Do not cover the scanner with paper or drawings while the unit is being operated as this may lead to overheating and
constitute a possible fire hazard.
Do not modify the scanner by removing the rubber feet as this may impair the air circulation around the unit and lead to
overheating.
Avoid leaning heavily on the scanner when it is mounted on the stand as the unit could be damaged or become
unstable and result in personal injury. Always secure the scanner on the stand using the fixings provided.

CHAPTER 1 BEFORE USING THE SCANNER
1.1 Main Features of SmartLF Gx+

1.2 Unpacking SmartLF
SmartLF Gx+ ships polythene wrapped in a single-skinned 132lbs (60 kg) box. It is advisable to prepare a desk
surface or similar area capable of taking the weight of the scanner - 97lbs (44kg). You will need an assistant to help
you lift the scanner safely from its packaging. (42” model figures)
1.3 Lifting the Scanner
Make sure the scanner box is resting on the floor the correct way up (look at the name on the side).
With an assistant remove the box lid and expose the top of the scanner by folding back the polythene. Remove any
foam spacers protecting the scanner.
Have the assistant support their end of the scanner whilst removing the packaging at their end of the box. Do the
same at your end of the box. Both of you should now lift the scanner from the box onto the floor or desk.
WARNING: DO NOT TRY TO REMOVE THE SCANNER WHILE STILL INSIDE ITS PLASTIC WRAPPING AS THIS
WILL MAKE IT MORE DANGEROUS TO HANDLE - YOU MAY DROP IT!
Observe correct lifting technique (i.e. bent knees with a near vertical back). The choice
of position for SmartLF Gx+ should allow proper air circulation around the device in
accordance with normal office equipment practice.
Take care not to obstruct walkways with the power supply module. The electricity
supply should be taken from a switched output and be located within easy reach of the
scanner operator.
The computer used with SmartLF Gx+ should be located so as not to strain the interface
cable or present a cable-tripping hazard to the operator or others. The power supply is
best placed on the floor to prevent it being damaged or the cable connections being
strained in the event of it falling from a higher surface.
Do not leave scanner components e.g. document support trays, cables and software) in
discarded packaging.
Clear away all empty boxes and packaging before lifting the scanner on to a desk or
scanner stand (if ordered).

1.4 Attaching the Control Panel Language Overlay (if required)
This section should only be followed IF THE SCANNER HAS BEEN SHIPPED WITHOUT A LANGUAGE TEMPLATE. If the
scanner already has the control panel language template fitted please ignore this section.
First locate the language required from the multi-language pack supplied then follow the steps below:
1........... Power off the scanner. Take out the 5 screws in the end panel and remove it
2........... Remove the protective film covering the green display screen on the scanner control board
3........... Peel away the paper backing sheet from the template to expose the adhesive
4........... Using the display window as a guide (arrowed) carefully lower the template onto the control board
5........... Check button operation then replace the end panel with the 5 screws removed earlier

COMPUTER UNTIL INSTRUCTED TO DO SO.
1.6 Opening the scanner
Opening the scanner lid provides access to the scanner glass for cleaning and inspection.
Push down on the two circular buttons on each side of
the scanner lid. With both hands on the lid allow it to
open slowly to its full extent. The lid will support itself in
the fully open position. Do not let the lid open
unrestrained.
If the scanner is being installed for the first time be
sure to remove the piece of foam and retain it with the
packaging for the scanner. Always replace this item
when transporting the scanner.

1.7 Closing the scanner
The scanner lid must be closed for scanning and when not in use. Do not slam the lid.
Make sure that nothing has been left inside the
scanner BEFORE closing the lid or the scanner
may be damaged.
Push gently downwards on the lid using a hand at
each end making sure the OPEN buttons are
allowed to pop up.
Always ensure that both ends of the lid are latched
down properly.

1.9 Connecting the scanner
USB and Ethernet ports
Only one type of data communication can be active at once. To
minimise energy consumption of the scanner it is recommended
that only the USB2 or the Ethernet cable is connected to the
scanner.
NOTE: Using a single data connection also reduces possible
confusion over which port is active during the installation process.
Begin by connecting the Power Supply. Do not switch on the scanner or the
power yet. Note the flat side of the 4-pin DIN plug goes to the top side of the
socket (arrowed).
Depending on the preferred connection method insert the USB2 or the
Gigabit Ethernet cable supplied. If both cables are connected only the USB2
interface will function.
Colortrac recommend that customers begin by connecting the scanner using
the USB2 interface.

CHAPTER 2 PREPARING THE COMPUTER
2.1 Loading the scanner driver
This installation assumes Windows XP Professional / XP Home or Windows Vista (Home/Premium/Business) is
already started on the connected computer. A Vista installation is shown here.

2.2 Checking the scanner driver
Right-click Computer on the Start menu, select
Properties then Device Manager.
The scanner driver is part of Imaging Devices. Right
clicking on the SmartLF entry will bring up the Properties
for the device where the status of the scanner is
displayed. The status should be „This device is working
properly‟.
When SmartLF is not connected or not powered-up the
device „SmartLFGXp Scanner‟ will NOT be visible.
When the scanner goes into sleep mode the driver will
still be visible in the hardware device listing.

2.3 Installing software
Locate and insert the auto starting CD labelled „Installation CD‟. If the CD fails to launch go to the CD drive using
Explorer and double-click the Launch file to start the installer manually.
NOTE: The greyed rows above indicate the minimum installation allowing scan-to-file, copy-to-printer (Windows printer) and scan-
to-email.

CHAPTER 3 USING THE SCANNER FOR THE FIRST TIME
Documents are loaded RIGHT-SIDE justified or CENTER-justified and FACE-DOWN into the scanner. Look for the
yellow paper symbol. Colortrac SmartLF will scan standard sized and random sized documents up to the full scan
width of the scanner. The maximum scan length is limited only by the attached computer and scanning software. As
soon as the READY status is displayed documents can be loaded into the scanner.

THE SCANNER CONTROLS
The scanner controls for document positioning become active as
soon as the scanner reaches the ready state, normally 10 seconds
after switching on the scanner. Documents can be loaded, moved
and cancelled using the FWD, BACK and CANCEL buttons (shown
dotted).
TAKE CARE TO LOAD BETWEEN THE SINGLE LINES AS
THESE REPRESENT THE MAXIMUM ALLOWABLE DOCUMENT
WIDTH. SCANNING DOCUMENTS BEYOND THESE
BOUNDARIES MAY CAUSE DOCUMENT DAMAGE.
To adjust the load time period or „Load Timeout‟ see section 4.8
LOADING A DOCUMENT
For maximum document alignment accuracy always try to
place the document into the scanner with the longest edge
of the document towards the scanner opening and rollers.
Feed the document until it meets the internal roller. After a
short time period the scanner will automatically detect the
document and load it ready for scanning.
REMOTE CONTROL
With Colortrac software the FILE and COPY buttons on the scanner control panel duplicate the normal software
normally controls accessed with the mouse. Note that the FILE and COPY buttons on the scanner are not able to start
the software and these must be started using the Windows operating system BEFORE the scanner panel will be able
to activate FILE and COPY remotely.
3.2 Document Load Controls
These buttons operate without the scanner connected to a computer as soon as the scanner has initialised.

3.3 Scanner Software Functions
When Colortrac software is running pressing the scanner CANCEL button will stop the software AND stop the scanner.
The COPY, FILE and EMAIL buttons work by pressing them once to start an operation then pressing them again to
stop it. When using these buttons to remotely control the software press and hold them for at least 0.5 seconds.

3.3 Motorised Thick Media (MTM)
All SmartLF Gx+ scanners can accept media up to 0.08” (2mm) in thickness.
Gx+ T (MTM) scanners accept documents beyond this thickness up to a
maximum of 0.8” (20mm).
LOADING A THICK DOCUMENT
DO NOT PRESS THE OR BUTTONS DURING SCANNING, AS
THIS WILL STOP THE SCANNER IMMEDIATELY
AUTO PAPER LOAD IS ACTIVE FOR Gx+ THICK MEDIA OPERATION
BUT TEMPORARILY DISABLED WHEN USING THE OPEN LID (NEXT)
OR CLOSE LID (PREV) BUTTONS.
RETURNING SMARTLF MTM OPTION TO STANDARD THICKNESS MODE
The scanner is now returned to standard thickness mode. Note that pressing OPEN or CLOSE during scanning will
stop the scanner and is equivalent to pressing the STOP button.
3.4 ASF (AUTO SIZE FINDER)
ASF detects and displays the width of a loaded document as part of the document loading process. It works in
combination with the scanner software.
Configuration - ASF is factory set to off. Use the control panel on the scanner to select mm or inch measurement units
or to turn off this feature. Turning off ASF does not increase document load time.
Colortrac software uses scanner ASF when the document size setting is set for automatic or auto-size. Fixed or user-
input document sizes in the software will override ASF. The scanner will still display the actual paper size if ASF is
switched on. CopySmart software does not use ASF.
Document Position –Place documents side-justified in the scanner. Documents placed in the centre of the scanner
must be scanned using fixed or user-input document sizes only.
Operation and Scanner Maintenance - Check the displayed size to see if it looks correct. If the size is less than or
greater than the document width then the scanner roller and glass may be dirty. Re-normalise the scanner (Chapter 4)
after cleaning if the problem persists. If the size is shown as 0.0 the document has exceeded the scanner optical scan
width and a manually input size must be used.
a. Press and hold the button to open the lid until the
document gap is greater than the document thickness.
b. Insert the thick document
c. Press and hold the button to close the lid onto the
document until the motor noise stops automatically.
d. Now scan your document using the mouse, F9 or the
SCAN button. It is advisable to slow the scanner down
when scanning thick media.
a. Ensure that the scanner is not scanning or a document is being fed through the scanner
b. If a document is still in the scanner, support it while pressing the OPEN button and lift out the document
rather than using the FWD or REW buttons. This prevents the weight of the overhanging document levering
the trailing edge and causing it to be damaged or possibly damaging the scanner as it exits the rollers.
c. Hold down the CLOSE button to lower the lid until the motor noise stops automatically.

3.5The LCD Menu Tree
The scanner LCD display allows operator configuration of the language and the Ethernet connection parameters. To
access the menu system press the MENU button then use the FWD/ BACK buttons to scroll through the options.
Selecting an option then pressing ENTER jumps to the option configure stage. The Ethernet parameters can be
adjusted using the FWD / BACK / PREV and NEXT buttons.
Pressing ENTER saves the adjustment and returns the operator to the Ready display.
Pressing CANCEL aborts any changes and steps up and out of the menu.
Pressing MENU at any time returns the operator to Ready.

3.6 Using and Configuring Remote Software Control
The operator is able to control the SCAN / FILE and COPY functions of Colortrac software remotely for Windows XP
and Vista operating systems. Pressing the FILE and COPY buttons on the scanner control panel provides cyclic
ON>OFF>ON>OFF activation of these functions alongside normal mouse control.

For fragile originals scanner document speed can be controlled using the Quality slider accessed from the i-box in the
top left corner of the SmartLF user interface.
When a function is selected the software begins to scan the loaded document will wait
for a document to be loaded if there is not one. To prompt the operator the software
will display the animated icon showing a document being loaded into the scanner.

3.9 File overwrite
If the software is about to overwrite a file the operator can:
-overwrite the file by clicking SCAN or pushing ENTER on the computer

3.10 Document sizes
The scanner allows selection of AutoSize, Auto Length (Max width), ISO, ANSI and
ARCH paper sizes from the Paper size scroll box.
Auto Size may not work with transparent or non-square media.
Custom paper size is not permitted but any document appearing in the preview
window can be cropped to size before saving. This is useful for extracting parts of
larger drawings for emailing to colleagues or saving to disk.

3.11 Preview window
Zoom and crop tools are not available until a document appears in the Preview window.
Use CROP IMAGE to select an area of the image for scanning to file, to the Windows
printer or email. This places a green crop square onto the currently displayed image.
Use the corner grips to resize crop boundaries (arrowed).
3.12 Copying
This software uses any standard Windows printer driver for copying.
Copy print quality is controlled using the Windows driver Properties dialogue
in the normal way.
All images are copied at 1:1 or 100% with zero scaling unless overridden in
the Windows printer Properties box by the operator.
3.13 Tips
Image strikethrough
When scanning documents with information on both sides e.g. newspapers a black backing sheet placed behind the
image can prevent the image on the reverse side coming through in the scan. Wallets with a black backing surface
and clear acetate front do the same.
Wallets
Wallets used to protect very fragile documents are best used „fold edge first‟. Wallets made from Acrylic are clearer
and may produce a better scan result than polyester equivalents but are less resistant to scratching.

CHAPTER 4 SCANNER MAINTENANCE
4.1 Cleaning the scanner glass
The scanner has a single magnetically attached strip of glass running the full scan width of the scanner. The glass is
chemically treated and will resist moderate exposure to abrasive contaminants but users should always try to ensure
that scan documents are fairly clean and always free from metallic appendages such as paper clips and staples.
Streaks or lines in scans or copies can show up with solid colour work and can be caused by dirt or contamination (e.g.
low-tack glue) on the scanner glass. They can also be caused when the glass is clean or has been replaced, but the
scanner has not been re-calibrated. This is because the calibration still contains information about the problem. In
extreme cases streaks can be caused by dust on the mirrors or camera lens. If internal dust is thought to have entered
the scanner optics the problem is best referred to a trained service technician. If a technician is not available it may be
possible to move the dust using dry air by following the instructions in 4.2 below.
ALWAYS SWITCH OFF AND UNPLUG THE SCANNER BEFORE ATTEMPTING TO CLEAN ANY PART OF IT.
The glass can be cleaned with a mild, low-smear, high quality glass cleaner and
ideally two clean lint-free cloths. Apply the cleaner to the first cloth and use the other
to wipe the glass dry. If necessary the glass can be removed and the reverse side
cleaned although the removal tool may be required. LIGHTLY VACUUM THE GLASS
AREA BEFORE REMOVING THE GLASS to ensure paper and dust particles to not
fall down into the optics during the removal procedure.
If the glass becomes badly scratched and is affecting scan quality, a new
replacement can be ordered from your Colortrac supplier. Fitting the replacement is
straightforward and can be carried out by the user with the glass removal tool
supplied.
Serious maintenance issues such as electronic or a suspected internal mechanical
failure should always be referred to your approved service agent.
IMPORTANT: After replacing the glass, clean it and then use the Utilities program and a clean white normalisation
target to re-calibrate the scanner.
4.2 Dust Decontamination
In very dusty or heavy use environments particles may get into the scanner causing streaks to appear in the scan.
Only dry air should be used to dislodge the dust. Follow these instructions below very carefully or an EXPENSIVE
REPAIR MAY BE REQUIRED.
1. AVOID the use of canned air or aerosols of compressed air if at all possible as these rarely contain only clean dry
air. If you must use canned air -
Ensure you use a brand intended for optics and not one for general electronics. Commonly available
products often contain propellants and produce other residues that will dry and contaminate the surface
you are trying to clean.
Never shake the container before use as this will mix the propellant with the „air‟.
Always try to keep the container upright when in use.
Always use strong bursts - DO NOT progressively squeeze the trigger, as this may cause nozzle splutter.
Always start the jet away from the optics first to clear the nozzle before directing onto the optics.
Always spray test the product on some old dark glasses or dark shiny plastic to check for signs of residue.
Be aware that an almost empty can draw propellant and other residue into the air stream.
2. TRY to find a hand air pump without a tip brush similar to the type used for cleaning cameras. Various brands of
these are available but a good example is the „Rocket Air Pump‟obtainable from camera accessories shops or on-
line. These devices use an inlet valve that prevents dirt from being sucked back into the bulb between blasts and
supply clean, contaminate-free air. Do not allow the nozzle to physically touch the optics.
3. AVOID using brushes or general brand wipes as these can scratch the optics.

4. AVOID touching any of the components with bare fingers, as this will leave a grease film and cause blur.
5. AVOID the use of acetone, ethanol, alcohol and other solvents unless they have been formulated specifically for
cleaning optical surfaces. WARNING! Most of these solvents are hazardous to health.
6. If you suspect the mirror, lens or CCD to have been coated with a residue (e.g. from canned air or other cleaning
agents) we recommend you contact your Colortrac agent immediately.
Other serious maintenance issues such as electronic or a suspected internal mechanical failure should always be
referred to your approved service agent for diagnosis and repair.
4.3 Model Upgrades
If your scanner is a monochrome (M) model or colour (C) it can be upgraded by purchasing and installing one of the
three SmartLF Field Upgrade products available. The upgrades are ordered by Product Code.
To upgrade:
STEP 1 –GENERATE THE UPGRADE FILE USING THE SMARTLF SERIAL PROGRAM
1. Confirm that scanner is connected and working
2. Locate the SmartLF serial.exe (Installation CD)
3. Double-click Serial.exe to retrieve scanner model number.
4. Against Serial Number type the 8-digit number printed on
the label on the back of the scanner.
5. Against Desired Model select the upgraded model
6. Press „Record Serial Number‟ to create the upgrade file

STEP 3 –UNPACK THE UPGRADE PROGRAM
7. The supplier will return a file named by serial
number of the scanner for upgrade. Unpack and run
the program named “SmartLF ModelUpdate.exe”.
Click the button labelled „Update Model‟. The
scanner will be upgraded and display the words
„Scanner firmware updated OK‟.
8. Exit the program and then turn the scanner off. Wait 5 seconds before turning the scanner on again. Check the
scanner display and verify that the scanner displays the model type consistent with the upgrade process just
carried out.

4.4 Normalisation or White point calibration
Use the Utilities program to normalise the scanner.
What is Full Normalisation?
All optical sensors can be sensitive to variations in room temperature
so normalisation is used to reset the optimum image quality for the
scanner according to the room conditions. Re-normalise the
scanner regularly to eliminate room conditions.
Because the scanner uses LED (Light Emitting Diode) lighting that
only switches on during scanning there is no need to wait for the
scanner lights to warm up before normalising.
Running Full Normalisation
Run the Utilities program and locate the Normalisation Target
(supplied) or instead use any piece of clean, good quality white paper
or thin card large enough to fit just inside the scan limit lines. Insert
the target with the matte side facing the scanner glass then click Full
Normalisation (1) to start the scanner normalisation process.
4.5 Scanner Stitch
The scanner has been carefully designed to eliminate small temporary optical mismatches that can occur in the scan
at the camera intersections when a document sometimes lifts away from the scanner glass during scanning. Usually
this only affects folded documents.
Utilities should be only used to repair permanent scanner stitch errors that can be introduced after violent shipping,
mishandling or exposure to extreme temperature gradients or vibrations. Stitch maintenance is carried out by the
customer using a simple paper target. No screwdrivers are needed.
If Utilities fails to repair the camera stitch a qualified scanner technician will be required to physically re-align the
cameras in the scanner.
Stitch maintenance is needed when line discontinuities are noticed in the scan, at or near the camera boundaries.
