Cisco 794x/796x Reference Guide
1) Handset with indicator light. Blinks when phone rings, stays lit when you have a message.
2) LCD screen. Displays eatures such as time, date and calls.
3) Cisco IP Phone model type. Will be 7940, 7941, 7960 or 7961 depending on job unction.
4) Line or speed dial button. 794x models have 2, 796x have 6.
5) Footstand adjustment. Raises or lowers the phone.
6) Directories button. Provides call history and company directory.
7) ? button. Provides in ormation on the next key pressed.
8) Settings button. Change phone ring and contrast rom here.
9) Speaker button. Turns the speaker on and o .
10) Mute button. Turns mute on or o .
11) Headset button. Turns headset on or o , i applicable.
12) Volume button. Increases or decreases ring volume when not on a call, increases in-call volume when on a call.
13) Services button. Not available at this time.
14) Messages button. Allows or retrieval o voice messages.
15) Navigation button. Allows scrolling through menus on the LCD display.
16) Dial pad. Same as any other phone.
17) So t keys. These will change depending on the current mode o the phone.

Basic phone features
To place a call:
• Li t the handset and dial the number. You must dial an ‘8’ to get an outside line.
• Press the line button or the desired extension, then dial the number.
• Press the Speaker button, then dial the number.
• Press the NewCall so t key, then dial the number.
• I you are using a headset, press the Headset button, then dial the number.
• I you have established Speed Dial numbers, press the desired Speed Dial button.
• I you have selected a number rom the Company Directory, press the Dial so t key.
To answer a call:
• Li t the handset. I necessary, press the line button o the incoming call.
• I you are using a headset, press the Headset button. I necessary, press the line button o the incoming call.
• To use the speakerphone, press the Speaker button or the Answer so t key.
To end a call:
• Hang up the handset.
• I you are using a headset, press the Headset button or the EndCall so t key.
• I you are using the speakerphone, press the Speaker button or the EndCall so tkey.
To redial a number:
• To redial the most recently dialed number, press the Redial so t key.
To put a call on hold:
• Press the Hold so t key.
• To return to the call, press the Resume so t key.
• I multiple calls are on hold, use the Navigation button to select the desired call be ore you press the Resume so t
key.
• I multiple calls on multiple lines are on hold, press the line button or the line to which you want to switch and use
the Navigation button to select the desired call. Press the Resume so t key.
• NOTE: Because engaging the Hold eature generates music or a beeping tone, try to avoid placing a con erence call
on hold.
To trans er a call:
• During a call, press the Trns er so t key. This puts the call on hold.
• Dial the number to which you want to trans er the call. As soon as you hear a ringback tone, or a ter the party
answers, press the Trns er so t key again.
• NOTE: I the trans er ails, press the Resume so t key to return to the original call.
To orward all calls to another number:
• Press the CFwdAll so t key. You will hear two beeps.
• Enter the number to which you want to orward all o your calls. Enter the number exactly as i you were placing a
call to that number. An animated phone icon will lash in the upper-right corner o the phone’s LCD screen.
• You will hear one beep and a “Forwarded to” message with the number will appear.
• To remove call orwarding, press the CFwdAll so t key once. You will hear one beep and the “Forwarded to”
message will disappear rom the LCD screen.
To Mute a call:
• Press the Mute button on your phone.
• To disengage Mute, press the Mute button again or change rom speakerphone to handset or vice versa.

To view or dial – missed / received / placed calls and the corporate directory:
The Cisco IP Phone [phone] keeps a history o all calls you make and receive, including the caller ID, date, and time o the
call. You can use this in ormation to redial a party.
• Press the directories button.
• Press the Scroll key to select the desired call history option, or press the corresponding number on the number
pad: Missed Calls, Received Calls, Placed Calls, or Corporate Directory.
• Press the Select so t key to display the selected call history list.
• Press the Scroll key to scroll through the numbers listed in the selected call history list.
• I desired, press the Dial so t key to speed dial the highlighted number rom the call history list.
• You might need to use the Edit so t key to add digits to the ront o the number. For example, i the call was rom
an outside, long distance caller, you will need to add the digits "81" to the ront o the number.
• When you are inished, press the Exit so tkey twice to exit the selected directory menu and exit the directories
menu.
• NOTE: To enter any letter on your LCD screen, use a corresponding number key. For example, press 2 once or “a,”
twice or “b,” and three times or “c.” To back up, press the << so t key.
To place a con erence call:
• Con erence calling allows rom 3 to 16 parties to participate.
• During a call, press the more > Con rn so t keys to open a new line and put the irst party on hold.
• Place a call to another number.
• When the call connects, press the Con rn so t key again to add the new party to the existing call with the irst
party.
• To establish a con erence call between two calls, one active and the other on hold, press the Con rn so t key.
Volume and Ringer Sound
To adjust the ringer volume:
• Press the up or down Volume button while the handset is in its cradle.
To change the ringer sound:
• Press the Settings button.
• Press 2 or Ring Type.
• Use the Navigation button to scroll through the list o ring types and press the Play so t key to hear samples.
• Highlight the ring you want, then press the Select so t key.
• Press the OK and Save so t keys.
To adjust the handset, speakerphone, or headset volume:
• During a call, press the up or down Volume button. Press the Save so t key to apply the new volume level to uture
calls.
