Introduction
This manual is made for the users of the Postmaster - 6000. The purpose of this manual is to give
guidelines to operators and administrators using the Postmaster - 6000.
In this manual you find amongst others information about safety, test procedures and how to
operate the system. There is much more about the system than what is descripted in this document
as well as most of the third party suppliers have complete and detailed manuals for their products.
We therefore recommend to get acquainted with all information provided prior to using the system
and its components. The right use of the system and its components will increase the benefits you
derive from using it but also minimize the risks by avoiding hazardous situations.
This document is made as a supporting tool for operators using the Postmaster-6000. There might be
incomplete or incorrect information mentioned in this document and we therefore continuously are
working to improve this document. Any comments from your end are very welcome in that matter.
Please ensure that you are working in a safe environment and use the machine in the right matter.
Ones in doubt please shut done the system and contact your technician for assistance.

General Safety Issues
We recommend that users of this machine read the instruction(s) before use of the postmaster -6000
and its components.
This machine is manufactured using the latest technology, both electrical, mechanical and with
security in mind.
The machine must not be mishandled and the safety rules are followed, otherwise person or
machine damage occur.
The postmaster is to be used for dynamic and partially static weighing.
The supplier cannot be held responsible if the machine is used for purposes other than what it is
intended for.
Note that some of the components are supplied by third party suppliers and will have their own
manuals and instructions. If not so supplied to you during the delivery and/or installation of the MSA-
6000 please contact your Neopost supplier immediately.
Typical use
Only use the machine in a legal and safe manner.
Respect the warning signs and symbols found on the machine.
Keep in mind that long hair, jewellery and clothing can get caught in machinery.
The machine shall be used only when it is intact and working properly.
A manual inspection that all plates, conveyor belts, switches, doors and hoods shall be in their
positions and should work.
If something seems to be changed or not seems to work in usual manner, stop the machine and call
for service.
Watch the moving conveyor belts. Keep fingers and objects away.
The machine is equipped with a sensitive load cell. Beat, hits, shock or throw nothing directly on the
load cell conveyor belt.
Do not open cabinets or doors that do not have with the daily operations to do.

The 6000 System
The Postmaster -6000 consist of the following components:
1) Mix Mail Feeder Unit
−Automatic feeder of all mail
2) Scale Unit
−The scale is used to measure the weight of the mail items
3) Printing Unit
−Print PPI on mail pieces
4) Conveyer stacker Unit
−To collect registered mail for easy pick up by operator
5) Touch screen control Unit for machine
−To control the complete Unit
▪Start/stop
▪Change PPI marking
6) Touch screen unit for Postmaster program
−To control the accounting program

Start-up machine Instructions
Please Note: We recommend that users of this machine read the safety and operating instruction(s)
before use of the postmaster 6000 and its components.
Before the use of the MSA-6000 the following steps need to be taken in order to correctly start-up
the system.
1) Ensure no loose paper, packages or other material is places on the conveyor belts or in the
machines prior to switching on the machine.
2) Put on the power switches (on/off) on the right side of the base:
Machine is starting up.
If power switch already switch on, press the Sleep/wake key on the
machine control touch screen to wake or sleep mode.
3) Enter pin code (if used)
4) Press button “Imprint Memories” on the machine screen.
5) Press button “Bulgarian Post”
6) The machine is now set to print PPI print.
7) Turn on computer for the accounting program.
8) On the Desktop, start accounting program with the icon
9) The machine is now ready for use and you can start with the operation manual instructions.

Operation Procedures
The following chapter will lead the operator through the different processes using the Postmaster
MSA-6000.
The items which will be explained are:
-“Accounting” process
oChoose customer
oChoose rate
oManual input
oStart/stop machine
oChange customer or rate
-Handling process/transactions errors
-Explanations of functions and errors see manual ‘User guide 6000 machine’.
Note that the explanation which is given is based on test runs done by Neopost and can vary from
actual customer information. If something is unclear, please do not hesitate to contact the Neopost
service desk.
“Accounting” process
1) Make sure that the machine control screen is awake.
2) Start-up the computer, if not started.
3) Go to desktop and start “Postmaster” (see pic)
4) You are now entering the operator menu.
Button explanation
a. Exit: Close the operator menu after production
b. Search Account: Search function for account
c. Search Rate: Search function for rate
d. Manual Input: Manual input of weight and number of items

5) Choose the account to which the item should be registered on.
Select button “Search Account”.
6) Choose the Rate to which the item should be registered on.
Select button “Search Rate”.
7) Place envelopes in the feeder.
Make shore using the side guide to have a proper feeding.
8) Start running the machine with the green button next to the machine screen.
To stop the feeding, press the red button next to the green.
9) For manual input of mail use the “Manual input” function.
a. Press the “Manual input”button.
b. Fill in weight of item.
c. Fill in numbers of item to be registered.
d. Press “OK”.
e. A transaction is made for these items on chosen customer and rate.
10) Before changing to a new customer or rate, make shore no items are still processed in the
machine.
11) After ending production, close the operator menu with “EXIT” button.

Handling process/transaction errors
•To delete a transaction seen on the grid (last run envelopes), press “ESC” button on
keyboard.
- Question “Delete record?” is shown.
The last run transaction is now deleted.
•If error on a transaction and the data is saved in database (customer or rate changed).
a. Open Maintenance menu (see chapter maintenance menu).
b. Open folder Transaction yyyy-mm-dd (date).
c. Check date of folder.
d. If wrong date, right click on folder and change.
e. Press F5 to update the view.
f. Find transaction with error.
g. Open transaction to see content.
i. Only possible to edit/change customer number.
ii. Press OK to close and save
h. Delete transaction.
i. Right click on the transaction
ii. Select “delete transactio”
iii. Confirm with OK
iv. Transaction is deleted
v. Rerun the items if needed.
i. Close or minimize Maintenance menu.
•All envelopes passed the scale are counted in the accounting menu.

Maintenance Menu
In this menu rates, customers/accounts, reports and reports are created.
To open maintenance menu, start by selecting the icon
Depending on login, the user has different rights.

To select any of the folders in the registry list, move the arrow with your mouse to the folder you
want to review. Click the left button.
If selecting for example companies, all companies registered are shown to the right in the menu.
Company: Here is the company's data set.
Customer groups: Connecting customer to groups.
Customer: Registration of customer accounts.
Rates: Registration of the various rates and prices.
Rate group: Grouping the rates into groups on the registration menu.
Rate type: Background colour in the registration menu, linked to the rates.
Rate button: To group rate in the registration menu.
Transaction: Transactions with date and time.

Customer tree:
This is an example of how to add internal charge within a company.
On top a Company.
Under the company, there are different customer groups.
Connected to the customer groups, are the customers.
It is the customer that the cost is recorded on.
When printing for internal charge, you get a total for the different customers.
Customer belongs to customer groups and there are all customer postage costs within customer
group together to form a total. All groups of clients, postage will be added together for a grand total
for the entire company. If you have several companies you get a grand total of all companies

Registration of Company:
In the folder Companies in registry list, you can see all registered companies.
Depending on functions, companies are automatically updated by an import guide.
To create a new company:
•Right click on folder Company
•A window will appear
•Insert the customer number. Press Tab. button to change line.
•Insert the customer name.
Depending on functions in the program, some off the fields is mandatory.
•Press the Save button to register the company.
The new company will now appear on the right side of the window.
To check or change settings on a company, double click with the left button on the icon for the
company, the settings will be displayed.

Registration of Customer group:
A customer groups is the main group for a number of customers. Customer groups are used to obtain
costs summed for the number of customers in that customer group for printing.
To create a new customer group:
•Right Click on Customer Group folder
•A new window will appear
•Enter the number of the customer group.
•Enter the customer group name.
•Link to Article" should be <Ingen Koppling>
•Press "save"
The new customer group is now displayed in the right menu.
If you want to check or change settings on a customer groups, double-click with the left button on
the icon of the customer group, settings will be displayed

Registration of Customer:
customer / account where transactions will be stored on the mail registration run.
To create a new customer:
•Right click on the folder customer.
•A new window will appear.
•Enter the number of the customer.
•Enter the the customer name.
•Choose with the drop down list which customer group, customer should belong to.
•Then select which company customer should belong to.
•Press "save".
Depending on functions in the program, some off the fields is mandatory.
The new customer will now appear on the right hand menu.
If you check or change settings on a customer, double-click with the the left button on the icon of the
customer, the settings will be displayed.

Registration of rate groups:
Folder rate group, to group rates in columns shown in the registration menu.
To create a new rate group:
•Right click on the folder Rate group
•A new window will appear.
•Insert the rate group number.
•Insert the rate group name.
•Press “Save”
This name will be on top of the columns for the rates in the registrations rate menu (See example
above).
If you want to check or change settings on rate group, double click with the left button on the icon
for the rate group, the settings will be displayed.

Registration of rate types:
Rate type is the setting that determines the color of the background for the rate in the registration
menu.
For example, blue color is used for first class mail and green for economy letters.
Custom colors can easily be created.
To create a new rate type:
•Right click on the folder Rate type.
•A new window will appear.
•Insert the rate group number.
•Insert the rate group name.
•Move the cursor to the "change color" button and press the left button.
•Choose a color with the cursor and press the left button.
•Press OK.
•If using color coding in the registration menu, the option "Use color-coding" must be marked.
•Press “Save”.
If you want to check or change settings on the Rate type, double-click with the left button on the icon
on the item, the settings will be displayed.

Registration of rate button:
Group rates on one button in the registration menu.
With this function there is possibility to put more rates in the column.
To create a new Rate button:
•Right click on the folder Rate button.
•A new window will appear.
•Insert the rate button number.
•Insert the rate button name.
oThis name will be on the grey button
•Press “Save”
If you want to check or change settings on the Rate button, double-click with the left button on the
icon on the item, the settings will be displayed.

Registration of rate:
In the rate menu all various rates are listed.
All rates have a rate number, description, different weight classes and prices.
To create a new rate:
•Right click on the folder Rate.
•A new window will appear.
•Insert the rate number.
oA rate number must always start with a P in front of the number.
•Insert description of the rate.
oThis name will be shown on the rate button in the registration menu.
•Set Rate group with the dropdown list.
oGroup rates in same column in registration menu.
•Set Rate type with the dropdown list.
oBack ground color when running this rate.
•Set Rate button with dropdown list.
oIf many rates in the same rate group, rate button could be used to be able to group
more rates.
•At max weight ranges, the maximum weights for the various postal boundaries are set.
Enter the first weight limit in grams, for example, 20 for 20gram or 100 to 100gram.
•Insert price for this weight group.
If the price is 4.60 - this shall be entered as 4,60 with commas, no point.
•Continue this procedure until all weight groups are registered.
•If using price per kilo, the price per kg record should be used.
•Click the left button on “save” button when all the information for this item is registered.
The new rate will now appear on the right side of the window.
If you want to check or change settings on the rate, double-click with the left button on the icon on
the item, the settings will be displayed.

Printing reports
Choose print and reports in tool menu.
Reporting menu is shown.
Depending on report needed a description on the function will be set.
Click on dropdown list and choose stored daily report.
Press print to show the report on screen

Transactions:
A transaction is saved when changing customer, rate or closing the registration menu. It will be saved
with time, date, rate, company number, price and weight groups. In the folder Transactions, the
transactions can be reviewed.
Press the left mouse button on the folder, Transactions and current transactions are displayed. If you
want to review transactions made at another date, right click on the folder and choose 'Select the
date of transactions "with the left mouse button. Enter the dates of transactions.
If there is an error in a transaction, delete the entire transaction.
To delete a transaction:
- Press the F5 key to refresh the transactions in folder.
- Right click on the icon of the transaction and select "Remove Trans" with the left mouse button.
- Select "YES"
The transaction is deleted.
Rerun the last run again.
