HANDLING CALLS
1. RECEIVING
CALLS
Picking up the receiver or pressing the SPEAKER button
automatically answers the call ringing in.
2. MAKING
EXTERNAL CALLS
Lift the handset and press the Call button to gain outside dial
tone or press the OUTGOING button.
3. INTERCOM
CALLS
Dial the extension number
If…
Receiver’s Handsfree Mode is OFF-
The phone will ring until answered
*Dialing ∞ 9319 will turn Handsfree ON or OFF
4. QUEUE
If you dial an extension and it is busy or in DND, ∞6 and
hang up.
Your display will read “Queue registered for extension…”
When the extension becomes available your phone will ring and
the display will read “extension is now available”
When you pick up your phone the other extension will ring.
5. TO TRANSFER
CALLS
Transfer to ring
While connected to caller press TRANSFER + EXTENSION
then hang up.
The call will ring at the other extension.
While connected to the caller press TRANSFER + EXT and
wait for the person to pick up. After announcing the call hang
up to send the call.
*If the receiver has already lifted their handset they must press
the CALL key to access the call.
While connected to the caller press the TRANSFER + Ext,
then press the HOLD button to place the call on hold at the
other extension.
Press the ∞button + 4+ the extension where the call is
ringing or holding to pull the call to your extension.

VMS button + the mailbox number and hang up.

While on your first call press CNF

*To place the conference on hold press HOLD
Press CNF to re-enter * May have up to four parties total*

This will allow you to redial the last Outside number you dialed

-Outside number (8 + phone number then
the # (pound) sign)
To Cancel:
-Press ∞9355 button and then the button

5. PAGING
Pick up the handset and Press the Page button
Enter the Zone you want to page (0-9)
Page 1 All Page (everyone‟s phone)
Page 2 EARN phones
6. MUTE
To mute the microphone so that you can hear the other party,
but they cannot hear you (this does not put the caller on hold):
Press MUTE button
To return to the call:
Press MUTE button
7. SELECT RING TONE
Dial code ∞9398
Press keys 1-9 to hear various tones and press # to accept the
desired tone
8. Program a button:

Press the Button to program
Enter an extension or desired feature code (automatically saves)
9. ADJUST VOLUME OF
RINGER, SPKR, OR
EARPIECE
While in desired mode adjust volume up or down with volume
bar and press the center of the bar to save the volume level
10. Call Logging
Dial code ∞9333
-Press 1 (MISS) -missed calls
-Press 2 (RCV) –received calls
- Press 3 (DL) –dialed calls
- Press 4 ( CLR) –clear all Call logging entries

Voice Mail Set-up
Use this guide to help you through the voice mail prompts.
1. Dial 2500 or Press VMS key (Wait for voice mail to answer)
2. Press the *key (this tells the system that you are a subscriber)
3. Voice Mail prompt will ask for your mailbox number- ENTER YOUR EXTENSION NUMBER
4. Voice Mail prompt will ask for your password –press the POUND sign (#) (default
password)
5. At this time you may create your own password UP TO 12 DIGITS
6. Enter your new password followed by the # (POUND) sign
7. Voice mail will repeat the password back
8. Confirm password by pressing #(POUND)
9. Voice Mail prompt will ask you to say your name for the company directory followed by the
pound sign
10. SAY ONLY YOUR NAME AND EXTENSION NUMBER (you will record your greeting later)
11. Listen to your name by pressing 1(you may erase and re-record by pressing 3)
12. Press #( POUND) to confirm your name
13. At this time voice mail will introduce you to a few basic features of the phone system.
You should not skip this. PLEASE DO NOT HANG UP!
14. After the introduction the prompt will tell you your VOICE MAIL IS FULLY SET UP.
PLEASE DO NOT HANG UP! Next, You will now record your personal
greeting.
15. Press 4for personal options
16. Press 1to Change a Greeting
17. Press 1again for the Primary Greeting or 2for an Alternate Greeting
18. You will be prompted to record a greeting after the tone
Sample greeting: Hello, you’ve reached the desk of _______. Sorry I missed your call.
I am either out of the office or away from my desk. Please leave a message after
the tone and I will call you back as soon as possible. If you need immediate
assistance ……. . Thank you.
19. Press # (POUND) to stop recording.
20. Press 1to listen or 3to erase and re-record
21. Press POUND to confirm recording (You will hear Greeting Saved) before hanging up.

Using the Voice Mail System
1) To retrieve voice mail messages at the office:
A) If the MSG Key is blinking
-Lift the handset or press SPKR
-Press the flashing MSG key
-Follow voice mail prompts
B) If the MSG button is not blinking
OR to retrieve messages from any phone:
- Dial 2500 or Press VMS button
- Press *
-Follow voice mail prompts (enter mailbox number, enter password)
2) To retrieve voice mail outside the office through an auto-attendant:
Dial main number
1. Dial the main number
2. -When auto attendant picks up press *
3. -Follow prompts (enter mailbox number, enter password)
3) To transfer an outside caller directly into a specific voice mailbox:
1. -Press transfer key
2. –Dial 2500 or Press VMS button
3. -Dial mailbox number
4. -Hang up
4) To transfer an employee into voice mail from the outside:
1. - Press transfer key
2. –Dial 2500 or Press VMS button
3. -Hang up
5) To leave voice mail if an extension dialed internally is busy, no
answer or in DND:
1. -Press MSG key on your phone to be connected to the person’s voicemail.
6) To leave a voice mail message without ringing the person‟s
extension:
1. –Dial 2500 or Press VMS button
2. -Enter mailbox number
3. -Leave voice mail message
Note: To bypass the greeting, press the pound (#) sign.
Employee must press the *key to
