Low quality paper
tapes can damage the ECR printer eventually lowering its lifespan. The printer’s
lifespan is up to 19 miles (30 km) of printed tape if the recommended paper is
used.
• If a coloured strip indicating the end of the tape appears, replace the tape as soon as
possible. Delayed paper tape exchange can damage the printer, eventually reducing
its lifespan.
• Use paper tapes without glued ends as these can damage the printer.
• Use only the supplied power adapter to power the system. Usage of other adapters
may result in damage.
• Use only dealer recommended software and connecting cables.
• To avoid data loss when the system is turned off for a long period, turn the unit on
for at least eight hours once every six months.
• If the ECR is turned off using the main power switch on the rear connector panel,
it should only be turned on again after one minute.
• The reseller or dealer does not carry any responsibility for data or system damage
if the usage recommendations in this manual are not adhered to.
• The symbol on the product or on its packaging indicates thatthis product
shall not be treated as household waste. Instead it shall be handed over to
the applicable take-back scheme for the recycling of electrical and elec-
tronic equipment. By ensuring this product is disposed of correctly, you
will help prevent potential negative consequences for the enviroment and human
health.
• Do not leave appliance unattended while it is in use.

Introduion
Touch sensitive display
• The touch sensitive display is a very delicate device. It should not be serviced by a
person with wet and/or dirty hands as damage can result. Do not use the display
in humid environments.
• Use the supplied stylus, other blunt plastic objects or fingers to touch the dis-
play. Do not use sharp/hard objects. Do not use force while servicing (max. 0.4lb
(1.8N)). Force can permanently damage the display. The product guarantee does
not cover mechanical damage so please protect the touch sensitive display.
Basic terminology
Logo
The logo appears on the receipt header and can be printed as introductory information/adver-
tising above the description of sold articles. It is commonly used to identify the outlet (com-
pany name, address, taxpayer identification etc.). The software also allows you to programme
a bottom logo, which can be used to thank the customer for shopping at the outlet. The
POS–4000 is capable of printing two kinds of logo. These are a text logo of maximum 10
rows of text (fig. 1.1) and a graphical logo, b/w picture in BMP format, maximum 336×448
pixels (fig. 1.2). Graphical logos are printed before the text logo.
Article group (department)
This is used to denote a group (department) of articles that share common features (dairy
products, beers, etc.). It is specified by its name only.
Tax level
Tax levels specify taxes applied on sold articles. It is specified by its value in per cent and its
type (VAT).
Sale units
These are used to specify the amount of article sold (metres, litres, etc.) when appropriate. A
sale unit is assigned to every PLU that specifies the amount sold. It is possible to programme
15 sale units containing at most three letters. An example would be kilos (kgs) of potatoes
Price Look Up (PLU)
PLU stands for the description of a particular article. A record in the memory allocated to the
article that contains the article name, its sale price, and its flags (PLU type etc) represent the
PLU. If there is a barcode assigned to the article it will also be used as its PLU.
Report
Reports supply a necessary overview of sale by the chosen criterion (financial, total, PLU etc.).
There are two types of reports performed by the package: X and Z:

Relationship between article groups and PLU
The following example figura-
tively describes the relationship
between article groups (de-
partments) and article records
(PLU). Four departments and
16 PLUs are shown in this de-
monstration.
Barcode
The barcode is a graphical code of numerical value assigned to an article by international
rules. If an article has a barcode, then the same barcode is printed on every pack of that article.
The most frequently used barcodes are the EAN-13 and EAN-8 that encode 13 and 8 digits
respectively in accordance with the European Article Numbering rules.
Barcode reader (scanner)
This device is used for machine reading of the barcodes of
individual articles.
Cumulative totals (GrandTotals)
Cumulated totals are variables that cumulate the values
from all sales. There are usually three known grandtotals: GT1, GT2, and GT3. Their mea-
ning is as follows:
GT1 - gross turnover - this means the cumulated total of all positive values registered in the
ECR.
GT2 - net turnover - the net turnover means the difference between gross turnover and nega-
tive turnover.
GT3 - negative turnover - this means the cumulated total of all negative vlaues (voidances,
refunds, discounts...) registered in the ECR.

POS-4000 description
Basic features
The POS- represents a new generation of Epos; it is light, compact, function rich and
designed for all types of retail outlet. Despite its smaller dimensions, the technical features of
POS- are quite formidable. It has the capability to connect to a PC, barcode reader, and
scales. The POS is capable of communicating with a PC using the serial port, modem,
or it can use a LAN (Local Area Network). It is possible to connect cash drawers, cashier mo-
nitor, external customer display, PC keyboard, and several types of POS keyboard. The prin-
ter housing is large enough to fit a paper tape reel of up to ." (mm) diameter.
The POS- is powered from the mains
using a state-of-the-art power adapter.
Accessories include external customer dis-
play, cash drawer, memory expansion,
Ethernet communication adapter, auto
paper cutter and a range of programmable
keyboards.
The POS- offers several managerial
functions and reports. One of the most
attractive features of the unit is the touch sensitive display that allows ease of cashier use.
Optional ECR accessories
Please consult your dealer regarding the range of options available.
Cash drawer
The POS- allows you to connect most cash drawers that are equ-
ipped with a solenoid opening mechanism. The unit is fitted with a
modular jack connector for automatic opening of two cash drawers.

POS description
The cash drawer is connected to the main unit by a thin cable that enables automatic opening.
The cable/connector combination allows for simple disconnection and movement. The cash
drawer supplied can also be opened manually using the removable key. There is a removable
coin tray and double clips on the note compartment.
Cashier display
A × VGA DSTN touch sensitive display is supplied
with the POS- allowing a substantial amount of infor-
mation to be shown on the screen.
Optional external customer display
An external customer display is a supplement to the internal custo-
mer display that is built into the body of POS-. The external
display is placed so that its digits are clearly visible to the customer
allowing more detail and more impact as well as flexibility of posi-
tioning.
IrDA
Infrared interface (IrDA) is convenient if data is frequently transfer-
red between the unit and a PC and neither the unit nor the PC is
connected to common computer network. This can save on equip-
ment wear and tear caused by frequent plugging and unplugging of the network cable.
Ask your authorised POS- dealer for more information and potential activation of the
infrared interface.
Barcode readers
The POS- cash register is equipped with an interface for connec-
ting the barcode reader (scanner) by default. The POS- is sup-
plied with an barcode reader with a stand for easy positioning.
Omni directional scanners are available at additional cost.
The scanner is connected to the unit using the built-in RS- serial
interface and standard Canon connector. The unit supplies the scanner with +V of input vol-
tage. Both scanner and the POS- should be properly programmed prior to connecting
one to each another.
SRAM and Flash memory expansions
The design of the POS- facilitates simple memory
expansion by just replacing the SRAM memory module
with a module of greater capacity or by in-
stalling additional SRAM modules.
Only an authorised service techni-
cian should perform the exchange of
memory modules.
Communication adapter
The POS- is able to communicate with a PC via modem, standard or wireless network if
equipped with proper PCMCIA devices. Wireless networking has its advantages in its speed,

convenience of use, and other network capabilities depending on
the PCMCIA adapter type.
Ask your authorised POS- dealer on further uses and applica-
tions of the communications adapter.
Automatic paper tape cutter
The automatic paper tape cutter provides accurate and secure rece-
ipt separation as it cuts the receipt tape and shelf edge label at the
right point avoiding accidental tear.
Other accessories
Most PC or POS keyboards can be connected to the POS- cash re-
gister. Two sizes of programmable keyboards are available to suit your ne-
eds.
An OCTACOM stand suited to your order is supplied with the POS-
. OCTACOM stands are manufactured from light and durable alu-
minium alloy. There are four types of stand with a standard height of ."
(cm). The difference between them is the number of items that can be
attached to it.
Connecting external devices
Warning: Ask your dealer for detailed instruction on connecting external devices.
Keyboards
Most PC or POS keyboards can be connected to the POS-. The Elcom Company re-
commends the EK- keyboards that are specifically designed for this unit. The EK-
keyboard is programmable, so it is possible to change the position of individual keys.

POS description
The keys are marked by large and simple icons for convenient and quick orientation. The
function name is written under the icon in small letters. Function keys and department keys
have transparent removable covers. You can greatly facilitate operation by marking the depart-
ment keys as you wish (e.g. dairy products, alcohol, groceries…).
Keyboard programming
The keyboard supplied along with the ECR is
programmable using the software supplied on a dis-
kette. The supplied software contains several help fi-
les that allow easy keyboard programming. Connect
the keyboard according to the supplied picture and
proceed as the help files instruct.
Names and functions of the keys
Text in capitals is the name of that key. This name will be used when referencing a key. Un-
programmable keys are usable in all modes; the rest are usable only in the sale mode.
Numerical keys are used for entering numerical values.
Direct keys are used for entering a PLU directly (e. g. for milk, cheese etc.)
or for entering pre-programmed surcharges/discounts. It is necessary to
programme them prior to their use.
Keys without an explicit function can be assigned to any function in program-
ming mode, Keyboard group.
The S key is used for activating selected buttons on the display. It cannot be re-
-programmed.
The B key is used to erase the character standing on the left from the cursor.
It cannot be re-programmed.
The OK E key is used to opt for OK and close the dialogue window (the dialo-
gue contains OK and C buttons). It cannot be re-programmed.
The C E key is used to opt for Cancel and close the dialogue window (the
dialogue contains OK and C buttons). It cannot be re-programmed.
The tabulators (T ) are used to select a button on the display using the POS
keyboard. They cannot be re-programmed.
Cursor movement arrows are used to move around the window and pick an
item in the pull down menu. They cannot be re-programmed.
Item selection arrows allow selecting an item on the electronic receipt. They
cannot be re-programmed.
Scrolling arrows are used to scroll the contents of the electronic receipt.
The M key is used for multiplying when several of the same article are bou-
ght.
The D key is used in dividing a split article price.

POS description
The C key is used to erase entered number that was incorrectly entered using the
numerical keyboard. This key also can be used to cancel wrongly entered function.
The R key is used to refund money e.g. for a defective article; it can be done
during a sale or as an individual transaction.
The V key is used to void an already registered PLU.
The S key is used to obtain the weight of sold articles when the unit is connec-
ted to electronic scales.
The D key is used to open the cash drawer without performing a sale or to
enter a reference number.
The RA (Receive on Account) key is used to record accepted payments that were
made without registering a trade operation, i.e. entering the initial daily cash into the
cash drawer.
The PO (Paid Out) key is used to record payments that were made without regis-
tering a trade operation, i.e. cashing the turnover. It also is used when handing out
from stock.
The D key is used to print the receipt once again after the transaction has
finished. The receipt is marked as DUPLICATE. If the duplicate printing is not activa-
ted, the key is not functional.
These two keys are used to apply a surcharge or discount in per cent to an
item or to the entire transaction.

The PLU P key allows entering the article price that will override programmed
PLU price for one record only and also allows paying in foreign currency if required.
The PLU key is used to recall programmed article values from the PLU iden-
tifier: price, name, article group (department), tax level etc.
The ST key displays actual subtotal value. There is system flag that determi-
nes if the ST key has to be pressed prior finishing sale.
The PLU L key is used to show and search for PLU items stored in the memory.
The H key is used to open short helpful instructions concerning the actual
function. It is active only during register operation.
The A- displays the list of predefined surcharges and discounts.
It is active only during register operation.
The C key is used to enter a customer’s reference number.
The C key is used to mark the finished sale when finished by a credit card pay-
ment.

The key marked with Internet Explorer logo opens the window of the Internet
browser.
The T key is used to finish the sale and also to mark the finished sale
when closed by a cash payment.
PC keyboard
A PC keyboard can also be connected externally to the POS-. Sale and registration is
analogous to the POS keyboard. The keys that cannot be re-programmed are the same as
in the EK-: E, E, T, S, S+T and arrow keys. All other keys are
programmable.
It is recommended to programme the direct PLU and predefined surcharge/discount keys as
S+character key combination.
The following convenient keyboard shortcuts are provided by the PC keyboard:
C+F – Toggling of the graphic modes (LCD,
monitor,LCD+monitor).Chosen mode will initialise after
the ECR is turned on.
C+A+’– Touch sensitive display calibration

Description of displays
Cashier display description
The POS- cashier display is a touch sensitive colour
LCD display of cutting-edge construction. It is capable of
displaying any character or icon and activating its assigned
function by pressing lightly using the supplied stylus or in-
dex finger.
The touch sensitive display is a very delicate device. Protect
the display from any mechanical damage and do not use the
display in humid environments.

Customer display description
-digit LCD display
The -digit LCD customer display of the POS- possesses ei-
ght large and four smaller digital segments and additionally contains
descriptive texts PLU, DPT, and LowBat. This display can be divi-
ded into a descriptive part and numerical part. Numerical part of the
display shows mainly numerical values (price).
Alphanumerical display × characters—optional
The alphanumerical display for the POS- is capable of displaying two rows of twenty
characters. Alphanumerical means that it can display both numerals and letters.
Microsoft Windows CE general terms
The following text explains several basic terms that appear in computer terminology. They are
needed to understand fully thefollowing chapters.
Label
A label is a fixed static text whose function is to describe another element or its function/me-
aning. Labels may also serve themselves as a source of information.
Checkbox
The checkbox is a square shaped element that can be either checked (turned on) or not. The
checkbox is toggled by pressing its square shape or by selecting it using Tab keys and toggling
it using the Space button.
Radio button
The radio button is a circular symbol within a group that offers different choices to the user.
Selecting one button from within the array automatically cancels previous selection (just like
old-style radios do). Pick one button from the group using Tab keys and press Space.
Button/Icon
The button is an element on the display that, if activated, will perform its assigned function.
You can press the button directly on the touch sensitive display or you can pick the desired
button using the Tab keys and pressing Space afterwards. The icon is in fact a button but
contains iconic representation of the intended function. The icon is used in the same way the
button is.
Text row
Text row represents the place where data can be entered. A typical example of this is entering
a cashier’s password into the text row.
Pull-down menu
The pull-down menu allows you to pick one option from several options. The visual differen-
ce between the pull-down menu and the text row is the small square carrying an arrow on its

right side. When pressing the square, the menu unfolds and the visible unfolded options are
selected by pressing on. Use up and down arrow keys to browse through its options.
Tabs
The tabs are usually employed to increase informational capacity in a single window. Swit-

Dialogue
Dialogue is the displayed view of interrelated checkboxes, buttons, labels, icons, or text rows
carrying out one function.
Error messages, queries
If an incorrect value or input was detected, an error message is displayed along with a brief
error description. Read the message carefully and press OK. The error message will disappear
and allow you to correct the problem.
Query is the dialogue that appears if an important operation is about to take place and con-
firmation is required such as deleting a PLU item. Accidental errors are thus minimised. Use
the OK key to confirm the operation (O E on POS keyboard, NE on the
PC keyboard) and use the C key to cancel the action (C E on POS keyboard
and E on the PC keyboard).
Inserting the paper tapes into the printer
The POS- cash register requires ." (mm) thermal paper tapes for its operation. One
(on the left) is used for printing receipts and the other (right one) is used to print the hard
copy journal. Use only quality reels up to ." (mm) in diameter as recommended from
Tate Fastforms.

POS description
Warning: If a coloured strip indicating the end of the tape appears, quickly replace the paper
tape. Delays in replacing the tape can lead to printer damage and potential shortening of its
lifespan.
Use only paper tapes that have no glued ends. Glued ends shorten the printer life and invali-
date the warranty.
Insert the paper tape reels into the reel beds so that they unroll from the bottom (see fig. .).
Trim the tape ends using scissors. Tape ends must not contain any dirt or glue residue.
First, lift the printing head by lifting its position lever upwards. Feed both of the tapes, receipt
and journal, as shown in the figure. Lower the printing head and press the receipt tape feed
button on the front cover until the tape’s end
does not emerge. Then, press the journal tape
feed button until the journal tape has unwo-
und sufficiently to fasten it into the winding
reel and wind the reel several times over to fit
the journal tape properly. Place the winding
reel into designated holders and turn it lightly
to stretch the tape.
Put the receipt tape into the receipt tape slit in the printer cover and close the printer cover.
Tear off surplus tape and you can begin operation.
Usage and storage of paper tapes
Use ." (mm) paper tapes in the POS- cash register.
Following storage recommendations hold for commonly used paper tapes:
• do not expose to sunlight,
• do not expose to temperatures above F ( °C),
• avoid contact with softened PVC, mollificatiors, organic solvents, glue, and water.
Logging into the ECR system
If compulsory cashier log in is set, the Login dialogue will appear after the unit is turned on
and you will be required to log in using your login name and password. Pick the login name
from the pull-down menu and enter your password (sequence of numbers). The password is
not displayed as typed for security reasons. The cashier data (login, password etc.) have to be
programmed in advance in the programming mode.
If the POS is turned on for the first time, there is at least one cashier programmed. Pick
one and press OK (default cashiers do not have passwords). The compulsory logging in can
be turned off in the programming mode.

POS description
Logging out is performed by pressing the Exit button on the touch sensitive display or pres-
sing Cancel Esc on the POS keyboard or its PC keyboard equivalent until the login dialogue
appears. If the compulsory login is turned off, pressing Exit button returns to the Mode se-
lection dialogue.
ECR mode selection
The Mode selection menu offers six modes to choose from. The selection can be made using
either POS or PC keyboard or by simply pressing the corresponding icon on the display.
Tap the selected icon on the display or select the icon using T keys (selected icon has got a
thicker rim) and press S.
Registration mode is used to register sales and transactions.
Programming mode is used to programme all the values and functions of the unit. It is acti-
vated by pressing the programming mode icon.
X reports serve to display or print the sale overview. They do not clear the data and the X
report icon activates them.
Z reports print all kinds of sales overviews and clear the data. They are activated by pressing
the respective icon.
Training mode is used to train new cashiers. Fiscal operations performed in this mode are not
recorded into memory and do not appear in reports.
