Paging allows you to make an announcement to indi-
viduals or groups via speakerphones. Dial the page
number (speak to your administrator if you don’t
know it), or touch the programmed Page key. Wait
for the confirmation tone, make your announce-
ment, and then hang up.
Touch to bring up the call history page. Touch
the scroll arrows to navigate up and down. Touch
the name of the person you want to call.
Whilst on a call, touch Park in the screen, dial the
extension where you want to park the call (not your
own extension), and then touch Park again and hang
up.
To retrieve a parked call, from the nominated
phone simply lift the receiver. From any other
phone, dial the Unpark code *12 and then the exten-
sion number of the phone where the call is parked.
If you want to pick up another user’s call, press the
Pick Up key in the screen.
Whilst on a call, touch Conference, and dial the 3rd
party. Touch Consult to ring and invite the 3rd par-
ty, then Complete to join everyone together.
If you want to end a conference call, simply hang up
to leave other parties talking, or press Show in the
screen and select the party you want to drop from
the call by pressing the hang up icon by their name.
Select the forward mode required by touching this
icon , then touch User Options. Enter your pass-
word and touch OK. Touch Call Handling, then se-
lect either Standard, In Meeting, Out of Office, Ex-
tended Absence, or Custom.
Basic Call Handling
To make an internal call, lift the receiver and use the
dial pad to dial an extension number, and then touch
Dial in screen. If you want to make the call hands free,
dial the number without lifting the receiver, and press
Dial. Repeat these steps but press the Headset button
if you want to make the call with a headset.
To make an external call, repeat the relevant steps
above, ensuring that you dial ‘9’ before the phone
number.
To answer a call, either pick up the receiver, press
Answer in the screen, or press the headset button.
To call someone who is in your directory, press ,
then ABC, then type the 1st letter of the person you
want to call. Select the correct name from the list
that will then appear, and touch the name to dial.
To place a caller on hold, touch Hold in the screen.
Touch Unhold in the screen to get them back.
Whilst on a call, touch Transfer in the screen to put
the caller on hold, then dial the number of the person
you are transferring the caller to, and touch Consult.
Announce the caller and touch Complete when ready.
If you want to blind transfer a caller, touch Transfer,
dial the number, and then touch Transfer again.
Touch To Voicemail in the screen to send the original
caller into voicemail.
If the transfer isn’t successful, touch Cancel in the
screen to return to the original caller.

To change the set up for each mode, touch and
then User Options and enter the password and OK.
Touch Call Handling, and press the arrow next to the
mode you want to edit . Change the call handling
mode and destination by touching Edit and entering
new settings. When finished, touch Done to save
changes.
Remember that if you forward a call to an external
call, the cost of the onward call will be charged to
you!
You’ll know if your voicemail contains new messages
because you’ll hear a broken dial tone through the
handset, or the phone’s message waiting light will
flash.
To check your messages from your extension, press
Voicemail, enter your 6 digit password (default is
123456), and press #.
If you are logging in for the first time, you’ll be
prompted to enter a new password and to record your
name.
To check your voicemails from Communicator, Click
on the voicemail tab at the bottom of the Communi-
cator screen, or open it from Windows at the top of
the Communication screen if it is not already open.
Then simply double click on a message to play it
thought the handset/headset.
To check a voicemail from another extension, press
Voicemail, and then #. You can also dial #, then #
again instead. Enter your extension, then your pass-
word, then # again.
To check your voicemail from an external phone, dial
your voicemail access number, press #, enter your
extension number, then your password, and # again.
After listening to a message, you can replay (1), save
(2), delete (3), forward (4), reply to sender (5) or
replay date and time (6). To replay all of your mes-
sages, press 3 from the Main Menu.
As a safeguard against accidental erasures, the sys-
tem will retain a deleted message for a few hours.
To listen to a deleted message, press 7 from the
Main Menu, and 7 again to begin playing them. You
can manage these messages as above (save now be-
comes restore).
The voicemail viewer applica-
tion is similar to the Shortel
Communication voicemail appli-
cation.
Users are presented with a list of voicemail messag-
es that can be played from the Inbox, Saved, or De-
leted tabs. A progress bar is displayed with controls
to Pause, Skip Forward, and Back and Stop messag-
es. The progress pointer may be dragged to a differ-
ence point along the slider to skip to the correspond-
ing point of the message.
A voicemail password must be set before voicemail
can be accessed, however once signed out of
voicemail, a user will be prompted to re-enter their
password the next time voicemail is launched.
If you have the relevant permission, you can assign
your extension to any phone on the system. Press
the Voicemail key or touch the Voicemail icon
on the phone you want to log on to. Press #, enter
your extension number, then your 6 digit password.
At the main menu select 7, and then one of the
numbers from the prompts that follow. Press 3 to
reassign the extension, then 1 to assign the exten-
sion or 2 to unassign the extension. The handset will
then revert to its original extension.
