Multi-Access
Introduction
This manual explains Multi-Access, how it operates, and how it is used. The explanations are tar-
geted toward models that have the most features installed. For information on copy functions, fax
functions, printer functions, and scanner functions, refer to the corresponding manual for each
those modes.
What is Multi-Access?
"Multi-Access" means using one function while another function is being used.
Definitions of Terms
Job
A job is a copy, fax, print, or scan operation that the machine performs.
Electronic sort copy job
An electronic sort copy job refers to the sort/group, staple sort, 2in1/4in1 copy, edge erase, binding
change, and rotation copy functions.
ROPM
ROPM is an acronym for "Rip Once Print Many" processing.
Walkup job
A walkup job is a job that is performed by direct operation of the machine.
Auto output job
An auto output job is a print job, fax print job, or transaction report / activity report print job, including
ROPM jobs.
Job priority order
The machine is initially set to give priority to walkup jobs when Multi-Access is used. Jobs can be
performed in the following three orders of priority.
First priority jobs
Copy jobs, direct transmission jobs, fax scan jobs, scan jobs.
Second priority jobs
Print jobs, fax reception jobs.
During copying
Print data is received Printing
Fax data is received Printing

Jobs processed simultaneously
Scanner transmission jobs, memory transmission jobs (memory transmission jobs cannot
be processed simultaneously with direct transmission jobs).
Notes
●
For example, if a fax is received during a copy job, the fax is not printed until the copy job
has been completed. (If the fax is urgent, it is possible to interrupt copying and print the fax.)
●For example, if a scan or fax job is stored during a copy job and the machine runs out of
paper, the stored scan or fax job is begun. However, this does not apply to copy jobs
stored in two-sided printing and print priority mode. For details, refer to "Operation when
errors occur".
Functions and Multi-Access
Functions and the operation panel
This machine has four modes: copy mode, print mode, scan mode, and fax mode. The mode can
be changed by pressing the appropriate mode key. Note that the number of modes supported var-
ies depending on the model.
The operation panel is divided into the two following areas. This illustration shows the operation
panel of models with the most installed features.
●The main area is used for copy, print, and scan modes.
●The main area and the fax area is used for fax mode.

●The indications of the operation panel may differ depending on the country and the region.

Modes and the display
The display shows the base screen or function setting screen of the currently selected mode. During
operation, or during the execution of a walkup job, the display of the corresponding mode appears.
When there is no walkup job, or during the execution of a print or fax print job, the display shows
"PRINTING". If any key is pressed, this display changes to the display of the currently selected mode.
Modes and data status lights
There are data status lights above the PRINT, SCAN, and FAX keys. These light and blink to indi-
cate the status of data.

Modes and key operator programs
The key operator programs are used to program settings that are necessary or useful for functions.
The programs can be accessed from any mode (copy, fax, print, or scan). When the setting is com-
pleted, the machine returns to the original mode.
To access the key operator programs, press the FUNCTION key. Information on the programs is
contained in the operation manuals for each of the modes.

Changing modes
To use a mode, press the corresponding mode key.
1Press the mode key of the mode you wish to use.
●The machine changes to the selected mode and the mode light illuminates.
●The following illustration shows the model with the most features installed.
Note
●The functions of some keys and display contents vary depending on the mode. For key
functions and display contents in each mode, refer to the operation manual for that mode.
Storing a mode change
"Storing a mode change" means changing the mode after the current job is finished.
The mode change takes place when the next job is executed.
●Copy job
●Fax scan job
●Scan job
●Direct transmission job
1Press a mode key while a job is being executed.
●The mode change is stored.
●When a mode change is stored, the light of the current mode continues to illuminate
steadily, and the light of the stored mode blinks.
●The display shows: "Please wait. The mode can only be changed after the present
job is finished."
Note
●To cancel a stored mode change, press the mode key of the stored mode once again.
When the mode change is canceled, the display reverts to its previous state and the light
of the stored mode goes off.
Conditions in which the mode cannot be changed.
The mode cannot be changed when the machine is in the following states:
●An error has occurred that requires a service call.
●A key operator program is being used.
●The tray paper size is being set.
●An interrupt in copy mode is taking place.
●During a programming procedure in fax mode.
●The machine cover is open.

●A misfeed has occurred.
●A temporary interruption of operation has occurred due to an error during a copy job (for details,
refer to "Operation when an error has occurred").
Jobs and Multi-Access
Changing jobs
In the case of a walkup job, you can temporarily interrupt a job that is currently being executed and
perform the walkup job. However, this is not possible when the current job is a two-sided copy or
two-sided print job.
Displaying the job status menu
You can check the status of a job from the job status menu. For information on the job status
menu, refer to the operation manuals for each mode.
1Press the JOB STATUS key.
●The job status menu appears in the display.

The display varies depending on the current mode when the JOB STATUS key is pressed.
Items in the job status menu
Function setting status
This shows selection of two-sided copying, sort copy, and special functions for copy jobs,
and special functions for fax transmission jobs. For information on the function setting sta-
tus, refer to the operation manuals for copy mode and fax mode.
Print job status
This shows the status of auto print jobs, the paper size, tray information.
Fax status (transmission job status, stored transmission job status, confidential
reception status)
These items appear when the JOB STATUS key is pressed in fax mode. Information on
fax status messages can be found in the operation manual for fax mode.
Manual receiving
When this is selected, faxes can be received manually from modes other than fax mode.

Notes
●If the machine does not have the fax feature, "MANUAL RECEIVING" will not appear.
●If the machine does not have the fax feature, the print job status menu appears when the
JOB STATUS key is pressed from print or scan mode.
Conditions in which the job status menu cannot be displayed
The job status menu cannot be displayed when the machine is in the following states.
●An error has occurred that requires a service call.
●A key operator program is being used.

Displaying the print job status menu
The job type, job status, paper tray, and paper size appear in the print job status menu.
The procedure for displaying the print job status menu from copy mode is explained here.
1Press the JOB STATUS key. ( page 5)
2Select "FAX/PRINT OUTPUT" or "JOB OUTPUT" with the key
and then press the OK key.
●The print job status menu appears.
Contents of the print job status menu
Use the key to move through the print job status menu. For example, the following display
shows the print job icon for the job type, "WAITING" for the job status, and "TRAY 2 : A4" for the
tray and paper size.

The paper tray and paper size used for the job are displayed. However, if the job status is
"NO TRAY", only the paper size appears.
Print job
Fax print job
NONE There are no print jobs.
PRINTING A print job is being printed.
WAITING The job is waiting or interrupted because another job is being printed.
NO PAPER The job is interrupted because there is no paper.
EXIT FULL The job is interrupted because the exit tray is full.
PROCESSING Data is being processed for a print job.
NO STAPLES The job is interrupted because there are no staples.
PRINT DISABLED
Printing is not possible because there is no paper, no toner, or the
drum life is over.
NO TRAY A tray with the selected paper size has not been set.

Procedures for Using Multi-Access
1) Interrupting a copy job
1Press the INTERRUPT key during a copy job.
●Copying stops temporarily and the job can be interrupted. For details, refer to the
manual for copy mode.
2) Changing to a different print job during a copy job or auto print job
The procedure for changing to a print job during a copying job is explained here.
1Press the JOB STATUS key. ( page 5)
2Select "FAX/PRINT OUTPUT" or "JOB OUTPUT" with the
keys and then press the OK key. ( page 6)
3Select a job whose status is "WAITING" with the keys, and
then press the OK key.
4Select "YES" with the keys and then press the OK key.
●The current job temporarily stops and the selected job is printed.
5Press the START key to recommence copying.
●The interrupted job recommences.
Notes
●You can change to fax print job or a print job during copying.
●You can change to a fax print job during a print job, or change to a print job during a fax
print job.
●You cannot change to another job after interrupting the current job if the current job is a
two-sided copy job, two-sided print job, or 2in1/4in1 copy job.

Stopping a print job
A print job is normally stopped by changing to print mode and then changing the job to "Offline".
1Press the JOB STATUS key. ( page 5)
2Select "FAX/PRINT OUTPUT" or "JOB OUTPUT" with the
keys and then press the OK key. ( page 6)
3Select a job whose status is "PRINTING" or "PROCESSING" with
the keys and then press the OK key.
●The display shows "Print data is cleared".
3) Receiving a fax manually
Normally you can receive a fax manually in fax mode by pressing the START key. In cases where
you cannot change to fax mode, you can initiate manual reception from the job status menu. The
procedure for manual reception in copy mode is explained here.
1Press the JOB STATUS key. ( page 5)
2Select "MANUAL RECEIVING" with the keys and then press
the OK key.
●Manual reception begins and "Fax is being received" appears in the display for two
seconds.
4) Changing to a copy job during an auto print job
Use the following procedure to temporarily stop an auto print job and begin a copy job.
1Press the COPY key.
●If the machine is already in copy mode, go to step 2.
2Enter the desired copy settings and then press the START key.
●The auto print job temporarily stops and the copy job begins.
3Resume the auto print job.
The auto print job will resume when any of the following takes place.
●The CLEAR ALL key is pressed.
●The PRINT key is pressed (if the interrupted job is a print job), or the FAX key is
pressed (if the interrupted job is a fax print job).
●The preset time (time-out setting) elapses.
Notes
●If the print job is a two-sided print job or a staple print job, the copy job is stored.
●If a fax is received, it will be received to memory.
When printer priority mode is selected
When printer priority mode has been selected using the key operator program, a print job
cannot be interrupted by a copy job. If the START key is pressed, the copy job is stored
and "Copying will start after current print job is complete" appears in the display. The copy
job will start automatically after the print job is finished.

5) Changing to an auto print job when there is no paper or the exit tray is full
When one auto print job temporarily stops because there is no paper or the exit tray is full, and an-
other job is waiting, the other job will begin after a certain time elapses.
●For example, if there is a print job when a fax print job stops temporarily and the status of the print
job is "waiting", the print job automatically begins.
6) Changing to a fax scan job during a 1200 dpi print job
Use this procedure to temporarily stop a 1200 dpi print job and begin scanning.
1Press the FAX key.
●If the machine is already in fax mode, go to step 2.
2Load the original, enter the destination, and then press the START
key.
●The message, "Please wait. Scanning will start after current page has been
printed." appears until the job is temporarily stopped and scanning begins.
Notes
●A call can neither be placed nor received during a 1200 dpi print job. The message
"Please wait. Sending cannot be done now." appears in the display.
●During a 1200 dpi two-sided print job, a fax job such as memory transmission, automatic
direct transmission, or memory polling scanning will be stored. The display will show
"Please wait. Scanning will start after duplex print is complete."
7) Changing to a scan job during a print job
Use this procedure to temporarily stop a print job and begin scanning.
1Press the SCAN key.
●If the machine is already in scan mode, go to step 2.
2Load the original, select transmission settings and the destina-
tion, and press the START key.
●The print job temporarily stops and scanning begins.
●The display shows "Please wait. Scanning will start after current page has been
printed."
Notes
●If the current job is a ROPM print job and processing has ended (only printing is taking
place), the job cannot be temporarily stopped.
●If printer priority mode has been turned on, the scanner job is stored. The display shows
"Please wait. Scanning will start after current print job is complete." Scanning will begin
when the print job is finished.
●If the current job is a two-sided print job, the scanner job is stored. The display shows
"Please wait. Scanning will start after duplex print is complete." Scanning will begin when
the print job is finished.

8) Direct transmission while the line is being used
If you perform a direct transmission while the line is being used, the job is stored. The display shows
"Line is busy. Direct transmission will start after finishing."
a) Other combinations
a-1 Can be used after you change to the mode you wish to use.
a-2 A connected telephone can be used.
a-3 Faxes are received to memory.
a-4 Can be used when the display of the mode to be used appears.
a-5 Can be used when the display of fax mode appears. A connected phone can be used regard-
less of the mode.
a-6 Faxes can be sent or received over the line being used for a voice call.
a-7 The speed of transfer falls during scanning of an original.
Other restrictions
●A print job or fax print job cannot be executed while the tray paper size is being set. The job begins
when the tray paper size setting is completed.
●If you receive a fax while setting the tray paper size, the fax is automatically received to memory.
The fax is printed when the setting is completed.
●The tray paper size cannot be set during a print job or fax print job.
Printing with the multi-bypass tray
In the following cases, load or reload paper in the bypass tray.
●When the print job is set to print from the multi-bypass tray.
●When a message appears prompting you to load or reload paper in the bypass tray.

Operation when an error occurs
Error table
When an error occurs during a job, the error immediately appears in the display. The job is inter-
rupted if the error affects the job; otherwise, the job continues. In the case of a walkup job, if the
error does not affect the job, the error message appears after the job is completed.
If an error occurs that requires a service call, the machine stops immediately and an error code
appears.
Errors and operation
When an error occurs, many jobs become impossible; therefore, the error should be cleared as
soon as possible.
Misfeed in machine
The display shows "Clear paper path."
●The mode cannot be changed until the error is cleared.
●The JOB STATUS key can be used.
●Memory scanning is possible.
●Data transmission is possible.
Notes
●When the error is cleared, the job that was in progress before the error occurred resumes.
●A fax or scan job that is being scanned or that is stored will be executed, but new scan-
ning cannot be started.
Misfeed in SPF or RSPF
The display shows "Clear paper path."
●The mode cannot be changed until the error is cleared.
●The JOB STATUS key can be used.
●Memory scanning is possible.
●Data transmission is possible.
●Print and fax print jobs are possible.
Notes
●When the error is cleared, the job that was in progress before the error occurred resumes.
The display shows the number of original pages that need to be reloaded. Reload those
pages and press the START key.
●If a print job or fax print job is in progress, printing continues. Subsequent print jobs can
also be started.
Open machine cover
A message appears in the display prompting you to close the cover.
●Operation in this case is the same as "Misfeed in machine".
Open SPF or RSPF cover
When a job is set up that uses the SPF or RSPF, a message appears in the display prompting you
to close the cover.
●Any job that does not use the SPF or RSPF is possible.

Operation when an error occurs
Out of toner
The display shows "Add toner. Cannot copy or print."
●The mode can be changed. However, the mode cannot be changed if the toner runs out during
a copy job. In this case, you can press the CLEAR ALL key or CLEAR key to cancel the job, and
then change the mode.
●Scan jobs and fax scan jobs are possible. The display reverts to the display of the currently se-
lected mode when any key is pressed.
Notes
●When the error is cleared, the job that was in progress before the error occurred resumes.
●If a scan job or fax scan job is in progress when the error occurs, the job continues.
Out of paper
A message appears in the display prompting you to add paper to the tray that ran out of paper.
●The mode can be changed. However, if you run out of paper during a copy job, the mode cannot
be changed. In this case "Add paper" appears in the display, and the mode can be changed if you
cancel the job by pressing the CLEAR ALL key or the CLEAR key.
●Fax scan jobs and scan jobs are possible, and transmission is possible.
●Printing is possible by selecting another tray.
Out of paper during a print job or fax print job
●If paper runs out during a print job, a message appears in the display prompting you to
add paper to the tray that is out of paper. You can also use the keys to select
"BYPASS-TRAY" or "CLEAR DATA".
●When the paper runs out during a print job or fax print job, the display will revert to the dis-
play of the currently selected mode when any key is pressed. You can then start another
job.
●If you run out of paper for both print jobs and fax print jobs, the error that occurred later
appears first.
●If paper runs out during a print job, and a copy job, scan job, or fax job is stored, the
stored job begins unless the print job is a two-sided print job or print priority mode is
selected.
Notes
●When the error is cleared, the job that was in progress before the error occurred resumes.
●If a stored copy job specifies the tray that ran out of paper, an error will appear in the dis-
play.
Out of paper during a staple print job
A message appears in the display prompting you to add paper to the tray that ran out of paper.
●Copy jobs and fax print jobs are not possible.
●In copy or print mode, you can add paper or cancel the job.
●In fax or scan mode, operation is the same as "Out of paper".
Out of staples
The display shows "Add staples."
●Jobs that do not require staples are executed.
●The mode can be changed. However, if you run out of staples during a copy job, the mode cannot
be changed. In this case, you can press the CLEAR ALL key or the CLEAR key to cancel the job.
●If you run out of staples during a print job in print mode, the display shows: "Add staples. Or select
item from below." You can use the key to select "PRINT WITHOUT STAPLE" or "CLEAR
DATA".

Operation when an error occurs

Full exit tray
A message appears in the display prompting you to remove paper from the exit tray.
●The mode can be changed. However, if the exit tray became full during a copy job, the mode can-
not be changed. In this case, you can press the CLEAR ALL key or the CLEAR key to cancel the
job and then change the mode.
●In fax mode or print mode, operation is the same as "Out of paper".
Notes
●When the error is cleared, the job that was in progress before the error occurred resumes.
●If the exit tray becomes full during a print job, the job cannot be canceled. Remove the
paper from the exit tray.
Toner replenishment mode
If toner replenishment mode activates during a copy job, fax job, or print job, "Toner replenishment
in progress" will appear in the display. You must wait until replenishment is completed.
Other errors
Errors with the same operation as "Out of paper"
●No tray with selected paper size
A message appears informing you that there is no tray with the selected paper size.
●No paper in bypass tray
A message appears in the display prompting you to load the selected size of paper in the
bypass tray.
●Tray not attached
This occurs when the selected tray is not attached or is pulled out.
●Paper tray lift-up
A message appears telling you to check the paper in the tray or that tray trouble has
occurred.
Errors with the same operation as "Out of toner"
●TD cartridge not installed
The display shows "Install a TD cartridge" or "Check the TD cartridge".
●Toner cartridge not installed
The display shows "Check the toner cartridge".
●Maintenance required (machine stops at set time)
The display shows "Maintenance required. Call for service." If this occurs during a job, the
machine will not stop until the job is finished.

Types of exit trays
An optional finisher can be installed to increase the number of exit trays.
Only the machine
●Center tray (with offset function)
●Job separator tray

Exit tray when job interrupt occurs
When a print job (copy or auto print job) is interrupted, the output from each print job is routed to
the exit tray selected for that job in order to distinguish between the interrupted job and the inter-
rupting job. If both jobs specify the center tray or the offset tray, which both have the offset function,
the output position of the interrupting job is offset with respect to the output position of the interrupt-
ed job. When the interrupting job ends, the interrupted job resumes with output at its original posi-
tion.
Notes
●The exit tray for a print job can be set from the key operator program. For details, refer to
the operation manual for copy mode.
●The offset function of the center tray and the offset tray can be turned on or off using the
key operator program.
●When the finisher is installed, output goes to the top exit tray if the machine only has copy
mode, or if there is no output job that specifies the top tray as the exit tray.
Department control and changing modes
When department control is turned on, pages printed by each department can be tracked. Depart-
ment control is turned on and account numbers stored using the key operator programs of each
mode. Department control is explained in the operation manuals of each mode.
When department control is turned on and the mode is changed, "Enter your account number" ap-
pears in the display. You must enter your account number.
Changing to another mode from copy, fax, or scan mode
If the account number before the mode change is the same as the account number after
the mode change, the mode can be changed. If not, the account number must be entered.
Changing from print mode to another mode
The account number must be entered.
Changing to print mode
An account number need not be entered.
Note
●The print mode key operator program can be used to restrict the execution of print jobs to
account numbers stored in the department counter of copy mode.

Other operation

Power save function and operation
When the power is turned on and the machine is not used for a certain duration of time, the machine
automatically enters power save mode. When a job occurs in power save mode, the machine re-
turns to the state in which it can execute the job (standby). Operation during the return to standby
is described in the following. The power save mode is explained in the operation manual for copy
mode.
Copy jobs
When copy settings are entered and the START key pressed, the copy job is stored. The
copy job begins when the machine returns to standby.
Print jobs
The data is spooled. Printing begins when the machine returns to standby.
Fax jobs
●Fax transmission
Transmission begins immediately.
●Fax reception
Faxes are received to memory. Faxes are printed when the machine returns to standby.
Scan jobs
Scan jobs begin immediately.
