Before using this device for the rst time, please make sure you take the
time to read the instructions on phone safety and disposal, as well as the
information in this guide about how to set up and use your phone. Please also
be sure to share this information with other phone users.
Important Information
Safety Instructions
When using your snom 821, please be sure to follow the user instructions in
this manual and other applicable documentation.
This device is for indoor use only!
As with all electric items, care should be taken to keep your phone away
from damp and liquids. Don’t install the phone in a room with high humidity
(for example, in bathrooms, laundry rooms, or damp basements). Also, don’t
immerse your phone in water and be careful not to spill or pour liquids of any
kind onto or into it.
Don’t install your phone in surroundings that are at risk of explosions (in paint
shops, for example) and don’t use the phone in any environment if you smell
gas or other potentially explosive fumes.
Don’t use your phone during thunderstorms: lightning striking the power grid
may cause electric shocks.
Your snom 821 phone is CE and FCC-certied and meets European and
US health, safety and environmental standards. Unauthorised opening,
changing, or modifying of your phone will cause the warranty to lapse
and may also result in the lapse of the CE and FCC certications. In case of
malfunction contact Vodafone Customer Services on 40084.

This phone is subject to European Directive 2002/96/EC and may not be
disposed of with general household rubbish.
The separate collection and proper disposal of electrical and electronic
devices serves to protect human health and the environment, as well as
helping to ensure recycling of re-usable elements. If you don’t know where or
how to dispose of your phone at the end of its life span, contact your
local town or city council, your local waste management provider, or
Vodafone Customer Services on 40084.

Welcome to Vodafone One Net
Vodafone One Net is an innovative and effective way to manage your
business calls. It’s a hosted telephony solution that integrates xed and
mobile voice and helps to ensure that you never miss a call.
This guide is designed to introduce you to the snom 821 and the features
associated with Vodafone One Net.
Further help and support can be found by contacting customer services on
40084 or by logging in to your ‘My Account’ area at www.vodafone.co.uk
You can also contact your company administrator who will be able to
access and amend certain Vodafone One Net service settings via the online
administration portal.

Phone installation – connecting the handset
Setting up your phone
The initial set up for your snom 821 phone will have been carried out
by a Vodafone One Net engineer, so your phone should already be
correctly installed and working. However, the information within this
section of the guide will be of help if a phone in your organisation
needs to be moved to another location, or swapped with another
device, in which case this guide will help you connect the right cables
in the correct locations.
1. Connect one end of the handset’s cable to the handset and the other end
to the jack (socket) on the back of your phone, labelled
2. Once you’ve connected the cable, push it into the groove in the lower
right-hand corner of the back of your phone. This helps to stop it from
being accidentally pulled out, and also ensures the footstand, when tted,
will be ush to the back of the device.

3. Next, attach the footstand, using the screws provided.
4. Once the footstand has been tted, plug the Ethernet (network) cable into
the RJ45 socket on the back of the phone (labelled “NET”). Then plug the
other end of the cable into one of your company’s LAN (Local Area Net
work) sockets to establish a data link.
5. If you want to use a headset, connect it to the RJ audio socket (labelled
‘EHS’ – External Handset).
6. Finally, before use, place your phone on an even, horizontal surface.
The second RJ45 socket (to the left of the ‘NET’ socket, labelled “PC”),
is used to plug another handset into, if you need to connect multiple
phones to your network in a ‘daisy chain’ (i.e. without using additional
Ethernet connections).

1. Connect your phone to your company’s LAN or to your router.
2. Don’t touch any of the keys while registration and initialisation are taking
place. This process can take up to 10 minutes.
3. If your phone has been successfully registered, the display shows a tick
with the phone ID.
Shown here is an example of a successful registration, indicated with a ‘tick’
symbol and the name and extension number of the phone. This is a typical
registration indication, but please note that the detail on your display may
differ, depending on settings specied for your company.
Initialisation
All snom phones are ‘plug-and-play’, so there’s very little set-up
involved. Additionally, as already outlined, your Vodafone One Net
engineer will already have initialised the device set up for your
company, so in most cases your phone will have been registered and
initialised before you start to use it. However, if you’re ever asked to
initialise your phone, these are the steps to follow:

If, for some reason, registration or initialisation are unsuccessful, or if the
phone is not operating correctly, contact Vodafone Customer Services by
dialling 40084 or by logging into ‘My Account’ on www.vodafone.co.uk and
following the ‘help’ links.

Toggles ‘do not disturb’ between ‘on’ and ‘off’. When‘ on’, all calls will be forwarded
according to your phone’s Call Forwarding settings. If Call Forwarding has not been set
up, incoming callers will receive a busy signal
13 Hold Use this before transferring a call, before calling a third party, as a way of muting the call
so the caller won’t hear what you’re saying. The caller hears hold music
14 Transfer Use this to transfer the caller. This can be done either ‘assisted’ (introduce the caller to
the third party rst) or ‘blind’ (unannounced to the third party)
15 Local directory Save contact details to the phone
16 Group call pick up Pick up other phones which are ringing (these have to be within the same Hunt group as
your phone)
17 Microphone mute LED Use to mute your voice when on a call
18 Ringer volume/Audio
volume Increase or decrease the volume of the call
19 Speaker LED Place the call on loudspeaker so that others can hear
20 Headset LED If using a headset, toggle between on or off
21 Built in microphone If the call is on loudspeaker, anyone speaking will be picked up by this microphone
22 Built in speaker If the call is on loudspeaker, the audio will be heard from here
23 Display Displays current status of the phone. The function key line at the bottom changes
depending upon the activity of the phone at the time

1. First, lift the handset and dial the number you want to make the call to.
2. Press the Conrm key to initiate the call.
3. When the call has nished, replace the handset or press the Cancel key
4. When your phone receives a call, the caller ID for the incoming call is
shown, the Call indication LED ashes and the relevant Line key ashes.
5. Lift the handset to answer any incoming calls.

For details of using different devices to make or receive calls,
see page 16.
1. Once a call has been made or received, you can place it on hold by pressing
the Hold key.
2. The relevant Line key will ash and the caller will hear hold music.
3. While the initial call is on hold, you can then dial another number.
4. To retrieve the original call, press the relevant ashing Line key.
5. You can toggle between two calls, if required, by pressing the relevant Line
key next to the call you wish to switch to.

In addition to switching between multiple calls, you can also join
multiple active calls together into a conference call. For details of how
to set up a conference call, see page 25.

1. Pressing the Conrm key from the ‘idle’ screen will display the last 100
numbers that have been dialled from your phone.
2. Scroll up or down the list using the arrow keys.
3. To dial one of the numbers on the list, press the Conrm key or lift the
handset to dial the contact or number highlighted.
Transferring a call
Redial
Rejecting a call
There are two ways in which you can transfer a ‘live’ call to a third party
(which includes On Net, Off Net, National, International, though of course
these could incur call charges).
Assisted transfer (where you introduce the call before transferring it)
1. First, place your call on hold.
2. Dial the number of the third party that you wish to transfer the call to, and
press the Conrm key.
3. Once the third party has answered, you can speak to them and announce
the caller before you transfer the call, then press the Transfer key,
The two calls are then connected.
Blind transfer (where you send the call through to another person,
unannounced):
1. Press the Transfer key (this has the effect of putting the rst caller on hold).
2. Dial the number of the third party you wish to transfer the call to, then
press the Conrm key.
3. The call is transferred straight through to the third party unannounced.

1. If you don’t wish to answer an incoming call, press the Cancel key.
2. The call will be forwarded to the number specied in your Call Forward
Busy set up (see page 40).

The default display screen shows the ‘active identity’, which generally means
the user’s (i.e. your) name and extension number. However, this can vary due
to your company set up and requirements.
The tick indicates that the phone is working correctly. If there’s no tick,
contact your company administrator.
The ‘function key’ line (activated by the soft keys)
These symbols are context sensitive and change depending on the activity
being carried out on the phone. Each function is activated by pressing the
relevant soft key below each option.
The ‘information’ line
Information about missed calls and call forwarding indicators is displayed in
the ‘information’ line. This appears above the ‘function key’ line.

1. To make a call, dial the number on the keypad and press the Conrm ‘tick’
key. This will initiate an outbound call.
2. You can end the call by pressing the Cancel ‘cross’ key (particularly suitable
if you’re using a headset), or by simply replacing the handset.
Making a call
To make a call using the speaker and microphone
Press the Speaker key to turn on the casing speaker/microphone. Enter
number you wish to dial and press the Conrm key.
To make a call using the speaker and microphone with handset or
headset.
Press the Speaker key to turn on the casing speaker/microphone. Use
Method 1 or 2, above, to dial the number.
Ensure that the input mode on the phone is correct. See page 31 for details
of how to change this.

To make a call using a headset
Ensure the headset is plugged in and activated, then enter the
number you wish to call and press the Conrm key.
To make a call using the handset
Either, pick up the handset, enter the number you wish to call,
then press the Conrm key or, rst enter the number you wish
to call and then pick up handset (which will automatically
initiate the number being dialled).

To answer the call:
1. If you’re using the handset, simply pick it up to answer the incoming call.
2. If you’re using a headset, press the Conrm key.
3. If you’re using the speaker and microphone, press the Speaker key.
4. If you’re using the speaker and microphone with the handset or a headset,
press the Speaker key to add the speaker, or the Headset key
to add the headset.
Receiving a call
The identity of an incoming call is indicated in the top bar of the phone
display, underneath the date.

Missed calls
Missed calls are indicated by the Call indication LED (which blinks slowly and
is slightly dimmed) and a visible message in the information line:
To quickly view missed calls
In idle mode, press the right arrow on the Navigation key to view missed calls.
Press the Cancel key or the soft key to turn both indicators off.

1. Your voicemail box can be set up (if required) with a personal message to
greet callers when you cannot take their call, for example when you’ve
activated Call Forwarding.
2. To initially set up your voicemail box settings, press the Voicemail key and
follow the prompts to record your name and personal greeting.

1. If you receive a voicemail message, the Message indicator key glows red.
2. To listen to the message, press the Message indicator key and follow the
prompts. You’ll be able to listen to and delete messages, and will also
have access to other voicemail features.

The LED indication keys can ash or glow, depending on their status:

1. Blinks red rapidly when call is coming in.
2. Glows red steadily and brightly when dialling, when on a call, and when a
call is on hold.
3. Blinks slowly, but slightly dimmer, when there has been a missed call.

Line key LEDs
1. Blinks green rapidly when there is an incoming call.
2. Glows green steadily when an ongoing call is on that line.
3. Blinks green slowly when a call is on hold on that line.
Message LED
1. Glows red when there’s a new message on the mailbox.
Headset key LED
1. Press this key if you wish to use a connected headset. The key’s LED
glows green while headset mode is on. Press it again to turn headset
mode, and LED indicator off.
NOTE: HANDSET MODE OVERRIDES HEADSET MODE.
When the handset is picked up, the headset key LED will turn off, indicating
that you can only now use the handset for the call. The phone will return to
headset mode once the handset has been placed back in the cradle; the LED
then lights up again.
