This guide helps you quickly set up and
use the SoundPoint IP 500CS phone.
The SoundPoint IP 500CS requires
Cisco CallManager 3.0 or higher, and
your system administrator must prepare
the network for the SoundPoint IP
500CS . If a technician is not installing
the SoundPoint IP 500CS, verify with
your system administrator that the network
is ready for the SoundPoint IP 500CS .
(Be sure to read the Release Notes,
Parts List, and the Safety Notices
section in this guide before you begin
to set up and use the SoundPoint
IP 500CS .)
The SoundPoint IP 500CS is an IP-based,
desktop telephone that uses Voice over
IP (VoIP) technology. The SoundPoint
IP 500CS provides business telephony
features and functions, such as Call Hold,
Call Transfer, Call Release, Mute, and
Conference over an IP Network.

Installing SoundPoint IP 500CS
Connecting Network and Power Source
1Connect one end of the Network/Power
Cable to the LAN jack and the other end
into the network (LAN) port.
2In-Line Power option
If the phone is connected to a Cisco
Catalyst switch with in-line phones
option, it will obtain power from
the switch.
Or
AC Power Option
Connect the Power Adapter to the
Network/Power Cable and plug the
other end into a standard electrical
power outlet.
Optional: If you detached
a computer cable to free up
the LAN jack in the wall, insert
that cable into the PC jack.

Connecting the Handset and Headset
1Connect the corresponding end of the
phone cord to the handset and the other
end of the cord to the handset jack on
the back of the SoundPoint IP 500CS .
2Connect the headset to the headset
jack on the back of the SoundPoint
IP 500CS (optional).

Attaching the Base
1Connect the cords of the equipment
to the jacks and lay the cords in the
grooved slots.
2Align the two brackets with their
corresponding holes and snap them
together to lock the base to the phone.

Use these line keys to
activate the two lines
that are assigned to
your phone.
Dial Pad
These 12 keys provide the 10 digits,
the 26 alphabetic characters, #, and *.
In alphanumeric entry mode, press the same
key repeatedly to cycle through the number
and letters associated with that key.
Volume/Display
Adjustment Keys
Use these to adjust the volume of the
handset, headset, speaker, and ringer,
as well as the contrast of the display.
Soft Keys
The screen will
display labels for

Placing a Call in Speakerphone Mode
1Press the Line key / Speaker Phone key / NewCall soft key and wait for dial tone.
2Dial the number.
Placing a Call With the Headset
1Put on headset and press the Line key / Headset key and wait for dial tone.
2Dial the number.
Press the Answer soft key, the Speaker
Phone key, or pick up the handset.
The active call appears in the active call list
on the display.
Press the End Call soft key, replace the
handset, press the Speaker Phone key,
or press the Headset key.

Placing a Call On Hold and Resuming It
While on a call, press the Hold soft key
or the Hold hard key. The held call appears
in the active call list on the display.
To place another call, press the New Call
soft key and then dial the number.
To return to the held call,
press the Resume soft key.
If multiple calls are on hold, press the
▲or ▼scroll key to select a call in
the active call list and then press
the Resume soft key.
Redialing a Call
Press the Redial hard key or Redial soft
key to dial the last number called.
Press the Call List hard key to obtain
a list of placed, received, or missed calls.
Placing a Conference Call
1Place a call to the first party.
2To add a second party to the conference
when a call is already in progress, either
press the Conference hard key or the
More/Confrn soft keys to obtain a new
line.
3Dial the phone number of the second
party.
4 When the new party answers, press the
Conference hard key or the Confrn soft
key again, to join both parties in a
conference call.
Repeat steps 2-4 to add additional parties
to a conference call.
Ending a Conference Call
Press the EndCall soft key, replace the
handset or press SpeakerPhone key to end
that phone’s participation in the confer-
ence.
Tip: The maximum number of
participants in a conference call is
configured by your administrator.
Muting a Call
▼While on a call, press the Mute key.
The LED turns on and a Mute icon
appears on the LCD indicating that the
other party (or parties) can’t hear you.
▼To turn off Mute,
press the Mute key again.
Changing the Volume
Press the +or -volume keys to increase
or decrease the volume.

Meet Me
The SoundPoint IP 500CS supports
Meet Me conferences. A Meet Me Con-
ference allows other clients to dial into
the conference call. A Meet Me conference
requires a special conference number that
is configured by the system administrator.
Establishing a Meet Me Conference
1Press the More soft key
until you see Meet Me.
2Select Meet Me
(or “press the soft key”if there is one).
3Dial the Meet Me conference number
established by your system
administrator.
4Follow the voice instructions to
establish the Meet Me conference.
Joining a Meet Me Conference
Dial the Meet Me conference number
provided by the Meet Me conference
coordinator. You are connected to the
conference once the conference initiator
has dialed in and established the
conference.
Transfer a Call
1While on a call, press the Transfer
soft key or the Transfer hard key.
This places the call on hold.
2Dial the number to which you want
to transfer the call.
3When you hear ringing, press the
Transfer soft key or hard key again,
or when the party answers, announce
the call and then press the Transfer
soft key or Transfer hard key.
If the call fails to transfer, press the
Line hard key and then the Resume soft
key to return to the original call.

Call Park
The SoundPoint IP 500CS allows you
to “park”a call at a specified number
and then use any other phone in the
Cisco CallManager system (for example,
a phone in someone else’s office or in
a conference room) to retrieve the call.
Call Park numbers are configured by
the system administrator.
Parking a Call
1During an active call, press the More
soft key until you see the Park soft key.
2Press the Park soft key. The display
shows the number at which the call is
parked.
3Make a note of the Call park number.
The call is now parked at that number,
allowing you to retrieve it from another
phone.
4Go to any phone in the Cisco
CallManager system and retrieve the
parked call by dialing the Call Park
number at which the call was parked.
Call Pickup
Note: These features are only available
if your system administrator has configured
your system to support them within the
CallManager.
Your SoundPoint IP 500CS allows you
to answer a call that comes in on
another telephone’s extension. When you
hear an incoming call ringing on another
phone you can redirect the call to your
SoundPoint IP 500CS by using the call
pickup feature.
These are two types of call pickup
available on the SoundPoint IP 500CS :
▼Call Pickup- pick up incoming calls
within your own group. The appropriate
call pickup group number is dialed
automatically when you press the
PickUp soft key.
▼Group Call Pickup- pick up incoming
calls within your own group or in other
groups. You must dial the appropriate
call pickup group number after pressing
the GPickUp soft key.
Tip: You have a limited amount of
time to retrieve the parked call before
it is rerouted back to the original
destination number. See your system
administrator for more information.
Group Pickup
1 Press the Line key
2Press the More soft key until
you see the GPickUp soft key.
3Press the GPickUp soft key.
4Dial the desired group call pickup
number.
5Press Answer soft key to pick up the
redirected incoming call.
6To access a different group call
pickup number, hang up and
begin again at Step 1.
Call Pickup
1 Press Line key.
2Press the More soft key until
you see the PickUp Soft Key.
3Press PickUp soft key.
Answer the incoming call.
4 Press Answer soft key to pick up the
redirected incoming call.

Adjusting the LCD Contrast
1Press the Menu key.
2Press the ▲or ▼scroll key to highlight
Settings. Press the Select key.
3Press the ▲or ▼scroll key to highlight
Contrast. Press the Select key.
4Press the Vol up +or down -keys
to increase or decrease the contrast
of the display.
5Press the Menu key to return to
the idle display.
Selecting Ringer Type
1Press the Menu key.
2Press the ▲or ▼scroll key to
highlight Settings. Press the Select key.
Alternately press the option # associated
with Settings.
3Press the ▲or ▼scroll key to highlight
the Ring Type.
Press the Select key.
4Press the ▲or ▼scroll key
to highlight a Ringer sound.
5Press the Play soft key to listen
to the sound.
Repeat these steps until you have
selected the Ringer sound you want.
6Press the Select soft key to select
that ring. The selected Ringer Type
is marked by an asterisk on the display.
7Press the Menu key to return to the
idle display or press the Back soft key
to step back through the previous menu.
Making Calls from the Call Lists
SoundPoint IP 500CS maintains a list
of calls you miss, receive, or place.
You can use these lists to locate numbers
you want to redial. You can also use the
corporate directory (if configured by the
administrator) to find and call co-workers
in your company.
1Press the Call Lists key.
2Press the ▲or ▼scroll keys to highlight
Missed Calls. Press the Select key. A list
of missed calls is displayed.
3Press the ▲or ▼scroll keys to highlight
a specific call. If desired, click the Info
soft key to view information about that
call e.g. when it was missed. Press the
Dial soft key to dial the selected number.
You might need to use the EditDial soft
key to add digits to the front of the
number. For example, if the call was
from an outside, long-distance caller,
you might need to add the digits “91”
to the front of the number.
Viewing and Dialing Missed Calls
Speed Dialing
It is possible to quickly dial up to 4
numbers. These numbers are configured
through the Cisco CallManager.
To make a speed dial call , press the Speed
Dial key. Select a speed dial entry from the
screen by pressing the corresponding digit
key between 1 and 4.
Tip: The LCD contrast can only be
adjusted when not in a call.

Voice mail allows you to access messages
left by callers when you are unavailable
to take their call. Voice mail is an
optional feature configured by your
system administrator. Your particular phone
setup might not support accessing voice
mail in this way.
1Press the Call Lists key or press the
Menu key and select the Call Lists
option.
2Press the ▲or ▼scroll keys to
highlight Received Calls or Placed
Calls. Press the Select key. A list of
calls is displayed.
3Press the ▲or ▼scroll keys to highlight
a specific call. If desired, click the Info
soft key to view information about that
call e.g. when it was received/placed.
Press the Dial soft key to dial the
selected number.
4 To return to the previous display, press
the Back soft key or the Menu hard key
to exit Menu.
Viewing and Dialing Received and Placed Calls
Setting Up Voice Mail
To set up voice mail, press the Voice Mail
button and follow the voice prompts.
Note: Refer to the documentation for your
voice mail system for information about
setting it up.
Accessing Voice Mail
The LED on your telephone will flash
when you have voice mail messages.
To access voice mail, press the Voice
Mail button and follow the voice prompts.
Using Voice Mail
Your SoundPoint IP 500CS allows you
to search for individuals in the corporate
directory and make calls to them.
1Press the Directories hard key.
2Use the ▲or ▼scroll keys to
select a search option i.e. Last Name,
First Name or Number.
3Enter a search string using the digit
keys and press the Search soft key.
The display will show all the directory
entries that match your query.
4Use the ▲or ▼and Select keys to make
a selection and press the Dial soft key to
place a call to the selected party.
Making Calls From a Corporate Directory
You might need to use the EditDial soft key
to add digits to the front of the number.
For example, if the call was from an outside,
long-distance caller, you might need to add
the digits “91”to the front of the number.

Setting Up Call Forwarding
On Your Phone
1Press the CFwdAll soft key.
You should hear two beeps.
2Enter the number to which you
want to forward all of your calls.
After entering the phone number, a
message will appear confirming the phone
number or extension to which your calls
are being forwarded to.
3To cancel call forwarding,
press the CFwdAll soft key.
How Call Forwarding Works
With Your Voice Mail System
Call forwarding redirects all incoming
calls intended for your phone to another
number. However, your phone does not
relinquish the forwarded call at the new
number unless the call is answered.
Your phone considers a forwarded call
“unanswered”after a certain number of
rings. Unanswered, forwarded calls are
redirected back to your voice mail system
(if one is configured for your phone).
Tip: Be sure to enter the number
exactly as you would if you were
placing a call to that number. For
example, enter an access code such as
9 or the area code, if necessary. Your
system administrator might restrict the
call forwarding feature to numbers
within your company.
Call Forwarding
Call forwarding allows you to redirect
all incoming calls to another number.
For example, if you are going to be
working in another office you may
choose to receive your phone calls
at another phone.
You can forward calls to an IP Phone
or to a traditional analog phone.
Incoming calls can be prevented from
ringing the phone by enabling the Do
Not Disturb feature. For incoming calls,
the LED will continue to light up and the
caller information will be visible on the
display. Blocked calls are logged in the
Missed Calls directory.
To configure Do Not Disturb
1Press the Do Not Disturb key. An icon
will appear on the display that indicates
that the phone will not ring.
To turn the Do Not Disturb feature off,
press the Do Not Disturb key again.

LED Indicator
The SoundPoint IP 500CS has a single
LED indicator. It is used to indicate the
following conditions:
▼Phone rings (incoming call) - the LED
will blink
▼When on a call and the phone is muted
the LED lights up solid
▼Voice Mail - When the phone is in the
idle state the LED will blink indicating
that you have unheard messages on the
voice mail system.
The SoundPoint IP 500CS offers a set of
display control keys:
▼Use the arrow keys to scroll or navigate
through information on the display.
▼Use the Sel key to select a highlighted
menu item
▼Use the Del key to delete keyboard
input or delete information from
a list if applicable.

Display Control Keys
Your SoundPoint IP phone is capable of
displaying customized information based
on information services that are deployed
within your company e.g. calendars, stock
tickers etc.
To view a service, press the Services key.
Use the scroll and Select keys to select
one of the listed services. You may need
to press the Update soft key to obtain the
latest information.
To return to the main phone display,
press the Back soft key or the Menu hard
key.

documentation for details on how to
subscribe to information services.

Troubleshooting
No Dial Tone
SoundPoint IP 500CS Does Not Ring
Make sure all connections are correct.
See the “Connecting Network and Power
Source”section on page 2.
Check the ringer setting (see page 9),
and volume level (see page 6).
Make sure the SoundPoint IP 500CS
Station is Communicating with the
Cisco Call Manager.

FCC Rules. Operation is subject to the

(2) This device must accept any
interference received, including
interference that may cause undesired
operation.

and found to comply with the limits for
a Class B digital device, pursuant to part
15 of the FCC Rules. These limits are
designed to provide reasonable protection
against harmful interference in a residential
installation. This equipment generates, uses
and can radiate radio frequency energy
and, if not installed and used in accordance
with the instructions, may cause harmful
interference to radio communications.
However, there is no guarantee that
interference will not occur in a particular
installation. If this equipment does cause
harmful interference to radio or television
reception, which can be determined by
turning the equipment off and on, the
user is encouraged to try to correct
the interference by one or more of the
following measures:

LIMITED WARRANTY. Polycom
warrants to the end user (“Customer”) that
this product will be free from defects in
workmanship and materials, under normal
use and service, for one year from the date
of purchase from Polycom or its authorized
reseller.
Polycom’s sole obligation under this
express warranty shall be, at Polycom’s
option and expense, to repair the defective
product or part, deliver to Customer an
equivalent product or part to replace the
defective item, or if neither of the two
foregoing options is reasonably available,
Polycom may, in its sole discretion, refund
to Customer the purchase price paid for
the defective product. All products that
are replaced will become the property of
Polycom. Replacement products or parts
may be new or reconditioned. Polycom
warrants any replaced or repaired product
or part for ninety (90) days from shipment,
or the remainder of the initial warranty
period, whichever is longer.
Products returned to Polycom must be
sent prepaid and packaged appropriately
for safe shipment, and it is recommended
that they be insured or sent by a method
that provides for tracking of the package.
Responsibility for loss or damage does not
transfer to Polycom until the returned item
is received by Polycom. The repaired or
replaced item will be shipped to Customer,
at Polycom’s expense, not later than thirty
(30) days after Polycom receives the
defective product, and Polycom will retain
risk of loss or damage until the item is
delivered to Customer.
Polycom Limited Warranty
and Limitation Liability
Exclusions
Polycom will not be liable under this
limited warranty if its testing and
examination disclose that the alleged defect
or malfunction in the product does not exist
or results from:
▼Failure to follow Polycom’s installation,
operation, or maintenance instructions.
▼Unauthorized product modification or
alteration.
▼Unauthorized use of common carrier
communication services accessed
through the product.
▼Abuse, misuse, negligent acts or
omissions of Customer and persons
under Customer’s control; or
▼Acts of third parties, acts of God,
accident, fire, lighting, power surges
