Introduction
The NVM Windows 2000 Voice Mail system can be integrated with an SMTP Server
and can be configured to operate in a POP3 or IMAP4 environment.
This document tells you how to upgrade your Voice Mail software to the latest
version, and how to install the SMTP Email feature. This document applies to the
following NVM series Voice Mail platforms:
NVM - Professional (P/N 1770005)
NVM- Server (P/N 1770006)
NVM - Server Desktop (P/N 1770004)
NVM - Server XL (P/N 1770007)
The SMTP feature allows Voice Mail to send Voice and Fax messages to any POP3
or IMAP4 Email client. An incoming Voice Mail or Fax message appears on the
SMTP client in the same list as incoming Emails. Email users can read, delete, reply
to, and forward Email messages that are in their POP3 or IMAP4 account.
Any of the following Email applications can be used as an SMTP client to view
messages:
■MS Outlook
■Outlook Express
■Web based - See service provider
When a Voice/Fax message is sent to the POP3 account, and the user deletes or
reads the message, it will not be deleted or marked as read in the Voice Mail
mailbox. However, if the Voice/Fax message is deleted from the Voice Mail mailbox,
an attempt is made to delete it from the POP3 account, provided the user mailbox
has POP3 information programmed. If the POP3 mailbox information is left blank,
no attempt is made.
Features Unified Messaging is the feature that allows Voice, Fax, and Email to be received
on the same client PC, using Outlook or other Email application. Each Voice Mail
Server is shipped with a default number of Unified Messaging seats. This number
can be expanded by purchasing additional seats. All that is required for the default
number of Unified Messaging seats to be active, is to perform the SMTP integration.
Text-to-Speech copies your Email text messages and converts them to synthesized
speech so that you can listen to them through your Subscriber Mailbox at a
telephone. A digital voice synthesizer tells you the sender and subject before
reading you the actual Email message.
Synchronization is a feature of IMAP4 that allows the actions performed at a
subscriber mailbox to be repeated at the Email server and vice versa. For instance,
if synchronization is enabled and a subscriber deletes a message in his mailbox,
the message will also be deleted on the server.
Unified Messaging Mailbox Options is a software component that can be installed
on the Email client, so that SMTP accounts can be created locally by the client,
rather than at the Voice Mail Server.

The NVM Win2K Voice Mail System can be integrated with the following types of
Email Servers:
■MS Exchange 2000
■SMTP/POP3
■SMTP/IMAP4

The NVM Voice Mail unit must be connected to a network that has access to the
SMTP Email Server.

Connect a cable from the Ethernet port on the rear of the Voice Mail unit to the
network. Figure 1 shows the location of the LAN port (Ethernet connector) on the
rear of the unit.

1) Click Start ! Settings ! Network and Dial-Up Connections ! Local Area
Connection.
The Local Area Connection Status screen is displayed:
2) Click the Properties button. The Local Area Connection Properties screen is
displayed:

3) Double-click on Internet Protocol (TCP/IP). The Internet Protocol Properties
screen is displayed:
4) On the General page of the Internet Protocol Properties screen, enter the
values for:
■IP address of the Voice Mail server
■Subnet mask
■Default gateway
■DNS server (If DHCP is not being used, this address must be set)
These values can be obtained from the network administrator.

Version
NVM Win2K Voice Mail software must be version 3.30.04 or higher in order to use
the SMTP feature. To check the current version of Voice Mail software, perform the
following:
1) Start the Voice Mail application and click About in the Menu bar.
2) A screen similar to the one shown below indicates the installed version of the
GUI and the Voice Mail Service.
■The GUI version should be 2.10.0.0 or higher
■The Voice Mail version should be 3.30.04 or higher
3) If an earlier version of software is installed, you will need to perform the upgrade
procedure prior to installing the SMTP feature.

1) If you have a Services shortcut on your desktop, double-click the Services icon.
If you do not have a Services shortcut on your desktop:
■Click Start ➱Settings ➱Control Panel.
■Double-click the Administrative Tools icon on the Control Panel window.
■Double-click the Services icon on the Administrative Tools window.
You see a Services window similar to the one shown below:
2) In the Services window, use the scroll bar to locate Voice Mail Service and
double-click.

You will see the Voice Mail Service Properties window similar to the one shown
below:
3) On the General page of the Voice Mail Service Properties window:
■In the Startup type field, click the scroll down arrow and select Manual.
■Click the Stop button to stop the Voice Mail Service.
■Click Apply, then click OK to close the Voice Mail Service Properties
window.
4) Close the Services window and reboot the computer.

Upgrading

If it is necessary to upgrade the Voice Mail software to the current version, perform
the steps below. If the version is already 3.30.04 or higher, skip this section and go
to
Installing the SMTP Feature on page 10.
1) Insert the Windows 2000 Voice Mail software installation disk into the CD drive.
The disk will autostart and the Setup screen will appear.
2) Select Voice Mail Windows NT/2000 Service from the list and click the Install
button.
3) The Install Wizard starts. Click Next.
4) When the License Agreement dialog is displayed, click Yes.
5) In the Setup Type screen, click the radio button to select Upgrade, then click the
Next button.
6) You are not required to enter any information into the SQL Server, Computer
Name, User Name, Password screen. Click the Next button.
7) The Progress Indicator will be active while the upgrade is taking place. Once the
software upgrade is complete the message

8) Click the Finish button. If the Setup screen is still open, click Close.

Installing the
SMTP Feature To install the SMTP software:
1) Insert the NVM Win2K Voice Mail software installation disk into the CD drive. The
disk will autostart and the Setup screen will appear.
2) Select Voice Mail Windows NT/2000 Service from the list and click the Install
button.
3) The Install Wizard starts. Click Next.
4) When the License Agreement dialog is displayed, click Yes.
5) In the Setup Type screen, click the radio button to select Component
Installation and then click the Next button.
6) The Select Components window is displayed:
■Check E-Mail Integration
■Click the radio button to select either SMTP/POP or SMTP/IMAP
7) Click Next.
8) The Progress Indicator will be active while the installation is taking place. Once
the installation is complete, the message

9) Click the Finish button. If the Setup screen is still open, click Close.

To verify that the feature installation was successful:
1) Click Start ➱Programs ➱Voice Mail System ➱Registry Configuration. The
Voice Mail Registry Settings window appears.
2) Click the Features tab. Check to see that the SMTP component is installed.
■
The E-mail integration checkbox should be checked
■The E-mail integration field should contain c:\vm\service\SmtpInteg.dll if
using POP3 or, c:\vm\service\IMAP4Integ.dll if using IMAP4.
3) Click OK to close the Voice Mail Registry Settings window.

For normal operation, the startup mode must be returned to Automatic or the Voice
Mail will not start on its own after a computer or power fail restart.
1) If you have a Services shortcut on your desktop, double-click the Services icon.
If you do not have a Services shortcut on your desktop:
■Click Start ➱Settings ➱Control Panel.
■Double-click the Administrative Tools icon on the Control Panel window.
■Double-click the Services icon on the Administrative Tools window.
You see a Services window similar to the one shown below.
2) In the Services window, use the scroll bar to locate Voice Mail Service and
double-click.

You will see the Voice Mail Service Properties window similar to the one shown
below.
3) On the General page of the Voice Mail Service Properties window:
■In the Startup type field, click the scroll down arrow and select Automatic.
■Click the Start button to start the Voice Mail Service.
■Click Apply, then click OK to close the Voice Mail Service Properties
window.
4) Close the Services window.

Programming
Mailboxes All Subscriber Mailboxes that will be a part of Unified Messaging must have the
Email integration feature enabled and have the SMTP Account information filled in.
1) Start the Voice Mail GUI.
2) From the GUI Menu bar, click Customize ➱Mailbox Options ➱Edit.
The Mailbox Range screen is displayed as shown below:
3) Select the Subscriber Mailbox or range of mailboxes and click OK.
The General page of the Mailbox Options window appears for the selected
mailbox, (or the first mailbox in the selected range).

4) Enter the Subscriber’s name in the Name field. Whatever name is entered in this
field will be used for Name Dialing and will also appear on the Email and on
reports.
5) In the Email Name field, enter the Email address where the voice mail will be
received.
6) Click the Subscriber tab on the Mailbox Options window.
■Check Enable Email Integration.
■Check Enable Email Text-to-Speech if the Text-to-Speech option is
installed.

7) Click on the Email tab of the Mailbox Options screen.
If SMTP/IMAP4 was installed, the following window will be displayed:
