Phone buttons
Button Function
Navigation keys — used to navigate items in various menus.
Hold — places and retrieves calls on hold.

Button Function
Transfer — transfers calls to another extension or outside line.
Conference — creates a conference call with another extension or outside line.
Note:The FON-280Bphone does not have this button.
Voicemail — accesses voicemail.
Redial — places a call to the last number dialed.
Mute — toggles the microphone on and off.
Headset — toggles the headset on and off.

Speakerphone — toggles the speaker on and off.
Available on FON-280B phones.
Volume up — increases the volume of the handset, headset, ringer, and speaker.
Available on FON-280B phones.
Volume down — decreases the volume of the handset, headset, ringer, and speaker.
Available on FON-380/380B, FON-480/480B, and FON-580 phones.
Volume control — adjusts the volume of the handset, headset, ringer, and speaker.
To turn the ringer off, press the volume down until you see . The title bar will show
.
Home/Menu — accesses the configuration menu of the phone where settings, features,
and phone information are available. When the configuration menu is showing, press
this Home button to return to the idle screen.
Programmable keys — can be configured for a variety of functions such as
appearances for extensions, park, and lines.
To configure programmable keys, go to Setting >Programmable key (see
Programmable key on page 24).

Programmable keys
FON-x80/x80B series phones with programmable keys can be configured to monitor extensions, lines and parking
orbits.
The total number of supported programmable keys for each phone model is:
lFON-280B: 6
lFON-380/380B: 28
lFON-480/480B: 45
lFON-580: 106
To configure programmable keys, go to Setting >Programmable key (see Programmable key on page 24).
The following tables describe how to quickly determine the programmable key status by looking at the color and pattern
of the LED on the programmable key:
Line (account on phone)
LED Description
Solid green Line is idle.
Slow flashing green Line is ringing.
Solid red Line is in use.
Slow flashing red Line is not registered with FortiVoice.
Solid yellow Do Not Disturb is enabled on line.
Slow flashing yellow Line is on hold.
Extension appearance
LED Description
Solid green Extension is idle.
Slow flashing green Extension is ringing.
Solid red Extension is in use.
Solid yellow Do Not Disturb is enabled on extension.
Slow flashing yellow Extension has a call on hold.

Color screen layout
The color screen is designed to keep you informed. The idle screen displays the extension name and number, time and
date, as well as various status icons and notifications.
Title bar
The title bar displays status information, such as the extension display name and notifications for the phone status. The
following table details the status icons that may be seen:

The scroll list displays the programmable key labels.

Programmable key pages
To navigate between the programmable key pages, press the lower-right key . If the LED of the lower-right key
flashes, then there is an incoming call (line, line appearance, or extension appearance) on one of the non-displayed
programmable key pages.
Notifications
The main screen can show the following notification icons:

Icon Description
Missed call:The phone received a call that was not answered.
Voicemail:Indicates a new voicemail message is available.
Do Not Disturb:Indicates that Do Not Disturb (DND) is enabled on the phone.
Using the navigation keys while on the idle screen allows for any notifications to be selected. By selecting a notification
and pressing the OK navigation key, the phone will display the associated screen (For example: Select the missed call
notification and press OK. The phone will display the History > Missed screen).
Soft keys
The bottom line shows choices associated with the four context-sensitive soft keys located just below the color screen.
The following table shows the default soft keys. If you want to change them, go to Setting >General > Soft key on page
23.
Soft key Function
History Accesses call history stored on the phone.
Contact Accesses contacts stored on the phone as well as the company directory.
DND Toggles Do Not Disturb on and off.
Menu Accesses the configuration menu. For more details, see Configuration overview on page 14.
Background image
Your FortiVoice system administrator can upload a new background image by editing the phone profile on the FortiVoice
phone system (Phone System >Profile >Phone) and applying this profile to your phone (Phone System > Device >
Phone). This feature requires a FortiVoice phone system running version 6.0.11, 6.4.5, or later.

How to navigate through menus
To access the configuration menu:
lPress the Menu soft key or press the button.
To select an item:
lFrom the navigation keys, press an arrow key to select an item, and then press the OK button.
To access a sub-menu:
lWhen you see at the end of a menu item, press the OK button.
To access additional values of a setting:
lWhen you see at the end of a menu item, from the navigation keys, press the right or left arrow key, and then
press the OK button.
The bottom line of the color screen shows up to four soft key functions at a time. To return to a previous menu, press the
Back or Cancel soft key.
How to enter values with the dial pad and soft keys
Use the dial pad to input numbers, letters, special characters, and a period. The dial pad mode is displayed above a soft
key as for numeric, for upper case characters, for lower case characters and to be able to enter
any of the characters.
To enter characters with the dial pad, use the digit with the desired character. Press the same digit repeatedly until the
desired character appears on the color screen. After entering a character, pause to allow the cursor to move to next
character position.

Personalizing your phone
Other special entries include:
lTo enter a period or dot (for example, to input an IP address), press * twice on the dial pad.
lTo delete a letter in front of the cursor, press the Backspace soft key.
lTo enter special characters, press * on the dial pad while the mode soft key is set to or .
lTo enter a space, press # on the dial pad while the mode soft key is set to or .
Prior to saving an entry, you may discard changes by pressing the Back soft key to move to the previous menu.

Status > General displays the following information about the phone:
lIP address: Current IP address of the phone
lMAC: MAC address of the phone
lSoftware Version: Current software version of the phone
lModel: Phone model.
lMemory Usage: Percentage of memory used. To see the total, used, and free memory (in KB) on the phone, press
the Detail soft key.
lCPU Usage: Percentage of CPU used.
lStorage Usage: Percentage of storage used. To see the total, used, and free storage (in KB) on the phone, press
the Detail soft key.
Network
FON-x80/x80B series IP phone models support IPv4, not IPv6.

Status > Phone displays the following information about the model of the phone:
lModel: Phone model name.
lSerial Number: Serial number of phone.
lSoftware Version: Current software version installed on phone.
lMemory Usage: Percentage of memory used. To see the total, used, and free memory (in KB) on the phone, press
the Detail soft key.
lCPU Usage: Percentage of CPU used.
lStorage Usage: Percentage of storage used. To see the total, used, and free storage (in KB) on the phone, press
the Detail soft key.
lUptime: How long the phone has been running since the last reboot.
lReboot Time: Displays the time the phone last rebooted.
Account
Status > Account displays the name, extension number, and status of each SIP account on the phone.
Accessory
Status > Accessory displays the status of headsets.
lBluetooth Headset:Shows one of the following statuses:
lNo Adapter:Shows on FON-380 phones when no adapter is detected.
lDisabled: Shows when Bluetooth is disabled.
lEnabled: Shows when Bluetooth is enabled but a Bluetooth headset is not connected.
lWhen Bluetooth is enabled and a headset is connected, the phone displays the headset model.

History
History displays call information for the following types of calls:

All All icons Displays all calls that have been missed, placed, or received by the phone.
Missed Displays calls not answered by this phone.
Placed Displays calls placed by this phone and answered by the caller.
Displays calls placed by this phone and unanswered by the caller.
Received Displays calls answered by this phone.
When in History, the phone allows for the following actions by using soft keys:
Soft key Description
Back Returns to previous menu section.
More Allows you to:
lAccess code dial: Places a return call to the number using the outgoing
access code (for example: 9 or 0), if configured on the FortiVoice phone
system.
lRefresh: Fetches the latest history changes from the FortiVoice phone
system when the History page remains open during phone call activities.
Otherwise, the History content refreshes every time you access that page.
Detail Displays information about the call: Name, Number, Date, Duration.
Dial Dial the selected entry in the History.
Contact
From Contact, you access business, directory, and personal, contacts stored on the FortiVoice phone system.
To call a contact
1. Go to Contact > Business, Directory, or Personal.
2. Select the contact that you want to call.
3. Press the Dial soft key.
Business and Directory
Contact > Business lists business entries that the administrator configures on the FortiVoice phone system.
Contact > Directory lists your company directory including names and extensions entries stored on the FortiVoice phone
system.
To search for a business or directory contact

1. Go to Contact > Business or Directory.
2. Press the Search soft key.
3. Enter part of a name to search for. If you want to enter part of number, access the soft key.
As you enter letters or numbers, the list filters the contacts.
Personal
Contact > Personal allows you to add, edit, delete, and search personal contacts.
To add or edit a personal contact, the phone system requires that you enter the voicemail
PINfor your extension.
To add a personal contact
1. Go to Contact > Personal.
2. Press the Add soft key.
3. Enter a Display Name.
4. Enter a Main Number.
5. Optionally, enter a Mobile Number and Home Number.
6. Press the OK soft key.
7. Enter the voicemail PINfor your extension.
8. Press the OK soft key.
To add pauses to a personal contact phone number
The FON-x80/x80B series IP phone models support the use of two-second pauses (with a comma) and one-second
pauses (with a semicolon) in your personal contact phone numbers. Let's say that you frequently call a company at 1-
800-567-0987, wait for the prompt and then enter extension 1001. Using this example, you would create a personal
contact for 18005670987,,1001. When you select that contact, the phone calls 1-800-567-0987, pauses for 4 seconds
and then automatically enters 1001 for the extension.
1. Go to Contact > Personal.
2. Press the Add soft key.
3. Enter a Display Name.
4. Enter a Main Number including pauses and an extension or other menu item that you want the phone to
automatically dial.
lTo add a two-second pause, select and then press the number 0 key twice to add a comma (, ).
lTo add a one-second pause, select and then press the number 1 key twice to add a semicolon (; ).
5. Optionally, enter a Mobile Number and Home Number.
6. Press the OK soft key.
7. Enter the voicemail PINfor your extension.
8. Press the OK soft key.
To edit a personal contact
1. Go to Contact > Personal.
2. Select the contact that you want to edit.

3. Press the More soft key.
4. Select Edit Contact.
5. Update the contact.
6. Press the OK soft key.
7. Enter the voicemail PINfor your extension.
8. Press the OK soft key.
To delete a personal contact
1. Go to Contact > Personal.
2. Select the contact that you want to delete.
3. Press the More soft key.
4. Select Delete.
5. Press the OK soft key.
6. To confirm, press the OK soft key again.
To delete all personal contacts
1. Go to Contact > Personal.
2. Press the More soft key.
3. Select Delete all.
4. Press the OK soft key.
5. To confirm, press the OK soft key again.
To search a personal contact
1. Go to Contact > Personal.
2. Press the More soft key.
The Search item is selected.
3. Press the OK soft key.
A search field appears at the top of the screen.
4. Enter part of a name to search for. If you want to enter part of a number, access the soft key.
As you enter letters or numbers, the list filters your contacts.
