1 About This Document
Overview
This document describes the tools and steps for installing the HUAWEI TP3206, TP3218, or
TP3218S telepresence system (telepresence system for short).
The HUAWEI TP3206, TP3218, and TP3218S have basically the same quantity of and
installation method for most of their components (except their multi-functional conference
tables).
The TP3206 has only one row of multi-functional conference tables with three tabletop
segments and six seats.
The TP3218 has two rows of multi-functional conference tables. The front row is the
same as that of the TP3206. The second row has six tabletop segments and 12 seats.
The TP3218S has two rows of multi-functional conference tables. The front row is the
same as that of the TP3206. The second row has four tabletop segments and eight seats.

Direction Conventions
Unless otherwise specified, the left, center, and right directions are defined when you face the
HD displays.
Installation Conventions
Unless otherwise specified, the installation must meet the following requirements:
When installing mechanical parts such as racks and HD displays, install the center one,
then the left and right ones.
When installing mechanical parts, partially fasten the screws, and then fully fasten them
using a rechargeable battery-powered electric screwdriver, to locate all the parts correctly.
The recommended torque is 9–11 N·m.

2 Installation Precautions
When installing the telepresence system, strictly follow the precautions and safety instructions
in this guide.
General Precautions
When performing operations, obey the local safety laws and regulations. The safety
precautions detailed in this guide are supplementary to the local safety regulations.
When installing the telepresence system, strictly follow the precautions and safety
instructions in this guide.
Only trained and qualified personnel should install, replace, or service the telepresence
system.
Keep the device dry and avoid potentially damaging impacts during storage,
transportation, and operation of the device.
Do not attempt to dismantle the device by yourself. In case of any fault, contact the
appointed maintenance center for assistance or repair.
Without prior written consent, no organization or individual is permitted to make any
change to the structure or safety and performance design of the device.
While using the device, observe all applicable laws, directives, and regulations, and
respect the legal rights of others.
Electrical Safety
The installation of AC power supply devices must be done in accordance with the local
safety regulations. Only personnel qualified to perform high voltage AC operations
should install AC power supply devices.
During operations, do not wear any conductors such as metal watches, chains, bracelets,
or rings.
Isolate the power supply before installing or removing power cables.
Before connecting power cables, verify that the labels on the connected cables match
those on the connectors to which they are connected.
Use the correct, special-purpose tools to perform high voltage AC operations. Do not use
general purpose tools, or your own tools.
Working at Heights
Before working at height, inspect all lifting devices.

Before working at height, take safety protection measures, including wearing a helmet
and protective gloves.
When working at height, keep operation tools and devices with you at all times to
prevent them from falling.
When working at height, maintain balance to prevent yourself from falling.
Environmental Requirements
Place the device in a well-ventilated place. Do not expose the device to direct sunlight.
Install the device strictly according to the requirements of the manufacturer.
Do not place any object on top of the device. Reserve a minimum space of 10 cm at the
four sides of the device for heat dissipation.
Do not place the device on or near flammable materials such as foam.
Keep the device away from heat sources or fires, such as radiators or candles.
Keep the device away from any household appliances that generate strong
electromagnetic fields, such as microwave ovens, refrigerators, or mobile phones.
Operating Requirements
Do not allow children to play with the device or accessories. Swallowing the accessories
may be fatal.
Use only accessories, such as the power adapter and battery, provided or authorized by
the manufacturer.
Ensure that the device does not get wet. If water gets into the device, disconnect the
power supply immediately and unplug all the cables connected to the device, such as
power cables, telephone cables, and RF cables, and then contact the appointed
maintenance center.
Before plugging in or unplugging any cable, shut down the device and disconnect the
power supply. While plugging in or unplugging any cable, ensure that your hands are
dr y.
Do not step on, pull, or over bend any cable. Otherwise, the cable may be damaged,
leading to malfunction of the device.
Do not use old or damaged cables.
During electrical storms, disconnect the device from the power supply and unplug all the
cables connected to the device.
Keep the power plug clean and dry, to prevent electric shock or other dangers.
If the device is not used for a long time, disconnect the power supply and unplug the
power plug.
If smoke, abnormal sound or smell is emitted from the device, stop using the device
immediately, disconnect the power supply, unplug the power and other cables, and
remove the batteries. Then, contact the appointed maintenance center for repair.
Ensure that no object (such as metal shavings) enters the device through the heat
dissipation vent.
Before connecting any other cable, connect the ground cable of the device. Do not
disconnect the ground cable until you have disconnected all the other cables.
Ensure that the three-phase power socket is properly grounded. The neutral line and the
live line cannot be connected inversely.

Do not scratch or abrade the shell of the device. The shed paint may cause allergic
reaction or malfunction of the device. If the shed paint material drops into the host, a
short circuit may occur.
Cleaning Requirements
Before cleaning the device, stop using it, disconnect the power supply, and unplug all the
cables connected to the device, such as the power cable, telephone cable, and RF cable.
Do not clean the device shell with any cleaning solution or cleanser spray. Use a piece of
soft cloth to clean the device shell.
Lithium Ion Battery Usage Requirements
Do not store the battery at a temperature of 60°C or above.
Do not charge the battery at a temperature of 0°C or below.
Use the dedicated charger delivered with the battery. Otherwise, the device may be
damaged.
Keep the battery away from fire.
Do not strike the battery or hit the battery with sharp objects.
Do not connect a metallic object such as a key to the positive and negative terminals of
the battery. Otherwise, a short circuit may occur, and you may be injured due to
excessive heat of the battery.
LCD Usage Requirements
Do not expose the LCD to direct sunlight.
Do not press, scratch, or beat the LCD, or place heavy objects on top of it.
Do not watch the LCD screen for a long time. This may harm your eyes or blur your
vision.
Wireless Product Usage Requirements
Keep the wireless device away from magnetic storage devices, such as a magnetic card
or floppy disk to prevent loss of the stored information.
Stop using the wireless device and disconnect it from the power supply in places where
using wireless devices is prohibited or using wireless devices may lead to interference or
danger.
Unplug the wireless device from the terminal and turn off the terminal close to a
high-precision controlled electronic device, such as an audiphone, a pacemaker, fire
alarm, or an automatic gate. Otherwise, this may lead to malfunction of the electronic
device.
Users who use an electronic assistant medical-treatment device must confirm the effects
of radio waves on their device with the service center.
Do not take a wireless device into an operating theater, Intensive Care Unit (ICU), or
Coronary Care Unit (CCU).
When using the device, ensure that the antenna of the device is at least 20 cm away from
all parts of your body.
In the area with flammables or explosives, turn off your wireless device and follow the
relevant instructions given on the label to prevent an explosion or fire.
Use your wireless device and its accessories in a clean and dust-free environment.
Ensure that the wireless device does not contact flame or a lit cigarette.

Ensure that the wireless device and its accessories are dry.
Do not drop, throw, or bend your wireless device.
Do not place the wireless device and its accessories in areas with extreme temperatures.
Remote Control Battery Usage Requirements
Use only the recommended batteries. Pay attention to the polarity of the batteries while
installing them.
If a battery does not fit in the device, do not apply force. Otherwise, the battery may leak
or explode.
Do not use different types of batteries together. For example, an alkaline battery and a
Mn-Zn battery cannot be used together. You are recommended to use batteries of the
same model manufactured by the same manufacturer.
Do not use a new battery with an old battery. When you replace batteries, replace all of
them at the same time.
If you are not going to use the device for a long time, remove all the batteries.
If any battery leaks, emits smoke, or emits abnormal smell, stop using it immediately.
If the battery fluid contacts your skin or clothes, rinse with water immediately and seek
medical assistance.
If the battery fluid goes into your eyes, do not rub your eyes. Rinse your eyes with water
immediately and seek medical assistance.
ESD
Electrostatic charge builds up on your body when you move, rub against cloth, walk across
the floor, or hold plastic items. The charge will then remain until it discharges by either
gradually leaking away to ground or in a fast discharge spark. Before touching any of the
devices or tools, ensure that you are wearing an ESD wrist strap and that the strap's other end
is properly grounded to prevent electrostatic discharge from damaging sensitive components.
Sharp Edges
Wear safety gloves when moving and lifting the system to mitigate the risk of cutting your
hands on the system's sharp edges.
Signal Cable Bundling
Signal cables must be bundled separately from heavy-current or high-voltage cables. The
minimum distance between bundles is 150 mm.
Disposal and Recycling Information
This symbol on the device (and any included batteries) indicates that the device
(and any included batteries) should not be disposed of as normal household
garbage. Do not dispose of your device or batteries as unsorted municipal waste.
The device (and any batteries) should be handed over to a certified collection
point for recycling or proper disposal at the end of its life.
For more detailed information about the recycling of the device or batteries,
contact your local city office, the household waste disposal service, or the retail
store where you purchased this device.

3 Installation Process Overview
The telepresence system consists of multiple components such as the rack, multi-functional
conference table, HD displays, and camera, all of which complicate installation. To correctly
and safely install a telepresence system, read this guide carefully, and follow all instructions.
Figure 3-1 shows the device placement in a telepresence room, using the TP3218 as an
example. Figure 3-2 outlines the installation process.

4.1 Telepresence Room Decoration Requirements
A consistent telepresence room decoration style provides a favorable conference environment.
To approximate the experience of an in-person meeting, high-fidelity audio and HD video
must also be delivered. This chapter provides telepresence room decoration requirements,
including acoustics, illumination, and heating, ventilation, and air conditioning (HVAC)
requirements. For detailed telepresence room decoration instructions, see the Huawei TP3206
