Quick Reference Guide

To personalize your phone
LCD Contrast Control & Ring Settings
To adjust display contrast while set is idle
•Press Setting Button
•Press User Preference (1Key or Select Softkey)
•Press 3(Contrast) or 1 (Ring Settings)
•Press Up or Down Soft Keys (+, - )
•Press OK Soft Key to accept changes
•Press Save Soft Key
Handset & Speaker Phone
To adjust when using Handset or Speaker phone
•Press UP or Down Volume Key
•Press Save Soft Key
Ringer Volume Control
•Press Up & Down Volume Keys (your phone will start ringing)
•Press Up & Down Volume Keys to desired volume
Placing a Call
•Lift Handset or Press Speaker or Press New Call Soft Key
•Dial 4-digit extension number OR 9 plus the outside number
•Press Dial Softkey
Redial
•Press Redial Softkey (Internal or External)
Answer a Call – Line Button will be flashing (amber color)
Lift Handset or Press Speaker Button or Flashing Line Button or Answer Softkey.
Answering Multiple Calls
While active on the first call, you will hear a call waiting tone from the handset or
speaker if on a hands free call.
•Press Answer Softkey
OR if the call is ringing on a different Line Button
•Press Amber Flashing Line Button
The 1st caller is automatically placed on Hold
The active call will be high lighted
Switching between active calls on one line
•Use the Navigation Button to highlight the caller you wish to speak with
•Press Resume Softkey
Any active call is placed on hold and the selected call is resumed.
Switching between active calls using two or more lines
•Press Desired Line Button
Any active call is placed on hold and the selected call is resumed.
A 3rd internal caller will receive a busy and will have the option to set a CallBack on the
called extension phone (similar to your current feature Camp On).
Hold
•Press Hold Softkey
To make another call Press NewCall Softkey
Hold Retrieve
•Press Resume Softkey OR Line Button
•If multiple calls are on hold, use the Navigation Button to select line
•Press Resume Softkey
Join – To join two calls
While one caller is on hold and another call is active
•Press Navigation Button to highlight the held call
•Press More Softkey
•Press Join Softkey

Transferring a Call - To transfer a call to another phone
Announced Transfer
•Press Transfer Soft Key
•Dial number to which you want to transfer call
•When 3rd party answers announce call
•Press Transfer Soft Key to complete transfer
•Hang up
OR
Unannounced Transfer
•Press Transfer Softkey
•Dial number to which you want to transfer call
•Press Transfer Softkey to complete transfer
•Hang up
To return to the original caller if 3rd party is not available or busy
•Press End Softkey
•Press Resume Softkey
Transfer Directly to Voicemail
•Hit Transfer Button
•Press *
•Enter 4 digits where you want to send the call
•Hit Transfer Button again
Conference Calls (up to 4 Parties)
While on a 2 party call
•Press More Softkey
•Press Confrn Softkey
You will hear dial tone
•Dial 3rd Party number (can be an extension or outside number)
While talking the 3rd party
•Press Confrn Softkey to connect all 3 parties.
Repeat to add additional parties
To return to a conference call if 3rd party is not available or busy
•Press End Softkey
•Press Resume Softkey
Forwarding All Calls – Enables all calls to be forward to another extension or
voice mail. Your phone will not ring at your desk
Activate Forwarding All Calls:
•Press CFwdAll Softkey (you will hear conformation tone of 2 beeps)
•Enter Voicemail number 1000 (or another extension number)
•A flashing right arrow will be flashing and the number of where you forwarded your
phone will be displayed on the LCD screen.
Cancel Forwarding All Calls:
•Press CFwdAll Softkey
The LCD screen will return to the idle display.
Call Pickup - To answer a call in your pickup group
•Lift handset
•Press Pickup Softkey
Parking a Call – Allows you to park a caller at a specific number and use any
other phone in the facility to retrieve that caller.
During an active call
•Press More Softkey, until you see Park Softkey
•Press Park Softkey (the display shows the park number the caller is parked on)
Directory Button
This allows the following 3 options:
•Viewing or Dialing Missed Calls
•Viewing or Dialing Received Calls
•Viewing or Dialing Placed Calls
To use any of the 3 options:
•Press Directory Button
•Use the Navigation Button & Softkeys to move through the different options.
(?) INFORMATION Button
Press “?” button, then any feature key you would like an explanation for. Explanation
will appear on LCD screen
Global Button Services - This will be implemented in the near future.
Voice Mail Information
Voice Mailbox numbers are the same as your 4-digit extension number.
Internal Voice Mail Access Number: 8000
External Voice Mail Access Number: 963-8400 then “*”, extension, password
To access voicemail from your phone
Lift Receiver
Press Message Button or dial 8000
Enter PIN (this is your password)
The 1st time you enter your voicemail box:
Enter Default PIN (password) of 12345 #
You should hear “Welcome to Cisco Unity Connection”
This automated enrollment will walk you through the following options
Recorded Name

Person Greeting
Change PIN (password)
Directory Assistance – Hit # 1 to be added to the directory
Voice Mail Main Menu:
1 = Play New Message
71 to Reply to message
72 to Repeat message
73 to Forward message
74 to Reply to All
76 to Delete message
77 to Save message
78 to Mark message as New
2 = Send Message
You will be prompted to enter users last name then press #
3= Review Old Messages
4= Setup Options
Press 1 to Edit Greeting
Press 1 to Record
Record Name, and/or Title, Dept. or Extension Number
Press # Stop Recording
Press * to Save and Exit
Or
Press 1 to Re-record your greeting
Press 2 to Change Message Settings Edit Greeting
Press 3 to Change Personal Settings
1 to Change Pin (Password)
2 to Change your Recorded Name
0 = Help
* = EXIT
Note-
To listen to voice-mail outside of work, dial your number when you reach voicemail
Press * key
Enter 4 digit extension #
Enter PIN #
VERY IMPORTANT!!
To Report a Phone Problem
•Report problem to the Building Custodian
•If custodian can not repair problem, they will call Help Desk
