1. Introduction
The ASAP P2.5X is specifically designed for SOHO (Small Office
Home Office) users who need a cost-effective telephone system
that has the functions of a PBX and a key-phone system.
It has functional features to automate your telecommunication
system in the office and serves as your own personal assistant,
whether you are in the office, at home, or on the road. The
ASAP P2.5X uses standard telephones.
You can connect up to five telephone devices to two
telephone lines, allowing the devices to share the lines.
These devices can be a telephone, FAX, modem, or any device that
connects to a telephone line. No PC is required for installation, as it
is a stand-alone product. An installation guide with pictures and
drawings make self-installation possible without professional help.
According to standard industry practice, surge protection is recommended for use with all electronic
devices. A surge suppressor and/or line conditioning should be used on the input power supply, as well as
the connected telephone line.

Unpacking the ASAP P2.5X
When you open the ASAP P2.5X box for the first time, inspect the contents. In the box, you should find
all of the items needed for installation:
If any of these items are missing or damaged, contact the dealer where you purchased the unit, or call the
number listed in the “Service Information” section of this guide.

2. Installation
2.1 Ports on the ASAP P2.5X
The rear panel includes seven (7) modular ports, an ON/OFF switch, audio jack, and a power input port:
2.2 Connecting the ASAP P2.5X
1. Connect the AC Adapter cord into the PWR socket on the back of unit and connect the other end into
your standard 110VAC electrical outlet.
2. Connect a telephone line cord to the LINE 1 jack on the back of the unit and connect the other end of
this cord into the LINE 1 wall jack.
3. Connect a telephone line cord to the LINE 2 jack on the back of the unit and connect the other end of
this cord into the LINE 2 wall jack.
Both lines are initially assigned for voice calls. If one line is to be used as a fax line, connect it to LINE 2
on the back of the unit. Refer to Page 4, Section 3.1 - “Assigning Telephone Lines.”
Note: During a power failure, only EXT 20 through LINE 1 will work.

2.3 Connecting the ASAP P2.5X using a three-way adapter
To combine LINE 1 and LINE 2 into one wall jack, you will need to connect the ASAP P2.5X using a
three-way adapter:
1. Connect the AC Adapter cord into the PWR socket on the back of unit and connect the other end into
your standard 110VAC electrical outlet.
2. Connect a three-way adapter to the telephone wall jack.
3. Connect a telephone line cord to the LINE 1 jack on the back of the unit and connect the other end of
this cord into the three-way adapter LINE 1 jack.
4. Connect a telephone line cord to the LINE 2 jack on the back of the unit and connect the other end of
this cord into the three-way adapter LINE 2 jack.
You can purchase a three-way adapter at stores that sell telephone related products.
2.4 Connecting telephone lines to extensions
Connect telephone line cords into extension jacks on the back of the unit and connect the other end of the
line cords to telephones, modems, answering machines or fax as needed.
Note: To change any features, you must use the attendant telephone, EXT 20. Connect a fax to EXT 24.

3. System programming
Throughout the programming section you will see the use of . This indicates to hang up the telephone
handset for two (2) seconds and then pick it up again.
3.1 Assigning telephone lines
There are 5 configurations. Choose the option based on how many incoming lines you have and how you
want to use the system. To receive fax calls automatically, LINE 2 must be used.
3.2 Two telephone lines for voice calls ONLY. (Default Setting)
Both lines are initially assigned for voice calls only.
1. Lift the handset connected to EXT 20 – the system tone is heard.
2. Press - you will hear a long tone.
3. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
4. Press - you will hear a long tone.
5. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
6. Press - you will hear two short system tones.
7. Hang up.
Note:
1. A long tone indicates you are in the programming mode or to acknowledge a change in a
setting. Two short tones indicate exiting the programming mode.
2. To set series commands, the program code must be enabled.
3. After setting the parameters, exit programming mode

3.3 Line 2 for fax only
When you have two incoming telephone lines, to program LINE 1 for voice calls and LINE 2 for fax
calls, use the following programming sequence:
1. Lift the handset connected to EXT 20 – the system tone is heard.
2. Press - you will hear a long tone.
3. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
4. Press - you will hear a long tone.
5. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
6. Press - you will hear two short system tones.
7. Hang up.
Note: When a fax is connected to EXT 24/FAX, LINE 2 is assigned as fax only. Do not press 9 to get
dial tone on EXT 24, simply send your fax.
3.4 Line 2 for fax and voice calls
When you have two incoming telephone lines, to program LINE 1 for voice calls and LINE 2 for both fax
and voice calls, use the following programming sequence:
1. Lift the handset connected to EXT 20 – the system tone is heard.
2. Press - you will hear a long tone.
3. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
4. Press - you will hear a long tone.
5. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
6. Press - you will hear two short system tones.
7. Hang up.
Note :
1. See Page 9 - OGM3 for announcement.
2. When a fax is connected to EXT 24/FAX, LINE 2 is assigned as fax and voice calls. Do not
press to get dial tone on EXT 24, simply send your fax.

3.5 Line 2 for voice calls
When you want to use LINE 2 for voice calls only, use the following programming sequence:
1. Lift the handset connected to EXT 20 – the system tone is heard.
2. Press - you will hear a long tone.
3. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
4. Press - you will hear a long tone.
5. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
6. Press - you will hear two short system tones.
7. Hang up.
3.6 Single line for voice calls only
If you want to operate this system using only one phone line, disable the unused line as follows:
or
1. Lift the handset connected to EXT 20 – the system tone is heard.
2. Press - you will hear a long tone.
3. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
4. Press or - you will hear a long tone.
5. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
6. Press - you will hear two short system tones.
7. Hang up.

3.7 Recording system OGMs
All system OGM’s must be recorded at EXT 20.
~
1. Lift the handset connected to EXT 20 -the system tone is heard.
2. Press - you will hear a long system tone.
3. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
4. Press
5. Press ~ to select OGM number.
6. Record your message after the beep. (e.g. “Thanks for calling ABC company. Please press 21 for
Mary, 22 for John, 23 for Michael, or press for the operator.”)
7. Replace the handset for two seconds, then lift the handset. You will hear the system tone again
8. Press - you will hear two system short tones
9. Hang up.
3.8 Checking system OGMs
To check recorded OGMs, use the telephone connected to EXT 20:

1. Lift the handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear a long system tone.
3. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
4. Press
5. Press ~ to select and listen to OGM.
6. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
7. Press - you will hear two short system tones.
8. Hang up.

3.9 System OGMs (Outgoing Messages)
The next step in installation is to record up to four outgoing messages (OGMs) which contain your
personal or company’s greeting messages and information about the extension numbers, exchanger
service messages, and fax announcement.
OGM 1 (Greeting messages and information about the extension numbers)
OGM 1 contains your personal or company’s greeting and information about the extension
numbers for the Business Hours mode. You have approximately 19 seconds to record OGM 1.
OGM 1 EXAMPLE: “You have reached the offices of XYZ corporation. Please press the extension of the
party you are trying to reach. Press 0 to speak to the operator. Thank you.”
OGM 2 (When a caller presses a wrong number)
You have approximately five seconds to record OGM 2.
EXAMPLE: “You have pressed a wrong number, please try again.”
OGM 3 (Fax announcement)
OGM 3 is to give the caller instructions. You have approximately 8 seconds to record OGM 3.
OGM 3 EXAMPLE: “Please press any button ‘NOW’ to reach the operator, or press the ‘START’ button
on your fax.
Note: OGM 3 is played when LINE 2 is assigned only for fax/ voice mode (see Page 6, Section 3.4).
OGM 4 (After Hours operation)
Record your personal or company’s greeting and information about the extension numbers for the After
Hours mode. You have approximately 13 seconds to record OGM 4.
OGM 4 EXAMPLE: “Our business hours are from 9 am to 5 pm. If you know your party’s extension,
please dial it now to leave a message or press 0 for the general mailbox. For an urgent call, press 25 and
your call will be connected to the urgent help line.”

3.10 Auto-attendant mode
1. Lift the telephone handset connected to EXT 20 - the system tone is heard.
2. Press to set the Auto-attendant mode. You will hear a long system tone.
3. Hang up.
3.11 Operator mode
1. Lift the telephone handset connected to EXT 20 - the system tone is heard.
2. Press to set the Operator mode. You will hear two short system tones.
3. Hang up.
3.12 Alternate operator extension assignment
1. Lift the telephone handset to be assigned as the Operator extension and press

3.13 Alternate operator extension
1. Lift the telephone handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear two short system tones.
3. Replace the handset and then lift handset.

1. OGM 3 is played when LINE 2 is assigned only for fax/ voice mode (see Page 6, Section 3.4).
2. All OGMs can be played in the Auto-attendant mode (Default Setting).
3. In the Operator mode, all incoming calls are answered by an Operator.

3.14 Set number of rings before answer
To set the number of times a phone connected to an extension port rings (choose 3 – 11 rings) before the
call is answered by voice mail (default is 4 rings).

1. Lift the handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear a long system tone.
3. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
4. Press
5. Press ~ to select the number of rings (e.g. press for six rings).
6. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
7. Press - you will hear two short system tones.
8. Hang up.
3.15 Flash time adjustment
A flash is a momentary on-hook condition typically used to signal the C.O. The flash time means the
duration of the on-hook condition. If the duration is too long, it is interpreted as a disconnect. A flash is
generated by pushing then releasing the receiver button on your phone. The initial flash time is 500
milliseconds (one-half second).

1. Lift the handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear a long system tone.
3. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
4. Press
5. Press ~ to select the flash duration (1~9 means 100ms ~900ms. e.g. press for 500ms).
6. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
7. Press - you will hear two short system tones.
8. Hang up.

3.16 Flash time adjustment for extensions
Used for internal call transfer. The initial flash time is assigned for 700 milliseconds.
~
1. Lift the handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear a long system tone.
3. Hang up for two seconds and then lift the handset. You will hear the system tone again.
4. Press
5. Press ~ to select the flash time (10~99 means 100ms ~990ms. e.g. press for
600ms).
6. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
7. Press - you will hear two short system tones.
8. Hang up.
3.17 Pulse or tone selection
The system is set up for tone lines, no programming is required. To change this setting:

1. Lift the handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear a long system tone.
3. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
4. Press
5. Press ~ to select telephone LINE 1 or LINE 2.
6. Press to select Tone or to select pulse.
•If the phone line is designated as tone, one tone is heard.
•If the phone line is designated as pulse, two tones are heard.
7. Replace the handset for two seconds, then lift the handset. You will hear the system tone again.
8. Press - you will hear two short system tones.
9. Hang up.
Note: A tone phone is required to check voice mail messages remotely.

3.18 Selecting music for music-on-hold
The source of the music can be a CD player or FM/AM Radio. The default setting is silence. To change to
external music:
1. Lift the handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear a long system tone.
3. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
4. Press
5. Press to select the external audio input (press to select silence).
•If external music is designated, one tone is heard.
•If silence is designated, two tones are heard.
6. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
7. Press - you will hear two short system tones.
8. Hang up.
3.19 Setting voice mail recording time
The maximum combined recording time (up to 10 minutes - 3 minutes is the default) of outgoing Voice
Mail announcement and incoming messages to each extension voice mailbox. Perform the following
steps:

1. Lift the handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear a long system tone.
3. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
4. Press
5. Press ~ (01~10 means 1~10 minutes e.g. press for 5 minutes). You will hear
a long system tone.
6. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
7. Press - you will hear two short system tones.
8. Hang up.

3.20 Ring assignment
This feature designates which extensions will ring in response to an incoming call when the ASAP
P2.5X is in the alternate operator mode. The pre-assigned extensions are EXT 20 and EXT 22 for
LINE 1, and EXT 21 for LINE 2.

1. Lift the handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear a long system tone.
3. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
4. Press
5. Press ~ to select line.
6. Press ~ (extensions 20 to 24).
(e.g. Press in series if you want to
group extensions 20 to 24).
- If the extension is already designated, one tone is heard.
- If the extension is available, two tones are heard.
7. Press to set the group or press to reset the group.
8. Repeat step 6 through 7 for another designation or cancellation.
9. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.
10. Press - you will hear two short system tones.
11. Hang up.

3.21 Setting day and time
To set time and day:

1. Lift the handset connected to EXT 20 - the system tone is heard.
2. Press - you will hear a long system tone.
3. Replace the handset for two seconds and then lift the handset. You will hear the system tone again.

5. Press ~ to select day.

To check the day and time:

4. Managing individual voice mailboxes
4.1. Password registration
To access your voice mailbox, you must assign a password. The password must be a 4-digit number
composed of your extension number and a 2-digit number of your choice.

3. Press your extension number ~
4. Press a 2-digit number of your choice. e.g.

4.2 Voice mailbox OGM
This system has a total recording capacity of 60 minutes, which is shared between incoming messages
(ICMs) and outgoing messages (OGMs). At each extension, ICMs and OGMs can be recorded with a
default maximum time of 3 minutes per message. Refer to Page 13, Section 3.19 to change maximum
recording time.
Password + Record OGM
To record an OGM for an extension:
1. Lift the handset - a system tone is heard.
2. Press
3. Press your 4-digit password.
4. Record your OGM after listening to the message, “Please record your message after the tone.”
(e.g. This is John and I am away from my desk. Please leave a message and I will return your call
as soon as possible. Thank you.).
5. Hang up.
4.3 Checking voice mailbox OGM
Password
To listen to an extension OGM:
1. Lift the handset - the system tone is heard.
2. Press
3. Press your 4-digit password .
4. Your recorded message will play.
5. Hang up.
Note: EXT 20 is used when an incoming call is unanswered in the Attendant and Operator modes. The
OGM for EXT 20 must be recorded at the attendant station.

4.4 Checking voice mail messages
When there are messages in your voice mailbox, you will hear a different system tone. To play the
messages:
Password
1. Press
2. Press your 4-digit password.
3. Voice mailbox operation:
Press to save.
Press to delete.
Press to skip.
Press to repeat.
4.5 Checking voice mail messages remotely
1. Dial your telephone number using a tone telephone.
2. Press during the OGM
3. Enter your 4-digit password:
Press to play messages.
Press to save.
Press to delete.
Press to skip.
Press to repeat.
Press to change OGM.
Press to disconnect.
Press to change OGM.
Press telephone number to program a Call Forwarding telephone number.
Press telephone number to program a Call Forwarding telephone number in the
After Hours mode.
Press telephone number to program a telephone number for Call Notification at
a remote site.
