1. General Information
Voice announcements guide you through the user menu and setup menu of your
voicebox.
As user of a system telephone (T3, 1408, 1416, 9508) you also have the ability to
control your voicebox using a corresponding menu. Instead of the voice
announcements that usually explain the possible operating steps, the relevant
functions are now displayed in the menu. For more information, see section 5.
Otherwise you have to call the voicemail. During the call you will listen to the
functions available in the main menu. The numeric keypad on your telephone can
be used to navigate through the menus.
You can enter numbers on the keypad even while you are listening to voice
announcements.
Before using your voicebox for the first time you should do the following:
•For security reasons, you should change the preset PIN (0000) of your
voicebox (see page 26). This prevents unauthorised persons from listening
to your messages.
•You should use your handset to record your own individual greetings. If you
do not create a personal greeting or if the greeting has been deactivated,
callers will hear a standard greeting message stating your internalextension
number.

3. Operating the voicebox
3.1 Activating the voicebox
To activate the voicebox, you must set up a call diversion to the voicebox.
3.2 Listening to messages on the voicebox
Dial the call number of your voicebox.
You are prompted to enter your PIN.
3.3 Message waiting
First of all you will hear an announcement of your messages.
Any entries for other menus will not be recognised and processed until the
announcement for the message is in course.
3.4 No message on the voicebox
If you have not received any messages the only options available in the main
menu will be digit 4 (Configure your personal voicebox) or digit 7 (Send a message
to another voicebox).
3.5 Voicebox full
3.5.1 Subscriber listens to messages on the voicebox
You will hear the message "Your voicebox is almost full. Please delete messages
you have already listened to".
After this the options of the main menu will be announced.
3.5.2 A call for the subscriber reaches the full voicebox
You can define in the system whether the caller should hear the busy tone or an
announcement. Ask your system administrator for more details.

3.6 Operating your voicebox from outside the telephone system
The following options are available:
If you are calling from an external number (for example, from a mobile phone):
Dial your own call number: _ _ _ _ (e.g. 06947114321)
You will be forwarded to your voicebox.
Press any key during the announcement
Enter 4-digit PIN;
You will hear the announcement of the main menu:
or Delete message
or Listen to previous messages
or Listen to the same message

3.7 Listening to and deleting messages
The following options are available:

3.8 Configure your personal voicebox
3.8.1 Activating/deactivating the notification call function
If a caller has left a message in the voicebox, you are notified by a call to your
internal extension number. If you would like to be informed of new messages on
another phone (for example, on your mobile or home phone), enter the appropriate
destination number and activate the notification call function. You are notified after
a short delay.
Dial the number of the voice server: _ _ _ _ (for example, 1016)

Enter new destination number
Enter the destination number where you would like to be notified of new
messages, and press # to confirm. Please enter exchange line access
code for external destinations (for example, 0069750501# ).
As a check you can press digit once again after #. After that an
announcement will inform you of the destination you have just entered.
Press to activate or deactivate the notification call function. The system
will inform you of the current status.
The function changes each time you press .
Return to previous menu
Note: If you only want to activate or deactivate the notification call function,
press instead of , which is used to enter a destination number.
3.8.2 Activating and deactivating automatic deletion of old messages
You can ask you system administrator to set up the number of days you want to
store your messages, the number of messages and the maximum recording time.
Otherwise the default setting (50 messages, which are stored without time limit,
and a maximum recording time of 50 seconds per message) will be used.

Press to activate or deactivate the automatic deletion
function. The system will inform you of the current status. The

3.8.3 Greeting text menu
You can record call type dependent greetings (depending on the type of call
diversion to the voicebox) and up to 6 call type independent personal greetings.
An announcement is only played if you have activated the group (call type
dependent or independent) and one or more announcements.
You can activate various call type dependent announcements but only one that is
call type independent.
When a caller is diverted to your voicebox it will first be checked whether the call
type dependent announcement group is active. If this is the case, it will be
checked whether the announcement that belongs to this call type is active. Then
the announcement is played.
If the call type dependent announcement is not active, it will be checked whether
the group of call type independent announcements is active. If this is not the case,
either, a general announcement will be played.
Otherwise the active announcement is played.

3.8.4 Voice-operated menu
You can select, activate and deactivate the language in which you want to listen to
the announcements in your voicebox.
If the language you have selected is deactivated you will hear the announcements
in the language set up for the system by your system administrator.
You will hear a message that informs you whether your voicebox language is
activated or deactivated.
Dial the number of the voice server: _ _ _ _ (for example, 1016)

3.8.5 Changing your PIN

Enter NEW 4-digit PIN, and press # to confirm your entry
Enter the NEW 4-digit PIN, confirm with #.
You will hear ashort acknowledgement tone once you have entered
the correct PIN, afterwards you will hear the previous menu
Return to previous menu, cancel input
Note: If you have changed your PIN and want to reset your new PIN back to
your old one, you must first enter a PIN that is not identical to either the
old PIN or the one that is currently in use,
e.g. 4711 Ö4712 Ö4713 Ö4711

3.9 Sending a message to another voicebox
Recording a message on another voicebox:
Dial the number of the voice server: _ _ _ _ (for example, 1016)
Enter 4-digit PIN;
You will be informed of any new messages
Send new message to another voicebox
Enter destination call number (for example, extension 112);
confirm with # or cancel with or cancel with
Please listen to the announcement
Begin speaking after the tone
Press # to confirm entry;
You will hear an announcement that the message has been
sent and afterwards the options of the previous menu
Cancel transmission of message;
You will return to the main menu where you can listen to your
messages.
3.10 Forwarding messages
Forwarding a current message:
After listening to a message, you can forward it to another voicebox..
Dial the number of the voice server: _ _ _ _ (for example, 1016)
Enter 4-digit PIN;
You will be informed of any new messages.
You will be forwarding the last message you heard.
Forward current message
Enter destination call number (for example, voicebox no.112);
confirm with or cancel with
Press to confirm that you want to forward the message;
You will hear an announcement that the message has been
sent and afterwards the options of the previous menu
Cancel; return to the announcement of the main menu

4. Functions not offered by means of announcements
4.1 Activating/deactivating timestamp announcement
Dial the number of the voice server: _ _ _ _ (for example, 1016)
Enter 4-digit PIN;
You will be informed of any new messages.
If the speaking clock has been activated and you want to
deactivate it, press . while a message is being played back.
You will then hear the same message again, this time without
the time stamp. All subsequent messages will be played back
without a time stamp.
If the time stamp has been deactivated, press . to activate the
speaking clock while the message is being played back. You will
then hear the same message again, this time with the time stamp.
All subsequent messages will be played back with a time stamp.
4.2 Listening to messages in another voicebox
If you want to use your phone to listen to messages left in a different voicebox, the
PIN of the voice mail box must not be identical to your own.
Dial the number of the voice server: _ _ _ _ (for example, 1016)
Enter 4-digit PIN;
Enter the voicebox number (for example, voice box no. 112),
and press # to confirm.
If your input is correct you will hear the announcement of the
main menu;
In case of error, the input of both numbers can optionally be
repeated (to be configured by your system administrator). If
the input is wrong again the connection to the voicebox will be
terminated automatically.
4.3 Fast forwarding / Rewinding a message
Dial the number of the voice server: _ _ _ _ (for example, 1016)
Enter 4-digit PIN;
The message can be fast-forwarded while it is being played.
The message can be rewinded while it is being played.

5. Voicebox Operation on a System Terminal
(version R3.0 and later)
(This feature must be activated by the service or by your system administrator.)
On a T3 family system telephone, launch the main menu and select the Voicemail
menu option. Next, choose one of the sub-options Play messages,
Activate/deactivate or Setup voicemail.

5.1 Listen to voicemail
Enter the number for the desired voicebox.
If you wish to listen to your personal voicebox or the central voicebox, you can
also select the corresponding menu option or softkey.
Enter the relevant PIN.
If you are using the default PIN (0000), you can skip this step.

Once entered, you will be connected to the voicebox.
You will hear an announcement about the number of messages and then all
messages will be played, starting with new messages followed by messages
already listened to.
The softkeys and menu options allow the user to skip forward and back through
the message and also to delete individual messages or all messages.

5.2 Enable/Disable Voicemail
This menu option allows you to activate your voicebox to answer calls by setting
up a call diversion to your voicebox. The call diversion destination Voicemail is
entered by default. It then only remains for you to choose whether the voicemail
should accept a call immediately, only after a certain period of time or only when
you are busy on another call.
If you have already configured Twinning with an external number (e.g. your mobile
phone), you may also enable Call diversion to voicemail after time.

5.3 Configure voicemail
In this menu, you can customise the voicemail features to suit your requirements.

5.3.1 Welcome message
Here you can record the standard welcome message for your personal voicebox
or for other voiceboxes.
As with listening, you will be asked for the relevant PIN number after entering the
voicebox number.
Select Record, wait for the announcement and then record your greeting.
Selecting Replay (>) allows you to check your recording.
To ensure that your personal greeting is now used for incoming calls, this
recording must be enabled using the Activate/Deactivate menu option or the
On/Off softkey.
5.3.2 PIN number
Here you can change the PIN number for your personal voicebox or for other
voiceboxes. First, select the desired voicebox from the menu and enter the
relevant existing PIN number. The voice announcement will then prompt you to
enter the new PIN number.
5.3.3 More options
This option allows you to access all other voicemail settings, e.g. alternative
greetings. Subsequent operation is then voice-controlled.
(see section 3.8)
5.3.4 Notify call
Activate this option (on) to display calls diverted to your voicemail. You will hear a
short tone as soon as your voicebox accepts a call. If you wish, you can then also
take the call on your phone.
5.3.5 Monitor
In addition to being displayed, a call answered by your voicebox can also be heard
through your phone's speaker. For this, activate the Listen option (on). As in other
scenarios, you can choose to accept the call if you wish to talk to the caller in
person.

5.3.6 Call list voicemail
This option allows you to choose whether calls answered by your voicebox are to
be included in your phone's call log. If the caller leaves a message in the voicebox,
the # character will appear next to the entry in the call log.
The Call Log menu allows you to listen to the voicemail after selecting an
appropriate entry.
5.3.7 Menu control
Use this option to activate or deactivate menu-controlled operation.
5.3.8 Timestamp
Activate this option (on) if you wish to be informed of the time each message was
left when listening to your voicemail.
