1 Telephone device layout
2 Basic functions
2.1 Making a call
Making a call can be done in several ways; on the device, using the HIPIN software or from
the telephone book.
On the device:
1. Enter the number and take the receiver of the hook or press the speaker button.
2. When the receiver is picked up first and the number entered afterwards, you can
press <Send> or wait 2 seconds for the device to Send automatically.
3. When using a wired headset, you can press the headset button instead, and with a
wireless headset you can press the button on the ‘ear’ of the headset.
Using HIPIN:
1. In HIPIN, go to the availability screen (for numbers of colleagues) or to the address
book.
2. Click on the number, and the device will ring to indicate that it is about to dial a
number.
3. Pick up the receiver or press the speaker button, or use the headset (as described
above) to actually make the call. If you do not do so, the device will continue to ring
but the call will not be initiated.

2.2 Answering a call
You can answer a call by lifting the receiver from the hook or pressing the speaker button.
When using a headset, you can press the headset button, or remove the headset from its
charging cradle, or press the button on one of the ‘ears’.
2.3 Ending a call
To end a call, you can either simply replace the receiver or use the <EndCall> button
(softkey at the bottom of the screen). When phoning via the speaker, you can press the
speaker button to end the call. When using a headset, you either press the headset button or
the button on one of the ‘ears’.
2.4 Adjusting the volume
You can use the volume button on the device to adjust the volume of the:
Receiver
Headset
Speaker
Ringtone
2.5 Actions during a call
2.5.1 On hold:
A call can be put in and out of ‘hold’ by using the <Hold> button (softkey at the bottom of the
screen) and then the <Resume> button to resume the call.
2.5.2 Mute
To ‘mute’ a call means that the microphone of the device will be deactivated. Thus, the other
party can no longer hear you, but you can hear them. No music is played while on hold. This
mode can be activated by pressing the Mute button (it will light up red) and press it again to
deactivate it.
2.5.3 Transferring
Blind transfer:
oDuring an active call, press the <Transfer> button (softkey at the bottom of the
screen). The other party is now ‘on hold’ and will hear the hold music.
oEnter the number and press the <Transfer> button again.
oThe call will be transferred immediately.
oYou can use the ‘Transfer’ option when using HIPIN. You will see it by right-
clicking the name of a colleague or number in your address book.
Consult (before transfer):
oDuring an active call, press the <Transfer> button (softkey at the bottom of the
screen). The other party is now ‘on hold’ and hears the hold music.
oEnter the number to which you are considering transferring the call, and press #.
oThe number will be dialled and you can now consult that person on whether to
transfer the call. The other party will still be hearing the hold music during this time.
oPress the <Transfer> button again to transfer the call.
oYou can use the ‘Consult’ option when using HIPIN. You will see it by right-clicking
the name of a colleague or number in your address book.

Conference call (max. 3 parties):
oDuring an active call, press the <Conf> button (softkey at the bottom of the
screen). The original other party is now ‘on hold’ and will hear the hold music.
oEnter the number and again press the <Send> button.
oWhen the third party answers the call, you once again press the <Conf> button,
and the conference call can commence.
2.6 Transferring incoming calls
When installing the switchboard, NDI will enable transfers in the event of ‘Busy’ and ‘No
Answer’ responses. The direct transfer setting is not activated by default. If you wish to
activate it, do the following:
Press the <Menu> button (softkey at the bottom of the screen).
Go to ‘1. Call Control’ and then ‘3. Call Forward’ using the arrow keys, and press the
OK button.
Press <Enter>.
Depending on the type of transfer, you now select one of the following options (by
using the <Enter> button and the arrow keys):
oAlways
oBusy
oNo Answer
Enter the number to which the call is to be transferred and, for ‘After Ring Time’, use
the right and left arrow keys to set the ring time before transferring the call.
Press <Enter> to save the change.
2.7 Log / Call history
Press the button to view your call history:
Press or to scroll through the list.
To call a number, press <Dial>.
Press the <Options> softkey to view the call details.
N.B.: Here, you can save a number to your phone's address book as well, by using
<Add to contacts>.
When using HIPIN, you can also view the call history under ‘Recent calls’ or ‘Call history’
[right-click the green HIPIN light].
3 Additional functions
3.1 Voice mailbox
If you have a personal voice mailbox, you can record a greeting by pressing the button with
the envelope on it and following the spoken instructions. Once you've done this, all callers
will hear your greeting. When a voice message is left, the red light will automatically flash.
Press the button with the envelope on it to listen to your messages and to save or delete
them.

3.2 Speed dials
This device allows for the setting of 4 to 5 speed dials. You can program internal or external
numbers, so that you can call these numbers with one push of a button.
Press the <Menu> button (softkey at the bottom of the screen).
Use the arrow keys and the OK button to go to:
o‘3. <Send>’
o‘2. <DSS Keys>’
Select the key to which you wish to assign the number, and press OK.
Select ‘Speed dial’ in the ‘Type’ field.
Select the correct line under ‘Account ID’.
In the ‘Value’ field, enter the name you wish to assign to the Speed Dial.
In the ‘Extension’ field, enter the actual internal or external number to be called.
Press <Save>
3.3 Address book
The device offers the option of creating an address book. You are free to use it, although we
don't recommend it. This address book will be saved locally in your own phone and will not
be available to your colleagues. It could disappear after software updates. A better and
easier-to-manage approach is to create a link to Microsoft Outlook or to your own Customer
Relationship Management (CRM) software package, via the HIPIN software. Names and
numbers can be managed here and will be directly available to all the staff at your company.
3.4 Changing the ringtone
Press the <Menu> button (softkey at the bottom of the screen).
Use the arrow keys and the OK button to go to:
o‘4. Settings’
o‘1. Basic settings’
o‘4. Sound’
o‘1. Ringtones’
Subsequently, you can select a ringtone using the arrow keys and confirm with OK.
