Prepare and Plan
TimeIPS servers are time an atten ance network appliances. This means the
har ware is pre-loa e with an embe e operating system an a complete set of
TimeIPS software components, rea y to use. You'll simply connect it to your
network, set an IP a ress an , optionally, install one or more network clocks or
telephone clocking mo ules to provi e employees a way to clock in an out.
The initial configuration will require a computer monitor an keyboar (PS/2 or
USB) to set the IP a ress of the server. We recommen a monitor with a
1024x768x60Hz or 1280x1024x60Hz resolution with a VGA cable. Other vi eo
mo es may or may not be supporte . Once an IP a ress is set, use any computer
with a web browser on your network to access an manage TimeIPS.
Network clocks can be connecte on a LAN (Local Area Network) or at remote
locations connecte via Internet or WAN (Wi e Area Network). For maximum
security, a secure VPN (Virtual Private Network) is recommen e for remote sites.
Network clocks can be locate at any oor or entrance to your facility, or at any
location which is convenient for your employees to clock in an out.
Please examine the iagram on the next page to assist in planning your TimeIPS
installation. Most installations will have a network clock at the main employee
entrance. A itional network clocks can be a e at any time to other entrances or
any location within your business.

TimeIPS Server Overview
The primary functions of the TimeIPS server inclu e:
•Gathering punches from network clocks, remote clocking an telephone
clocking mo ules
•Storing time an atten ance ata
•Processing ata, inclu ing time worke , sche ules, jobs, alerts, etc.
•Provi ing an easy to access web-base reporting an management interface
TimeIPS network clocks are use for walk-up clocking an are connecte via
Ethernet. A itionally, optional TimeIPS telephone clocking mo ules can be use
for call-in clocking.
Network Requirements
A stan ar RJ-45 Ethernet network cable connects TimeIPS to your network. The
TimeIPS server is accesse by its IP a ress on your network. To make access easy
an to prevent unexpecte IP a ress changes, the TimeIPS server shoul be
configure with a static IP a ress on your LAN. A itional network clocks can be
set to static IP a resses, or can be ynamically a resse with DHCP. Network
clocks sen a broa cast packet to look for a server on the same subnet. Clocks on
ifferent networks or subnets will nee to be manually configure (this is one
through the menu or by visiting http://<IP a ress of the clock>).
Network Ports Used y TimeIPS
The following ports are use by TimeIPS to access the Internet (if available) for the
reasons escribe below:

Power ackup (UPS)
As with any server, a stea y supply of clean power is essential for TimeIPS.
•Losing power while the server is operating may cause ata loss or
corruption.
•Brown-outs or flickering power can cause amage to the power supply
an /or system components.
To prevent amage an /or ata loss relate to power problems, we recommen
plugging the TimeIPS server into a UPS (Uninterruptible Power Supply).
TimeIPS servers are relatively low-power evices . A UPS with a minimum rating
of 700VA is recommen e for maximum power stability an mo erate run-time.
TimeIPS servers have support for communicating with most APC bran Smart-UPS
units with USB ata cables. The signals from these UPS units allow TimeIPS to log
an report power outages an perform a clean automate shut own in the event of
an exten e outage. This will protect your ata an is highly recommen e .

TimeIPS boot menu uring this time. Do nothing when you see this menu an the
server will continue to boot normally. When the boot process is complete, you
shoul see the a ministration console.
Your server is set to automatically obtain an IP a ress from your network via
DHCP by efault. To see the IP a ress of your TimeIPS server, look towar the
bottom of the a ministration console un er Current Settings.
If your DHCP server respon s quickly, the table shoul show an IP a ress when
the boot process is complete. If not, wait a few moments, select Rerea Network

FOR YOUR PROTECTION, SECURITY AND BUSINESS OPERATING
EFFICIENCY, WE STRONGLY RECOMMEND REGULAR AND FREQUENT
DATA BACKUP.
TimeIPS will store important personnel management ata an it's critical for this
ata to be backe up regularly. We recommen aily backups.
Local ackups
TimeIPS can generate local backups at any time. You may choose to save these as
an archive on your local machine, or have them emaile to a specifie email
a ress. We recommen you use our off-site backup option in a ition to local
backups for the highest ata security.
To access local backups, click on “Backups” in the “System A ministration” section
of the “A ministration” Menu.
Off-Site ackups
The best way to protect the TimeIPS ata is to use an automatic, off-site backup
system. A loss of just a few ays of ata can take hours or ays of work to re-enter
an re-create.
The TimeIPS off-site backup service is esigne for businesses looking for
passwor -protecte , automatic off-site backups at an affor able price. Utilizing our
off-site backup service will allow a TimeIPS server to be rebuilt using the ata from
the last available backup file on our secure servers in the unlikely event of system
malfunction, ata corruption or loss. A backup will get your business back up an
running as quickly as possible.
To use the TimeIPS off-site backup service, you must have a backup account. Use
our “Account Management” page to sign up for your backup account, check your
backup account status, or upgra e your backup account. You may access this page
by clicking the link “TimeIPS Off-site Backup Account Management” locate in the
“Off-site Backup” section of the “Backups” page. The “Backups” page is accessible
from the “System A ministration” section of the “A ministration” menu.
Note: The ata store in TimeIPS (an the resulting size of backups) grows as a result of
a itional clock events, e its an payroll calculations a e each ay.

Network Troubleshooting Your PC
TimeIPS http://support.timeips.com 316.264.1600 Page 15
If you have trouble accessing TimeIPS from a PC, you may be having network relate
issues. Follow this checklist to verify your network settings an connectivity.
If the network link an activity lights (shown on page 6 an 7) are not lit, then check all
network cables, hubs an switches to verify the physical connections. If cables are
isconnecte , you will nee to reconnect these for proper network functionality. After
reconnecting network cables, you may nee to restart your PC an /or TimeIPS to reestablish
the network connection.
✔Check the power light to verify the TimeIPS server is powere on. You shoul also feel
or hear the system fan running.
✔Enter the TimeIPS IP a ress (the IP a ress can be locate on the A ministration
Console) into a web browser on another PC on your network (see page 12). If you see
the TimeIPS setup page, then your network an TimeIPS are working properly.
The IP a ress assigne to your esktop PC must be reachable by the TimeIPS IP a ress as
shown on your monitor. For example, if the a ress on the monitor begins with
169.254.___.___, then your PC must also have a 169.254.___.___ IP a ress with a
“netmask” of 255.255.0.0 in or er to connect to the TimeIPS server. The last two numbers
you choose shoul be a number between 1 an 254. If you nee to change your PC's IP
a ress to reach the TimeIPS server, you will nee to fin instructions for your PC's
operating system.
Setting or changing your PC's IP Address:
If you are not able to connect, you may nee to change your PC's IP a ress to connect to
the TimeIPS server. When making changes to your PC's network settings, be sure to recor
any previous settings, so you may restore them after you have set your TimeIPS server to the
correct IP a ress for your network.
Note: After initial configuration an gui e setup is complete, the System A ministrator can shut
own or restart the server from the “System Settings” page accessible from the “System
