1Introduction
Suite64HDVoicemailisacompact,high‐performancevoiceprocessingsystemthat
connectstoabusinessphonesystem.Itoffersbusinessestheabilitytoexchange
informationthroughthetelephonewithoutrequiringsimultaneousparticipation
bythecallerandthereceiver.Thesystemconvertshumanspeechtodigital
signals,storesthemonadisk,andconvertsthedigitalsignalsonthediskbackto
humanspeechasrequired.
Systemuserscansendvoicemessagestootherusers.Sincealmosthalfofall
phonetransactionsneedonlyone‐waycommunications,thevoicemailfunction
streamlinesbusinesscommunication.
Whenyouarenotavailableorpreparedtoreceivecalls,youmayforwardcallsto
thesystem.Thesystemanswersthephone,takesmessages,andstoresthe
messagesforretrievalatanytime,andfromanyplace.
ThebasicSuite64systemincludestheabilityto:
•Sendmessagesintelephoneansweringandvoicemailmode.
•Sendcopiesofmessages.
•Sendmessagestomultipledestinationsandgroupdistributionlist.

Inaddition,thesystemprovides:

• Deliveryoptionswhensendingorreplyingtomessages.
•Dial‐by‐nameaddressingformessages.
• SecretarymailboxandGuestmailbox.
• Temporarygreeting.
Inordertosimplifystoring,twoqueuesareused.TheNewmessagequeuestores
allmessageswhichhavenotbeenlistenedtobytheuser.TheSavedmessage
queueisusedtostoremessagesforfutureaction.
Asmessagesarerecorded,theyneedtobestoredinsuchawaythattheycanbe
retrievedefficiently.Suite64HardDriveVoicemailstoresmessagesinmailboxes.
Eachuserisassignedamailboxnumberforprivateuse.Eachmailboxisprotected
byauser‐definedaccesscode.Thus,theuseristheonlyonewhocanretrieve
messagesleftintheirmailbox.Whenauserusestheirmailboxforthefirsttime,a
tutorialwalksthemthroughtheprocessofsettingupamailbox.Theuseris
promptedtorecordtheirnameandtochangethetemporaryaccesscodeassigned
bythesystem.
Inadditiontotheirownmailbox,userscanhaveGuestMailboxes(depending
uponmailboxparameters).Thesemailboxesprovideforlimitedvoicemail
capabilitiesbetweentheuserandtheirguest.However,thefirstguestmailbox,
calledtheSecretaryMailbox,canonlylistentotheenvelopeinformationofthe
messagesintheuserʹsmailbox.TheSecretaryMailboxcannotlistentotheuserʹs
messages.MessagescannotbesenttoorsentbytheSecretaryMailbox.
Morethanonepersoncanusethesystemfeatures.Eachportallowsoneuser
accesstothesystem.Aportisapathtothesystem.Forexample,uptoeight
userscanberecordingorlisteningtomessagesatthesametimewiththeeight
portSuite64HardDriveVoicemailsystem.Sincenotalluserswouldbeaccessing
thesystematthesametime,multipleuserscanbesupported.Usercommandsare
justonedigitlong.Theydonothavetobememorizedsincethesystemis
constantlypromptingusersaboutwhattodo.Experienceduserscaninterrupt
promptsandcanevenskipaheadseveralstepsiftheyknowwhattheywantto
do.
UsingaTouch‐ToneR)phone,youcanreceiveorsendmessagesfromanylocation
throughyourvoicemailbox.Ifyouarebusyinyourofficeorawayonabusiness
trip,customers,vendorsorotheremployeescanleaveyoudetailedmessagesin
yourvoicemailbox.Protectedbyyouraccesscode,thesemessagesarecompletely
confidential.

Thebestwaytolearnhowtousethesystemistoexperiment.Nothingyoudo
canhurtthesystem.Sendmessagestoyourself.Accessthepersonaloptionsand
changethem.(Nochangesarepermanent,exceptfordeletingamessage,soyou
canalwayscorrectthem.)
Thesystemisprogrammedtorespondwhenanyofthe12keysarepressed.Ifno
keyispressedinresponsetoaprompt,thesystemassumestheuserisconfused.
Thesystemrepeatstheuserʹsoptions.Ifthereisstillnoresponse,thesystem
automaticallytransfersanon‐usertoanattendant,orpolitelydisconnectsauser
fromthecall.
Thesystemcountsthenumberoferrors(incorrectkeypresses)thatausermakes.
Ifthecountexceedsacertainnumber(usually3)thecallerispolitely
disconnected.Thesystemdoesthistoallowasmanyusersonthesystemas
possible.Donʹtgetdiscouraged.Lookinthismanualtogetmoreinformation;
thencallback.

Thefirsttimeyouenteryourmailbox,thesystemprovidesatutorialwhichallows
youtocreateyouraccesscode,andrecordyourname.
Youwillneedthefollowinginformationfromyoursystemadministratortosetup
yourmailbox:thenumbertoreachthesystem,yourmailboxnumber,andyour
temporaryaccesscode.Onceyouhavethisinformation,followthesesteps:
1. Callthesystem:______.

sometelephonesystemsthisstepwillnotberequired.
3. Enteryourpersonalaccesscode.Ifthereisasystembroadcastmessage,it
isplayed.Thesystempromptsyoutorepeatthemessage,oreraseand
continue.Ifthereareanydeliverynotificationmessageswaitingtheyare
played.Thesystemwillthentellyouifyouhaveanymessageswaitingto
beheard.Themainmailboxmenuisthenplayed.
Broadcastmessagesarerecordedbythesystemadministratorandaresenttoall
users.Thesemessagescontainimportantannouncementsaboutthesystem(e.g.,
ʺThefollowingsystemenhancementswillbeavailabletoallUserseffective...ʺ)orthe
company(e.g.,ʺTomorrowwillbehalf‐dayholiday.ʺ)Usersmustlistentothe
broadcastmessages.Afterlistening,thebroadcastmessagemaybedeleted.
Anerasedmessagenoticeinformsauserthatamessagewasautomaticallyerased,
orisabouttobeerased.Anerasedmessagenoticemaybeskipped.Userscannot
savethesemessagesandskippingthemsimplysavesusersfromhavingtolisten
totheentirenotice.

Usersmayrequestconfirmationfromthesystemregardingthestatusofmessages
theysent.Therearetwotypesofconfirmationavailable:
Apositiveconfirmationofreceipt.‐Thisnoticeindicatesthatthemessage
sentbytheuserwasreviewedbytherecipient.Thisnoticeisgeneratedonly
iftheoriginalmessagewassentwiththeʺproofofdeliveryʺoption.
Anotificationofanundeliveredmessage.‐Thisnoticeindicatesthata
messagehasresidedintherecipientʹsmailboxforXdaysandthatithasnot
beenlistenedto.Thenumberofdays(ʺXʺ)isdeterminedonapermailbox
basisbythesystemadministratorviaClassofService.Thisnoticemaybe
generatedonlyiftheoriginalmessagewassentwiththeʺundeliveredmessage
notificationʺdeliveryoption.Confirmationnoticemaybeskipped.
Whenyouhavefinishedusingthesystem,press*untilthesystemsays,ʺExiting
thesystem.Goodbye.ʺ

Asyoubecomemoreandmorecomfortableleavingandreceivingvoicemessages,
thelengthandcomplexityofmessageincreases.Sometimesanimportantphone
numberisembeddedinathree‐minutemessage.Asyoubecomemore
experienced,youwillwanttocontroltheplaybackofthemessagesyoureceived.
Thesystemplaybackcontrolsaredesignedtogiveexactlythatflexibility.With
playbackcontrols,youcanscanthroughalongmessagetofindaphonenumber
withoutlisteningtothewholemessage.Afterdialing1tolistentoamessage,
youcanpress:
1‐Rewindtothebeginningofthemessage.
7‐Rewind.5seconds.
8‐Pauseandrestartthemessage.
9‐Forward.5seconds.
##‐Skiptothenextmessage.

Skipping a Message
Userswithlimitedtimemayusetheskipfeaturetoscanthroughtheirmessages,
ortolookforanimportantmessagefromacertainperson.Therearetwo
variationsonthisformofmessagescanning:
•Listentothefirstfewsecondsofeachmessage,thenskiptothenextmes‐
sage.Repeatthisprocessforeachmessage.
•Listentomessageenvelopeinformationassoonaseachmessagebeginsto
play,thenskiptothenextmessage.Itisnotnecessarytotheentireenvelope.
The envelope information for messages may also be scanned through use of
the secretary access code.
Ausermayskiptothenextmessageatanytimebydialing#twice.Skippinga
messagemeansthatitretainsitsoriginalplaceinthenewmessagequeue.Itis
availableforreviewasaskippedmessageduringthissessionorasanewmessage
inasubsequentsession.

Canceling Play of Messages
Youmaycancelmessageplayingwhilelisteningtomessagesbydialing*.Any

alsoremaininthenewmessagequeue.
Replaying a Message
Attheendofamessage(whenthesystempromptswiththeʺAfterListening...ʺ
menu)youcanreplaythatmessageinitsentirety.

Ifthemessageneedstobeactedonlater,itmaybesaved.Savedmessagesare

Erasing a Message
Ifthemessagedoesnotrequireaction,itshouldbeerased.Erasingmessages
keepsthemailboxclearandreducestheneedforsystemstoragecapacity.

Reply to a Message
Ausercansendareplytoamessagebydialingonekey.Ifthemessagehasbeen
copiedfromanotheruser,thereplycanbesenttothepersonwhooriginallysent
themessage,ortothepersonwhosentthecopyofthemessage.Repliesmayonly
besenttomessagesfromusersreceivedinthevoicemailmode.
Therefore,Usersshouldentertheirownmailboxbeforesendingmessage,so
recipientsmayconvenientlyreply.

Envelope Information
Ausermayneedtoknowdetailsaboutamessage:whosentit,thetimeanddate
itwasdelivered,thelengthofthemessage,andwhetheritispriorityand/or
confidential.Thisinformationiscalledtheenvelopeinformation.This
informationcanbeprogrammedbythesystemadministratortoplayautomatically
eitherbeforeorafteryouhearthemessage.Inaddition,theenvelopeinformation
canbeheardatanytimewhilelisteningtothemessagebypressing5.Ifthisis
done,afterplayingtheenvelopeinformationthesystemautomaticallyreturnsthe
usertothepointatwhichtheenvelopeinformationwasrequested.

Thetimeanddatestamponanewmessagealwaysrelatestomessagedelivery.
Formessagessentfromanothermailboxuser,thesystempromptsforyourchoice
ofthesenderorthepersonwhooriginatedthemessage.
Onceamessageissaved,thetimeanddatestampreferstothetimeitwasfirst
saved.Thistimeanddatestampallowstheusertoknowhowmuchlongerthe
messagecanstayinthemailboxbeforeitisautomaticallydeleted.Listeningtoa
messageandre‐savingitdoesnotchangethetimeanddatestampnorwhenthe
systemautomaticallyerasesthemessage.
